1.1 Introduction
library management system is an information system that is meant to manage books in
libraries and other book stores where books are many like book shops which reduces
problems of management like when searching for specific books, it can easily show that the
book is available or not instead of wasting much time looking for it.
1.2 Back ground
Library management system is a software application that is used to maintain the records
related to book collection, stock maintenance, searching a book, catalog, book issuing and
other requirements needed to manage a book store in daily activities
Many library systems are operated manually by group of people. In such situations many
people involved in the process of managing the library such a way that to keep records
regarding the books & students (borrowers), check the books manually, keep records on issued
books etc. all these things have to be carried out manually & if the library is large in content handling is also a
problem. On the other hand keeping large amount of maintenance workers may cost a lot & it will not
be efficient for a library. Manual record keeping is also not a reliable method as people tend to forget
things .On the borrowers

point of view, in manual system borrower cant find a book exactly at

once as they are not ordered well. Sometimes user might be searching for a book that is not
available in the library in such situations people get annoyed or depressed. Therefore there should be a reliable
way to manage the library system.

1.3 Problem Statement

The current way of management and borrowing of books in the library of ankole western
university is done manually at present. All these are to be automated and an application is
required to relate all of them relatively and logically so that the current system can be
replaced and accepted without major changes and problems. The application should provide
quick access to the records maintained and must reveal the important reviews about the
library so that the growth can be easily compared and should provide with the various reports
showing the related details so that the important decisions could be taken easily.
1.4Main objective

The main objective of this project is to develop a system that can replace the manual library
managing system. that can handle & manage the activities involved in Ankole western University
library in an efficient & reliable way.

1.5 Specific Objectives

1. To analyze the current system
2. To design System that will ease the work of book store
3. To computerize records keeping of books;
4. To allow librarians to retrieve complete information of the book and its borrowers
1.6 Methodology

To achieve the objectives of this project, the main thing is to identify the main features that
involved in the system.
The first thing is to identify the tools both hardware and software that were needed in the
building of the system. After anaylsis was carried out, I was able to know what was needed in
the system and we put it down on paper which is refered to as an abstract plan.
PHP was the programming language chosen for this design. This is because of its support for
fault tolerancy, scalability, hot code swapping and real timeliness.
MySQL Database Management System was chosed as the database management system to
use. This is because of it being open source and its user freindliness.
1.7 Significance
The rationale of this study is to develop a system that makes the work of librarians
easy and also makes it as fast as possible.
The system keeps track of records which reduce on the failure of managing records.
It helps the researcher to widen his understanding an skills for developing future
systems
It is a requirement for the award of Diploma in information technology
The study will be an opening ground for future reference to students that is literature
review.
