1. Recognizing When to Use Graphics

Graphics should serve the following purposes:

Reinforce the message
Provide a roadmap to the structure of a Presentation
Illustrate relationship and concepts visually
Support assertions
Emphasize important ideas
Maintain and enchance interest
Illustrate Relationships and Concepts Visually

Grafik dapat membantu audiens dalam memahami hubungan-

hubungan dan konsep-konsep, dibandingkan hanya dengan kata-kata.

2. Employing Fundamental Graphic Content and
Design Principles

Conveying the messages clearly and effectively

1. Keep the charts simple but meaningful
less is more
Solid, thoughtful, meaningful
2. Include only one main message per chart
if we have too many messages, we risk losing our audience.
3. Make sure the chart title captures the so what?
The title on the chart should clearly announce the main
message or provide adequate information.
Selecting the most effective colors

1. Keep the simple and select colors that work well together.
2. Ensure that the colors are easy to see when placed against each
other.
3. Check text color, to seethat it contrast with background colors
sufficiently to be clearly legible.
4. Make sure the colors support the desires image and the intended
message.
3. Selecting and Designing Effective Data Charts
Excellence in statistical graphics
Show the data
induce the viewer to think about substance
Avoid distorting what the data have to say
present many numbers in a small space
Make large data sets coherent
Encourage the eye to compare different pieces of data
Reveal the data at several levels of detail
Serve a reasonably clear purpose
Be closely integrated with the statistical and verbal
descriptions af data set

Type Guide to Use and Design

Pie compares proportions and relative amounts of

components
Works well with nonspecialists or executive
audience
Start with largest portion at 12:00
Avoid legends
Select outline around pie and beetwen
segments for printing
Bar or conveys absolute value data, relative sizes, or close
Column comparisons
Emphasizes differences
Works well with most audinces
rotate y-axis label to horizontal position for easy reading
Keep space between bars smaller than width of bars
Avoid 3-D to allow easier lineup with numbers on y-axis

Line demonstrates trends or interactions between variables

Good for showing movement over time
Useful for most audiences

Avoid legends
rotate y-axis label to horizontal position for easy reading
Avoid using too many lines
Stacked Conveys differences
bar Captures a lot of data in a small space
More suited to technical or other analytical audience

when using colors in bars, ensure contrast shows when printed in

black and white
Align numbers across as much as possible and align labels with
numbers

Histogram Shows frequency distributions

Not immediately intuitive for most people
Best used with statistically oriented audience

rotate labels for ease of reading

Avoid double y-axis if possible
Scatter Shows correlations, how well a variable follows the
Pilot expected patters
May need to be explained more than most charts
making the title even more important in delivering the
so what?

Rotate y-axis label for ease of reading

Make sure title explains meaning of content
As we consider the type of graph to use
1. Does the data set completely support the message I
wish to convey?
2. Have I provided or will I be able to provide enough
context for the data to be interpreted accurately?
3. Are the numbers accurate and depicted honestly and
accurately?
4. Does the design distort or hide the data in any way?
5. Are all axes and data accurately and adequately
labeled?

1. Try to use graphics when you
1. Try to use some variation van, again to break up the texy

5. A Few Pointers on Including Graphics in
Presentations

Selecting Inserting Using

the layout Graphs Animation
and and Other
template Objects
Inserting Graphs and Other Objects
Using Animation

Use animation only to control the delivery of the

message or help the audience with the message

Do not overuse animation or add it just

because it is possible.
When animation is used to bring in text or
AutoShapes, the text and shapes should appear or
come in from the most logical direction and the
shortest distance

Avoid using too many different animation

technieques in one presentation.

Make sure to test the animation by running the

presentation in slide view from beginning to end.
Guidelines for Using Graphics for a Leadership

1. Decide on the message, determine what

information or data best support it, and then
decide how best to show those data graphically.

2. Use graphics for the right reasons, such as to

reinforce the message, to provide a road map to
the presentation, and to support assertions.

3. Select the right kind of graph to illustrate the

message.
Guidelines for Using Graphics for a Leadership

4. Use integrity in selecting and designing all graphics,

making sure any graphs do not distort the data

5. Keep all graphics simple but meaningful.

6. Use a title (placed at the top of the slide) that capture

the so what? of the slide so that the audience sees
immediately the message the graph is communicating.
Guidelines for Using Graphics for a Leadership
Create an original presentation template
or modify the ones provided so that the
presentation design reflect the personality
of the presenter or that of the presenters
organization

Make the font size and any graphic images

large enough for the audience to see, even
from the back of the room

Avoid overusing or misusing animation.

Be careful with color perception varies from

person to person and color meaning varies
from culture to culture.
