Email 1 - To Jack (Head of IT Dept)

Subject: Re: SharePoint Upgradation and Disruption in Services

Dear Jack,

Thank you for the heads up email about the SharePoint upgrade and disruption in
services. I am writing to inform you that I will be assisting you in preparing a follow-
up email to our employees with step by step instructions to observe during the
upgradation period.
The Director is empathetic that most employees may not be able to appreciate the
detailed email and may require further instructions and handholding from us. I shall
be preparing a concise version of your email with bulleted instructions for the
employees to comply during the upgradation period, so that flow of work is
seamless.
We are grateful for your sustained efforts for the upgradation and kindly keep us
informed about the timelines and progress.

Sincerely,
Nora Johnson
Email 2 - To All Employees

Subject: Step by Step Instructions - SharePoint Upgradation

Dear All,

Please refer to email from Head of IT Dept. We have been using SharePoint to
improve our organisation's effectiveness by streamlining the management and
access of data through browser-based collaboration and document management
system.
SharePoint consultants will be upgrading their infrastructure on 24 May and during
this period, SharePoint will not be available from both the client software and through
the company portal web site. This upgradation was long overdue and will result in
bringing SharePoint into the single set of credentials infrastructure. These changes
will allow you to set up and access this system from outside the company network, in
order to make it more convenient for you.
We are attaching step by step instructions for this upgrade and if you do have any
queries, please do not hesitate to contact us (please see attachment).

Sincerely,
Nora Johnson
