Notes from 2017 Football Tour Information Evening (22/01/17)
The below notes include some of the details covered alongside the PowerPoint presentation shown at the above information evening.
Students. We now have 28 students that have successfully booked a place
on this Tour, which is a lovely sized group for such an experience. All parties have paid 3,000 Dhs so far as requested. Staffing. JPS staff going on the tour will be responsible specifically for a small group throughout the tour as well as take on overall responsibility for the group (Mr Pearson is the overall Tour Leader). These groups will consist of approximately 7 children each, which will be confirmed closer to departure date. Through these small groups we will be able to quickly and efficiently help get children organized for events during the day, be transported to and from places, check students are eating and drinking properly, doing routine hygiene such as brushing their teeth etc. Trans World Soccer Staff. We will have at least 2 (possibly 3) members of our tour company present with us during the tour to ensure the tour runs smoothly and help us with any needs as they may arise on the tour. Next payment of 3,500 Dhs due by Thursday 2nd February. Flights. These have now been processed. 1 EK 55 G 7JUN DXBDUS KK31 TC 0830-3 1325-3 Y-G 2 EK 148 G 13JUN AMSDXB KK31 TC 1520-2 2359-2 Y-G We will be checking into a private part of the terminal so the process is far nicer for the children and more suitable for a primary school tour. We will also have emirates staff help escort us through the airport to ensure easy departure occurs. Itinerary. We will now be flying to Germany first instead of Amsterdam. Exact timings of the tour may change as things like challenge matches are organized, but well aim to send out the final itinerary (with exact timings) around one week prior if not sooner to departure so that parents are aware of exactly what is happening, when. Passport. A minimum of 6 months must be left on every childs passport/ If their visa is included on a separate passport they must bring both passports. Money. Currently no spending limit being set although this may change closer to the date when we are able to find out how much things cost. E.g. cost of a football shirt at stadium if one was to be bought. (Very little needed for the tour going off previous tours run). All spending money must be handed into a JPS member of staff who has main responsibility for them. They will ensure it is kept safe and act as a bank during the week so that suitable amounts are accessed throughout the tour. Visa process. Once flight details come through we will send help sheets on one email out to all parents given to us from our tour operator (Late February/Early March). Trans World Soccer have assured us there is no current rush for this to be done. Rooming. Students will get the opportunity to nominate up to 4 other students they would like to share a room with. This is so we can do our best to ensure every child gets to share a room with at least 1 child they have asked for. Students will actually spend very little time in their rooms as we have a very busy schedule planned and will have social areas in the hotels where they can meet to socialize rather than in their rooms. Children can come to see Mr Pearson in PE to give their choices. Food. The hotels we are staying in are child friendly and are use to catering for childrens differing needs. Our tour company also has several tours happening between now and our departure date, which will help ensure by our tour the service provided is ideal. Students with special dietary requirements will get to collect their food first to ensure other students dont accidently eat it first. Assessment. To help us pick opposition teams that are the right standard for our students and help us put children into different teams we will be holding a fun football session between February Half-Term and Easter. These will not be fixed in stone, as we will obviously take into account how students progress as the year goes on and may tweak them after receiving feedback from the professional coaches who will train them during the tour. We will contact all parents to finalize the date of this session within the first 2 weeks back after February Half-term. Kit. As part of the tour package students will be receiving kit from our tour operator, which we will collect when we arrive there (BVB training kit shirt, shorts, socks plus a Trans World training shirt). Again, we will begin to organize the size selections for each child soon once we receive measurement guidelines from the company. In addition to this we will be looking to source some other training kit for the students like on our previous tour. Documents to Tracy. Any parents which have not yet handed in the following documents to Mrs Sanson (Office next to Main Reception) are asked to do so as soon as possible: - Photocopy of passport (Details & Residency Visa Page) - Photocopy of Emirates ID Card - Parental Permission Slip (Spares can be obtained off Mrs Sanson). Communication. Children will not be allowed to take mobile phones with them on the tour. This is to help combat homesickness caused from use of them primarily but also loss of device amongst other reasons. To ensure parents are kept up to date on the tour we will instead do the following: - Create a Facebook page specifically for those involved in the tour to access. JPS staff will upload photos and videos every night onto this (Please be aware this will only happen once children are asleep and staff are free to do so). - We will attempt to do live links when possible for you to see your children. E.g. Scan around during breakfast time etc. - The tour itinerary will be shared with parents before departure. More detailed version will not be released until couple of weeks before departure. - Use of PE twitter account. (Mr Campbell will be taking a lead role on this throughout the tour although it will be a joint responsibility of all staff to contribute).
