SBD Recruitment Process


Overview
Manpower Planning and all recruitment plans should be approved by relevant approval authority. There
is a central planning department which does the resource management for SBD.
For any new requirement, Manpower Request Form (MRF) will be provided through the Planning
Department.
The MRF form will mention the required Job profile and the any specific skill set required for the
candidates.

On an average the total recruitment cycle takes around 75 days of time.

Candidate Selection Process


Sourcing of profiles for the job profile is done from various sources. This can be done using internal
resume databases, external database search, advertisements (paper/media), and agencies).
Based on the above search and the required job profile, the candidates are shortlisted for the vacancy.
Interviews are conducted in coordination with the technical person from the division from where the
request has come.
Interview feedback form is filled up at each stage of the interview process.
For selected candidates the salary is offered based on the range of the position being recruited form
and conveyed the same to the candidate. Any deviations are generally not accepted.
In case the candidate when the expectations of the candidate are not met, and when the candidate is
extraordinary, then these are taken up on a case by case basis by discussion with Vijay.
In exceptional cases they will go for another benchmarking analysis.
Fitment sheet is filled up for the candidate before releasing the offer.
In most of the cases where the recruitment is not in large scale, the Recruitment team directly interacts
with the candidates. But if it is bulk recruitment, offer letters are sometimes sent through the Agencies
also.
After Offer a check list has to be maintained for the documents to be collected.

DBA Recruitment Process


Overview
The process for recruitment is different from SDB in some ways.
DBA does not have a Planning Department. So, for any vacancy in any division, the MRF form is filled
up by the division/project and then it is approved by the Director, and then given to HR/Recruitment
team.
The MRF form should be detailed and clear enough, and parameters should be included so that the
process selection/interview process is not person dependent. Detailed job description needs to be given
for the requirement.
In some cases, the form comes directly to the HR team and then they get it approved by the Director.
There may be iterative rounds of discussion between the parties during this process of approval.

Candidate Selection Process


Recruitment process may differ based on whether it is small scale recruitment or bulk recruitment.
Based on the profile and various other factors (like nationality ratio, skills etc), HR may take a call to
recruit from one particular location.

Based on the above search and the required job profile, the candidates are shortlisted for the vacancy.
For overseas requirement, normally division head or any member of his or her team travel for
conducting the interviews to that location.
Interviews are conducted in coordination with mandatory involvement of the technical person from the
division from where the request has come.
Interview feedback form is filled up at each stage of the interview process. Interview feedback form for
DBA slightly differs from that of SDB. This form details should be captured in Recruitment system after
approval.

Offer Letter and PRO Activities (Common to SDB and DBA)


For selected candidates the salary is offered based on the range of the position being recruited form
and conveyed the same to the candidate. Any deviations are generally not accepted.
The Offer Letter needs to be approved by the management and the same is then sent to the employee.
Cover Letter can be configured and Offer letters can also be auto generated.
Passport & Visa details must be captured in the system for the candidates at this stage.
Once the above process is completed, documents are collected for VISA processing. DBA will take
assistance from PRO office (which is a centralized office for both SBD and DBA) for all kind of visa
processes.
During this process any further PRO interaction, currently it is noted that there is no place where the
status can be checked for the candidate. So, this area is important where the HR team should be able
to know where the processing is struck or through and accordingly update the same to the candidate.
Once the employee is on board, the employee is assigned to the projects. The job of the recruiter is till
the time the employee completes Probation (6 months of service), so needs to address any
queries/concerns which incase may arise.

Agency Information (Common to SDB and DBA)

Many times the company might go to the external agencies for recruitment of candidates. The agencies
for each country might be different and might change from time to time based on various factors.
There should be an option to maintain a list of agencies in the application. Along with that if the agency
is not being contacted anymore, and then there should be an option to end date/ stop that agency from
appearing in the list. Additional remarks can be added to convey the reason for end dating of the
contract with the agency.

Interview Feedback (Common to SDB and DBA)


For most of the interviews, the interview feedback form is filled up on paper and passed on to the
appropriate department.
There will be an option to enter the interview feedback in the application manually for each of the
candidates. But this may not be practical in all the scenarios.
For these cases, it will be good if there is a feature to upload the scanned copy of the interview
assessment form to the candidate profile.
Otherwise the current processing status (First Round Interview, Second Round Interview, Offered etc)
will at anytime be shown up for all the candidates.
Also for many scenarios of Bulk recruitment, it will be good if there is an option of mass update of
multiple recruitments (for example for failed applications).
These options are required such that there is not much load of data entry for the recruitment team or
other members involved in the interview process.

Employee Separation (Common to SDB and DBA)


Departmental/respective sections approval will be needed when employee resigns or is terminated from
the company.
An alert is required to be sent to various departments for clearance (HR/ Recruitment, Planning, IT etc).

Alerts (Common to SDB and DBA)


Alerts are needed at various phases like the Visa cancellation, employee separation, visa renewal.
This will help in planning for future and for any new recruitment for the vacancy incase of termination.
For payroll an alert is required if for a particular visa type, less than 80% of the employees will be
processed in payroll.
