Introduction

The purpose of this project is to implement a solution in the SAP system which will allow for
a streamlined approach of managing bus-fleet availability check and reservation process for
Private Hire Busses. School Busses and Contract Busses are out of scope.

Process Definition
2.1 Fleet Availability and Pricing Inquiry
2.1.1 A customer calls to inquire about fleet availability and price quotation. If a record exists in
the system for the customer (i.e. customer had previously made a reservation), then the
process proceeds to the subsequent step.

2.1.2 If a customer calls for the first time, then the following customer information is collected
and maintained in the system:

Company Name
Company Address
Telephone Number
Email Address.
To Do: Any additional detailed information to be added here.

Subsequently, a One Time Customer record is created in the system. For that purpose,
the One Time Customer ID is assigned to that record, and the record is maintained in
the Reservation System and NOT in the Customers Master Data.

2.1.3 In response to customers inquiry, system shall provide the ability to search the Fleets
Database for availability and price quotation based on the following search criteria:

Fleet/Bus Type.
Number of units (buses) requested.
Date Range (start-date and end-date).

2.1.4 Upon customer request, a Fleet Pricing Inquiry record is created in the system and will
include the following information:

Fleet/Bus Type.
Number of units (buses) requested.
Date Range (start-date and end-date).
Price per unit per day.
Total reservation price.

In this stage, fleet inventory will not be reduced by the number of units requested, and will
continue to be shown as available.

2.1.5 Upon customer verbal confirmation to complete a reservation, a Fleet Reservation


Quotation record is created in the system and will be linked to the Fleet Pricing Inquiry
record previously created. As a result, information captured in the Fleet Pricing Inquiry
record will be made available in the Fleet Pricing Inquiry record. In addition, the following
actions will be executed in the system:
2.1.5.1 Number of units reserved will be blocked, for the duration of the reservation period,
and will not be shown as available in the system..
2.1.5.2 A customer record is created in the Customers Master Data, and a new Customer
ID is generated in the system.
(Notes: This step will be completed by the system prior to generating a Quotation
Record.)
2.1.5.3 Am email notification is generated and forwarded to the Fleet and Planning
Departments with the Inquiry/Quotation information above.

2.2 Price Confirmation and Discount Approval


The system will facilitate for a multi-level price-discount approval process.
