Grammy Camp Child Care

Policies and Procedures


1.PURPOSE

Grammy Camp Child Care is a Family Child Care Home


licensed by the State of Colorado and operating under
Colorado Rules Regulating Family Child Care Homes
(available on request). Our goal is to provide western
Teller Countys most trusted, caring, and secure infant-
toddler child care home. These Policies and Procedures
are addressed to you, the parent/guardian, and they
apply to us, our employees, substitutes, and
volunteers.

2.ADMISSION AND REGISTRATION PROCEDURES

We want an opportunity to become familiar with each


other, tour our premises, and review these Policies and
Procedures. You must schedule a pre-admission
interview and complete these enrollment forms before
your child can attend:

In addition, Colorado law requires certified proof of
immunization prior to admission. Statements of Health
Status and Immunization must be provided for each
child at the time of admission. Health information
should include known allergies, medications and side
effects, special dietary requirements, and chronic
health conditions or developmental concerns. We will
not accept non-immunized children.

3.CLIENT CONFIDENTIALITY

We maintain strict client confidentiality and agree not


to discuss personal child care matters with anyone
other than the parent/guardian without written
permission.

4.SIGN-IN LOG AND AUTHORIZATION FOR CHILD


PICK UP

Greetings and departures are an excellent opportunity


to exchange information and allow parents/guardians
access to the facility. We maintain a daily sign in/out
log for parents, guardians and designees, and for all
visitors. You or your authorized designee must
complete the childs name, the time the child arrives
and leaves the home, and SIGN your name. You must
also sign to verify the record weekly. Other premises
visitors must record arrival/departure times and sign
their FULL SIGNATURE.

We will release children only to you or designees to


whom you have given written authorization. We will

maintain your written authorization in the childs
record. If we do not know the designee, we will require
picture identification to ensure authorization.

In an emergency, we may release the child to a person


twelve (12) years of age or older with your verbal
authorization.

We will not allow unauthorized pick-ups and will not


release children to a visibly intoxicated parent,
guardian, or designee. We may notify law enforcement
or human services in either instance.

5.FEE AGREEMENT

Standard Fees are determined and administered by


Head Start, or by separate negotiated agreement. Our
standard daily fee starts at $35.

6.HOURS OF OPERATION

Our regular hours are Monday through Friday, 7 a.m. to


6 p.m. Please respect our own family time! We may
consider individual needs in our agreement.

You are solely responsible for prompt drop-offs and


pick-ups. In the event of unavoidable delays or
unscheduled arrivals/departures, we must be notified
as soon as possible. If your child is left after hours and
we cannot reach you or your emergency contact, we
may notify authorities while we continue child care,
including snacks and activities.

If we are unable to provide child care due to our illness,
family emergency or other unscheduled event, we will
promptly notify you. Grammy Camp operates with two
(2) certified providers, but at times we may need to
provide a qualified substitute, or you may need to find
your own child care.

7.ILL CHILDREN

For everyones health and safety, if your child exhibits


communicable disease symptoms, they will be
excluded from participation in our program until they
are no longer contagious. Children must present a
doctors release stating they are no longer contagious
and may return to the program.

If your child is diagnosed with a communicable disease,


please share the diagnosis so we can notify our other
clients and update your childs health record. Your
personal identity and confidentiality will always be
respected and maintained. Only communicable disease
information will be shared as required.

If your child develops symptoms while in our care, we


will notify you immediately and require you to pick up
your child within an hour. You may arrange for pick-up
with someone listed on your childs emergency contact
form. If we cannot reach you, we will call people listed
as your emergency contacts until arrangements can be
made for the child to be picked up.

Grammy Camp reserves the right to refuse to admit
your child if we believe they are too ill to participate in
the program. If your child is excluded from the program
due to a fever, they may not return to the program
until they are fever free, without fever reducing
medication, for 24 hours. If your child is sent home due
to a fever, they may not return to the program the
following day at a minimum.

