Bill of Lading

Overview
The Bill of Lading (BOL) is defined as a document that establishes the terms of a contract between a
shipper and a transportation company. It serves as a document of title, a contract of carriage and a
receipt for goods.
The X3 Bill of Lading function allows for the creation and printing of a BOL document. This is available
from within the BOL function or via the report function.

Setup
General Parameters - ADOVAL
Define the unit of measure (weight) to be displayed on the Bill of Lading. In North America there are
typically two units that are used (LB, KG). Choose the appropriate unit based on your location/business
needs. This is done in the VEN parameter and group XANA.

Select the group XANA to access the XBOLWEU parameter.

The values LB and KG are included by default however additional values may be added.

Parameter Definitions GESADP


If you need additional options for the weight unit of measure, you can extend the options by modifying the
parameter definition. Please take care when making this change as the entry is not validated to ensure
that it is a valid weight UOM.

Local Menu/Messages TXT 4128


The default set of freight classes are defined in local menu 4128. You may add to this list as needed.
Removal of freight classes is not recommended.

Product - GESITM
The Bill of Lading (BOL) uses a products defined freight class when determining how to group shipment
elements. The freight class must be setup on the product in order to use the BOL functionality. It
appears on the Misc tab.

Sequence Number - XBL


When a BOL is created, a unique BOL number is assigned. To enable this, you must setup a sequence
number XBL. Normal X3 sequence number management rules apply. The example below shows a
sequence is setup for a 3 character constant and a six digit sequence number.

Functional
A Bill of Lading is created via the BOL Maintenance function. This function can be accessed in one of
two ways.
1) Via drop option from within Shipment Maintenance
2) As a standalone function
This BOL function takes a shipment and the associated packaging definition to produce a straight bill of
lading. Multiple shipments can be combined on a BOL.
To be eligible for inclusion on a BOL, the criteria must be met.
BOL Customer, Site and Carrier must match shipment data
Shipment must be packaged
Address information must be identical (for multi-shipment BOL)
When a BOL is created, the BOL number is assigned. The shipment is also updated with the BOL
number. It can be printed using the standard Sage ERP X3 print functionality.

Shipment Maintenance GESSDH


The ability to generate a BOL from within shipment maintenance is provided via a drop-down option
Create BOL. This option passes the site, customer, and carrier to the BOL function an automatically
calls in Create mode. The screen sample shows the drop down.

Selection of the create BOL option, triggers the BOL function in create mode.

BOL Maintenance - GESXBL


A user can access this function from the menu or from shipment maintenance (described previously). If
accessed from the menu, they are required to provide the site, customer, carrier and to press the New
button to initiate processing. All other aspects of the processing are identical.

The examples below illustrate the process starting with a launch from shipment maintenance or after
entering the filter data and pressing New.

You must add the shipment to the BOL, this is done by manual entry of the detail data or via the left-list
selection (preferred). When the left-list selection is used, the parameters passed (site, customer, carrier)
are used as filters for displaying the shipments that are eligible for inclusion.

The screen shows an example of the filtered list.

The shipment(s) are included using standard Sage ERP X3 selection logic.

The user should provide the PRO number and the trailer seal number. After that information is provided,
the Create button is used to assign the BOL number.

Note: When called from shipment maintenance, the list of historical BOLs appearing in the left list is
automatically filtered to a list for the selected customer.

BOL Printing - XBILLAD


The Bill of Lading can be printed from within the BOL maintenance program. It is trigger use the object
print method, of using the File drop down (web client) or clicking on the printer icon (full client).

This launches the standard X3 print routine. When launched from within the BOL function, the BOL
number is passed as a parameter simplifying the selection process. A user can also print from the reports
menu but they must provide the mandatory selection criteria. A sample report appears below:
