CHAPTER V

ORGANIZATION AND MANAGEMENT

This chapter describes the form of business organization that will be adopted by the

proposed venture. It illustrates also the organizational structure of the proposed

business. Included in the discussion are the number of personnel required and the

required qualifications for each prospective employee.

A. Form of Business Organization

There are four different forms of business organization; sole proprietorship,

partnership, corporation and cooperative, the student researcher thought it best to have

sole proprietorship form of business organization. This is for reason that sole

proprietorship types of business organization is easy to organize and there is lesser

requirements required by the government in operating and managing the business.

B. Organizational Structure

An organizational structure is a formal system of working relationships within an

organization showing the reporting relationships between different functions and

positions of the management and staff (Butkowski, 2002). This structure is often

represented in the form of a diagram or chart.

Discussed below are the tasks of the different positions in the organizational

structure of the proposed business. The various positions are: the Manager, the Book-

keeper, the Cashier, Sales Attendant (2), and Driver.


General Manager

The General Manager has the overall decision in managing the affairs of the Agrivet and

Agricultural Supplies store. He is in-charge of the following activities: Plans all activities and

implements policies for the organization, conducts the selection process, which consists of

interviews, testing, reference-checking, in hiring applicants, supervises the general works and

activities of personnel inside the organization, observes, evaluates, and appraises performance of

employees, establishes and maintains contacts with representatives of other organizations related

with the business venture, analyzes / reviews financial statements for the purpose of decision-

making.

Book-keeper

Under the direct supervision of the general manager, the Book-keeper performs

monthly duty of preparing the financial statement and others; answers and gives information

towards inquiries of customers/clients either personal or official telephone calls, keeps all

documents of the organization, performs duties and responsibilities of the general manager

on his leave or receives payment from customers and check deliveries to make sure they

confirm to specifications, quality, and quantity, remits daily cash sales to general manager.

Cashier

Having a major responsibility to maintain and control the transaction of the organization, all

the payments are to be receive by the cashier, Performs same duties and responsibility if the

bookkeeper is on leave.
Sales Attendant

Sales Attendant will ensure that all inventories supplies are in place and properly price for

costumers. They will make sure that all costumers inquiries and complaints are properly

addressed and if in any case situations will get out of hand ask for forgiveness and call the

attention of the manager/ owner.

Driver

The driver will be responsible in ensuring the condition of the equipment, by maintaining it

regularly, checking and replacing necessary parts to ensure safety. He will also be responsible for

delivering supplies to respective customers and getting supplies from suppliers especially when

supplies are needed urgently.