A fever is defined as a temperature reading on a


thermometer of at least 101 degrees Fahrenheit as
taken under the arm. Your child will be excluded from
the program for loose bowels or diarrhea occurring 3 or
more times in 24 hours, but may return to the program
when normal bowel movements resume.

8.SPECIAL NEEDS SERVICES

We will not refuse service to a child based solely on a


disability, and will make reasonable accommodations
for your special needs children.

9.APPROPRIATE CLOTHING AND PERSONAL


BELONGINGS

Please dress your child in comfortable play clothes


appropriate for indoor and outdoor activities. Each child
will have a storage cubby for hats, coats, boots, etc. We
require a complete change of clothes in case of an
accident. Please label clothing with your childs name.
We are not responsible for loss, damage, or theft of

personal possessions or toys, so please dont bring
them to Grammy Camp.

10. TOYS, EQUIPMENT, AND FURNISHINGS

We follow all federal and state regulations and


manufacturers instructions for proper installation, use,
and maintenance of our play areas, equipment, toys,
and household furnishings. We receive monthly recall
notices from the Consumer Product Safety Commission,
and bi-monthly toy recalls from Safe Kids Worldwide, a
toy safety monitoring agency. Recalled toys and
equipment will be immediately removed from service
and discarded. Your childs safety is our prime concern.

11. TRANSPORTATION

We follow all regulatory guidelines regarding safely


transporting children, including requiring written
authorization prior to transporting a child. We maintain
an 8-passenger, four-wheel-drive 2011 Honda Pilot; two
rear bench seats can safely carry up to six (6)
passengers/children/car seats, each with its own three-
point safety restraint. Grammy Camp provides car
seats in the event of
special events or emergencies. In either case, you will
be notified and may grant permission to transport the
child or make alternative care arrangements. We will
store a copy of each childs contact information in the
vehicle.

12. MEDIA USE

Grammy Camp will NOT use visual media (television,


tablets, etc.), but we do require written
authorization/denial for your childs participation in any
visual media presentation. We may play background
music and will include music in our programs.

13. MEALS AND SNACKS

Head Start provides breakfast, lunch, and two (2)


snacks per day. We are not allowed to feed children
outside their plan. Parents should notify us and Head
Start of any food allergies so reasonable
accommodations can be made. Food will be offered but
never forced on a child. We provide a separate breast
feeding area for mothers, can store breast milk for up
to one hour after heating, and will help infants
transition from breast feeding to bottle and from bottle
to cup. Snacks and activities will be provided to
children left after hours.

14. BEHAVIOR GUIDANCE AND DISCIPLINE

We are committed to cultivating positive relationships


in an environment focused on early learning and care.
Staff and children are expected to be socially and
emotionally respectful always. Positive behavior is
rewarded and pro-social peer interaction is encouraged
with the goals of reducing challenging behavior and
preventing suspensions or expulsions.

We will notify you of inappropriate behavior and
document any disciplinary action taken with you and
your child to guide your child to expected behavior. We
only take punitive measures, including suspension or
expulsion, when the childs behavior interferes with
positive relationships.

15. SAFE SLEEP, REST TIME, AND EQUIPMENT

We are trained in safe sleep practices and follow all


state regulations and equipment guidelines to ensure
child safety and comfort. We would be happy to share
our training materials to ensure proper procedures for
sleep position, blankets, items in the crib, etc. are
followed here and at home. We have a separate quiet
area and provide age-appropriate sanitary cots,
playpens, or cribs.

16. DIAPERING AND TOILET TRAINING

We provide a diaper changing station for infants; and


potty and separate sink facility for toddlers. Head Start
provides all necessary supplies. We will encourage your
child to use the potty and reward with positive
reinforcement.

You must provide written authorization for any topical


preparation used for prevention on unbroken skin,
including diaper rash ointment and petroleum jelly. We
will not apply topical preparations to rashes or broken
skin without a written medical order and parental
consent.

17. DAILY OUTSIDE PLAY TIME, SUNSCREEN

We include outside activities in our daily schedule.


Childrens needs and weather conditions determine
how long we play outside.

