Hello,

Broadly I will divide data uploading process into two categories.

1. Master data (GL accounts, customers, vendors, assets, cost elements, cost centers, profit
centers etc.)

2. Transactional Data (Open Items for customers and vendors, GL line items, Cost Center
planning, profit center plan data load etc.)

In the first case mostly you can use LSMW, if you are conversant. The following document is
useful to you.

http://www.scmexpertonline.com/downloads/SCM_LSMW_StepsOnWeb.doc

Note: No template is suitable for you, because, your configuration is different and their
configuration is different, field status of various fields must be different. Therefore, follow the
above document and start from fresh with recording. Recording is more or less sufficient for
master data.

In the second case, you create 5 Offsetting accounts + one main offsetting account.

1. Vendor Offsetting Account

2. Customer Offsetting Account

3. Asset Offsetting Account

4. GL Offsetting Account

5. Stock Offsetting Account

At the end of the day, the total balances within these accounts must be ZERO. Make ZERO these
accounts and transfer the balance to MAIN offsetting account. Once you have done this, make
sure you have blocked all these accounts.

Technically, in second case, you should take help from ABAPer to write BDC, particularly in case
if your entries are having different line items. For example your first document is having 5 line
items and second document is having 10 line items, in such case LSMW recording will not work.
You can depend on some standard SAP programs to map the LSMW. If you are not conversant
with how to map, then you can refer the following document posted by Naimesh.

/people/naimesh.patel/blog/2008/08/14/lsmw-with-rfbibl00

Still, if you are not able to map, then there is no other way, you need to depend on ABAPer for
uploading the transaction data through BDC. He / she will create a program and a customized
transaction code for you and provide you the format. You may have to help the ABAPer with your
requirement what you are exactly looking to upload.

Hope this is informative and let me know if you need any further information.

Regards,

Ravi

Hi,

in the Data Migration , we upload the masterdat through LSMW and Trnsactional data throgh
BDC program...

Masterdata Upload--GL, vendors, customers, Assets,Costcenters, Internal orders etc.,

Transactionla data upload -- GL lineitems, Vendor line items, customer lineitems, asset balances.

If u are upgrading the new version(ex: Sap 4.6c to ECC 6.00, then in data migraion we need to
maintain mapping tables(Company codes, GL, customers, vendors, costcenters), Dowload
programs and upload programs(BDC programs).

For example, we are migarting the data from SAP 4.6c to ECC6.0.
in Legacy(sap 4.6C) , we extracted the data(lineitmes) by using Downlaod programs(BDc
programs created by ABAPER).. the data will stored in encel sheets. then we upload the
data(downloaded excelsheets) in New system (Ecc 6.0) by using uploading program..

after uploading the data we would compare the Legacy trail balance with New sytem trial
balnace.

may be thsi information helps aa idea abour Data migartion..

Hi Ravi,

Your explanation is really upto the point. just need further clarification on AP conversions. I do
understand that we need to create ap conversion GL # to transfer the vendor line items.

1) It is my understanding that AP open items/open invoice are nothing but the invoice that are yet
to be paid. Typically, vendor accounts will have a reconciliation account mapped in the vendor
master record. Since we can not post directly to a recon account, we need to create a vendor
conversion account. Is this correct?

2) when we are converting, the JE will be dr - conversion account and cr-vendor. Does it mean
that we have to map the data against FB60?how can we set the ap conversion account to a zero
balance? noramally, when an invoice is generated the GR balance will off set between gr posting
and invoice posting and a credit balance will be left for vendor. The vendor credit balance will
offset with a payment. Once a payment is made the balance is zero on vendor recon account.
So, without issuing a payment we can not se this to zero . I may be missing something here. is
the AP account is different from vendor recon?? if so, could you please explain the JEs in this
process and which tcode I need to map the conversion data?

3) Can you also explain how we can do checks have been issued and not cleared- open checks
conversion.

Thanks,

Sri

Hi,

You can use Maintain Worklist for Line Item Display / Processing Open Items / Displaying
Balances ( OB55 ).
You can use work lists to combine G/L accounts so that their line items and balances can be
displayed together or so that their open items can be processed together. You can even group
together company codes for line item display purposes.
