Before Event

-All event staff should be accounted for by


2:30pm

2:30-3:30 pm
-Doors to the Thornapple room will be shut
during set up so people in kirkhoff do not
come in before the event starts
-Decor and room setup will begin at 2:30pm
-Floor tiles will be laid out in pattern that will
be outlined by blue painters tape by 3pm and
taped down by 3:15.
-Food and beverage should be prepared,
setup, and available to guest by 3:30pm
-All of the food will be placed into bowls that
are from The Meadows, then placed in their
spot on The Spinner food table. Place the
scoops, baggies, and baggie ties out.
-Appropriate lighting and music volume
should be selected to complement before
event
-Any unneeded tables will be moved out of
the thornapple room into the open kirkhoff
areas
-Once tables are placed according to the floor
chart, green table cloths will be put on every
table to represent pay days
-The food table will be round to represent the
spinner in The Game of Life
-Multiple signs to point to the thornapple room
starting in main area kirkhoff will be placed. 5
lollipop signs.
2 upstairs 2 leading to bathroom 1 leading to
entrance of event.
-Registration table will have the cars for
people to get signed in, in order to be placed

in the raffle at the end


-The advising table will have one computer
set up for students to have a quick
appointment if theyd like one.
-Have someone who will meet with the people
representing the majors to tell them their
responsibilities for the event.
During Event
3:30-5:30pm

-Onsite marketing for the event will begin at


3:30 pm to invite students to attend our event.
This will include the signs stated above.
-One person will always be stationed at the
food table, raffle table, and registration table
to sticker guest cars and ask any questions
-Upon entering, attendee will receive a car, to
get signed by each pay day table with the
event rules on it
- For attendee to be placed into the raffle,
they must get four family members which
will be the signatures from the tables
-One person's job during the event will be to
restock the food table if it ever runs low
-Two person will be by the cardboard car to
photograph attendees. One to take pictures
with phone, one to take pictures with guests
phone.
-At the registration table a google form will be
used to get students name, email, how they
heard about the event, and if they are
interested in a specific major
-Larger prizes displayed with bags in front of
them, so the students have a spot to put their
raffle tickets for the drawing.
(need not be present to win written on the

ticket)

After Event
5:30-6:00pm

-At 5:30pm the raffle winners will be drawn,


and will be contacted within 1 business day of
the win.
-Teardown and cleanup will begin the minute
that the last guest leaves until 6:00pm
-All tables that were taken out of the room will
be placed back in original location
-All information from the registration table will
be sent to the advisors and colleges within 2
days.
