INTRODUCTION

In the current world use of a computer nowadays is rapidly rising. Almost every

household, school or company uses a computer to satisfy each of their needs and for other

relevant purposes. Its almost impossible to imagine that someone can live without

computers. They have become an electronic device of almost every day use for individuals of

every age, andessential in almost all the business dealings that are made nowadays. In recent

years theyhave gained significance as they have improved the efficiency and productivity of

work done. Large amounts of information in industrial and business sectors as well as in the

personal lives are stored on servers.

One of the very useful systems is the Computerized Sales and Inventory System. This

system facilitates the processing of customers transactions as well as then inventory and it

allows saving the sales transaction in the database. A computer is used for carrying out

calculation and performing specified transformation on information, such as storing, sorting,

correlating, retrieving and processing data.

This computerized system is important to a company because the owner can easily assist

the customers and store the data safely. Monitoring of stocks also an important part of the

system. The advantage of using Computerized Sales and Inventory System is to help them make

the usual transactions more organized and convenient for them and for their customers as well.

For example, the paper-based system of Green Concept System their sales and inventory tend to

consume much time, while in computerized system the repetitive procedures will be minimized.

1.1 STATEMENT OF THE PROBLEM

This sub-chapter discusses the problems encountered by Green

Concept System in using current procedures in their sales and inventory

transactions

1.1.1 GENERAL PROBLEM

How to design and develop a computer based inventory system for Green

Concept Systems Philippine Inc.?

Green Concept Systems Philippines Inc. is currently using the manual system for their

inventory, reports are also done manually. Inventory reports have to be processed manually by

the staff. This may lead to the inaccuracy in the inventory count. Inventory report depends upon

the sold items from the sales report derived from the filed pre-printed receipts.

1.1.2 SPECIFIC PROBLEM

How to develop a module that will monitor items and its availability in the

inventory

The sales clerk does not readily know the product availability. if the item is requested by

the customer is not displayed in the store shelves, the clerk will ask one of their personel to

search for the item around the premises. If the product is not available, the clerk notifies the

owner so that they can order a new stock from their supplier. The time used by the sales clerk to

search for the needed item could have been used to attend to other customers transactions.

1.1.3 GENERAL OBJECTIVES

To develop a Computerized Inventory System of Green Concept Systems Phil.

Inc. that will solve the problem in counting the goods and products, and to lessen the time and

manual count errors. To develop system that have a user friendly database system that can help

the company to easily have a record of the products.

1.1.4 SPECIFIC OBJECTIVES

The study to develop a system that has a function that will process inventory

The proposed system will show the current available stack, and the operation manager

will be prompted by the computer to replenish stocks when a certain limit is reached.

* The study to design a normalized data base that will ensure data integrity and reduce data

redundancy, which will hold important information to facilitate fast and accurate generation of

pertinent report.

The proposed system will have a feature for updated reports of the inventory. Whether it is

a daily, monthly and annual report that can be printed out for filling and submission to respective

persons (like the owner) immediate inventory report for a specific period can be generated from

the proposed system.

1.2 OVERVIEW OF CURRENT STATE OF TECHNOLOGY

Inventory is basically the total amount of goods and materials held in stock by a factory,

store and other business. An inventory system is a process whereby a business keeps track of the

goods and materials it is available. In its simplest since it can be done manually by a count at the

end of each day. In this way it is possible to keep a record of the goods coming in to the business

and goods being sold.

Since manual inventory consumes a lot of time and it is prone to errors, it would be helpful

to build a system that will computerize the transactions from acquisition of the product

description to updating the inventory database. The computerize inventory system will improve

employees work efficiency by computerizing routinely and time consuming task such as the time

spent in taking down the products information. As a result, the time can be used in more

productive activities. The accuracy of the current system will also be improved, since the

computerized inventory system would eliminate the need of constantly encoding lengthy details

of products by having an inventory database.

Monitoring encompasses the tracking of individual processes, so that information on their

state can be easily seen, and statistics on the performance of one or more process can be

provided.

1.3 SCOPE AND LIMITATION

Limitations should always be identified and taken into consideration. If there are doubts

concerning an instrument's ability to provide accurate measurements, then this is a limitation. A

weakness in the study's design is another limitation.

Easy Counting of Inventory Products

The staff can easily count or avoid error in their counting the products.

Data Consolidation.

The proponents think that is going to be good if the inventory system has a data

consolidation so it can be access and track easily.

Report Generation.

That system must be report generation so the staff and the admin are the only user

that can use the system.

Data Security.

The files or the info of the company are secured for stealing their identity on the

inventory history.

The system uses (C#) as its core scripting language, (SQL) as the database storage.

Adding, Deleting data and Editing.

Adding button new records for new product, Deleting button for deleting some product

that doesnt needed, Editing button for editing the product information if necessary.

User authentication for data access control

Allow the user admin to full access all data in database it allows the user to edit, add and

delete data in database.