We must protect children from sun exposure. We will
never apply sunscreen to an infant. We will apply
sunscreen to toddlers exposed skin prior to outside
play. You must provide sunscreen in the original
container labeled with the childs name, and must
notify us if sunscreen was applied prior to arriving. If
you do not provide sunscreen, we will apply Equate
SPF 50 Sunscreen. Written authorization for any topical
preparation used for sunburn prevention on unbroken
skin is not required, but we will NOT apply sunscreen to
rashes or broken skin without a written medical order
and parental consent.

18. SPECIAL ACTIVITIES RESPONSIBILITIES

Grammy Camp may offer occasional field trips and


activities outside the facility. You will authorize or deny
such activities in general, and will always be notified in
advance of special activities. No special activity fees
will be charged. Of course, you may deny permission
and provide alternate care for your child, in which case
your private pay daily fee will be reimbursed.

Please ensure your child is dressed appropriately,


morning meds are administered, and (if well be
outside) sunscreen applied when your child participates
in special activities.

We will provide safe care and transportation for special
activities. Your childs meds, emergency contact
information and a first aid kit will always be in the car.
We are trained to administer first aid and CPR and will
immediately contact you in the event of any accident
or injury.

19. SECOND-HAND SMOKE PROTECTION

As required by law, we maintain a strict no smoking


policy covering the entire premises, guarding children
in our care against first-hand smoke. You and all visitors
must adhere to our policy and be mindful of the
dangers of second- and third-hand smoke in vehicles
and on clothing.

20. NOTIFICATION OF ILLNESS, ACCIDENT, INJURY,


OR OTHER EMERGENCY

You should notify us as soon as possible if your child is


ill or unable to attend. Likewise, we will notify you as
soon as possible of any illness, accident, injury, or other
emergency affecting your child. We reserve the right to
refuse services to ill children, and may require medical
clearance prior to readmission after an illness.

21. CHILDRENS MEDICATIONS COMPLIANCE

We strongly recommend that you give morning
medications at home. If we must administer
medication, we require a written order from the
prescribing health care provider. Prescription
medication must be in the original pharmacy container
with proper labeling matching the authorization and
stating the prescription number, childs name,
medication, medication route, dosage, time to be
given, and for how many days. Non-prescription and
OTC medications must be labeled with the childs first
and last name. All childrens medications will be stored
in a locked, inaccessible cabinet. Unneeded
medications will be returned to you or destroyed. A
medication administration log will be maintained with
the childs record.

22. ADVERSE WEATHER

We conduct severe weather drills twice per year. We


have designated the lower-level bathroom as our
shelter-in-place location. In the event of extreme
temperatures, inclement weather, or hazardous local
road conditions, we will notify you that we advise
against travel, or that we must cancel child care
service until conditions allow us to reopen. We will
provide activities and snacks for your child until
transportation is arranged.

23. EMERGENCY RESPONSE PROCEDURES

In any emergency, we will first ensure childrens safety,
then call 911, if necessary, and notify parents as soon
as possible.

FIRE, CARBON MONOXIDE EVACUATIONS

Smoke detectors, carbon monoxide detectors, and fire


extinguishers are installed on both levels of the house.
We practice evacuation drills monthly. Evacuation
routes are posted at both exits. When gas, smoke, or
fire is detected, we will evacuate the home, call 911,
and wait for emergency services at our playground.

LOCKDOWN, REVERSE EVACUATIONS, SHELTER-


IN-PLACE

We conduct lockdown, shelter-in-place, and reverse


evacuations twice per year. We have designated the
lower-level bathroom as our shelter-in-place location
During any shelter-in-place or lockdown, children will
remain in our care until we are cleared emergency
authorities.

24. SHAKEN BABY/CHILD ABUSE REPORTING

We are trained in preventing and recognizing shaken


baby/abusive head trauma. By law, we must report any
suspicions of child abuse or neglect to the Teller County
Department of Social Services Child Abuse & Neglect +
Adult Protection HOTLINE - 719-686-5550.

25. FILING A COMPLAINT

complaint, please contact your Head Start or Teller
County caseworker, or call the Colorados Division of
Child Care Licensing at
