Secretary's Report

Respected President, Mr. Anand Sen, and Members on the Dias, Mr. Rakeshwar
Pandey, Mr. BK Dinda, Mr. Dadan Singh, My Dear Colleagues of the Ex. Committee and
fellow Esteemed Members.

At the very beginning of the session, I call upon the house, with a heavy heart to
condole the demise of some of our members of the United Club family.

Good Evening and a very warm welcome to you all to the 68 th Annual General Meeting
of The United Club. Let me first wish you all a Very Happy and a Safe New Year.
Behind us is yet another successful year of events, sports, fun filled memories and lot of
infrastructural development & improvements. While last two years initiative on engaging
and involving more and more members in various club activities like sports, cultural and
etc our sub-committees, specially Infrastructure and Bar & Kitchen Sub Committee,
have actively worked in their respective areas enabling us to grow and expand from
strength to strength. Here, I would like to mention few of the notable activities / work
done by various sub-subcommittees.
Starting with Infrastructure development sub-committee, who were assigned with a
special responsibility of developing a master plan for long term infrastructure
development needs of the club in order to provide value added services and better
lifestyle in coming days to our members.

Infrastructure always plays a vital role for Hospitality industries and when a heritage
building is involved, it becomes all the more relevant. It has been the prime focus &
responsibility of the Infrastructure team to provide the finest of infrastructure facilities
with safe to use outlets to all its members. The team has always thrived for excellence
and year on year maintained, upgraded & built new facilities for UCs esteemed
members.

Last year has been a momentous year for United Club and specially the Infrastructure
development team as many new excellent additions were made and also horizons for
more improvement opened.

The Heritage : United Club long felt the need for an exclusive Lounge to cater to the
needs of Corporate houses as well as Members to provide high quality infrastructure &
facility to hold business and personal get together. The Heritage has not only met that
need but also establish itself as one of the finest Lounges in the city. With state of the
art facilities this Lounge is one of the best. Inaugurated on 21 st Aug 2016 this facility is
offering best in class service and exquisite atmosphere to all the members with
exclusive food menus.

Safety - Strengthening of power supply : Safety has always been our prime concern
and electrical infrastructure laid down also needed to be upgraded. Up gradation of
Feeder Pillar supplying power to the club has been completed. A dedicated electrical DB
with the latest technology has been installed to ensure no power outage and to provide
safe environment. We have also provided LED lighting in the tennis court area as an
initiative to go green.

Main Entrance Gate : To achieve better access control to the club premises, the Main
entrance gate was shifted to a new location. This not only enabled in achieving access
control, but also increased the safety & security of the club.

Horticulture : Horticulture is key facet of any facility to maintain the ecological balance.
The Gardens in front of Heritage, Main office, outside the Children Playing area and
Swagat have been redesigned and upgraded. Maintenance of the same is being done
by professionals on regular basis. We have also developed a plan towards upgrading
Swarn Bagh.

Washrooms : Two new toilets (Ladies & Gents) have been provided in the open
auditorium area as part of Amenities improvement drive. We are in the process towards
up gradation of existing washrooms which have lived its life and need modernization.
Our effort is to make environment friendly facilities, the concept, design and cost of
which have been prepared.

Besides accomplishing these major activities, the Infrastructure subcommittee has also
initiated work on future projects like Multi Gym with Sauna and Children Playing area,
Bar renovation, Renovation of Jubilee House

This has been possible due to the support extended by our esteemed members and the
continuous effort of the subcommittee especially our President Mr. Anand Sen, Mr Ujjal
Chakraborty, Mr M K Ghosh and Mr. Amit Singh.
Coming to restaurant & bar, which continues to be the most utilized services of the club
by members. These units not only provide regular services in restaurant and bar , but
also tries to add taste, flavors and varied gastronomical delight during cultural & sports
events to its esteemed members with an aim to make a difference and win their hearts.
Kitchen, restaurant and bar team has always tried to bring in new changes throughout
the year.

During the year, we came up with different food festivals like Steak & Sizzlers, Flavour
of South , Biryani, Kebab, Punjabi ,Bengali, Rajasthani Festivals, Satvik Khana, Combo
meals to name a few. All these offerings were grand success. Continuing with our
tradition, UC kitchen came with special food items during Valentine day, movie days,
Children day, Club day, Dandiya night, Diwali celebrations etc. This year theme based
dcor of restaurant area and enhancements / new introductions like Drive in takeaway
counter from old basketball ground side, Weekend breakfast at Palm Groove, Pool side
lawn Kitchen renovation & Seating arrangement upgrade, Live street food counter on
weekends were appreciated by most of you.

We express our sincere and whole hearted thanks to the staff of Kitchen for not only
managing approx 300 menu items on regular basis but also introducing new items from
time to time. This year number of new items was 70 in the menu. Team also deserves
kudos for supporting big parties through minimal outsourcing which has helped us
improving revenue of the club.

This year we hired specialty cook in Chinese section and also hired 4 captains to bring
in improvement in service levels. We have even made some changes in Kitchen layout
to improve speed of service. We are well aware of members increasing expectations
from club in the areas of food quality, food variety and service. Team is making efforts to
meet these expectations. Providing good service on weekend especially after movie
screening is still a challenge and team is working to come up with better solution. We
are sure that in coming days you will observe the change.

We hope the steps being taken are in line with members expectations. Your continued
support, suggestions and feedback along with constructive criticism would enable us to
make necessary improvement from time to time. We look forward to all necessary
support from you.

I would like to thank the staff of kitchen, restaurant & bar for their endeavor to improve
quality and service each and every day. Special thanks to Mr. Niloy and Mr. Rajiv lead
by Mr. Biswanath Roy & Mr Kapil Modi and all the subcommittee team members for
their continued efforts.
On the Entertainment & Cultural subcommittee - Active participation and feedback from
our esteemed members continues to be our driving strength and also are big
encouragement to us. Various feedbacks received during the last one year enabled our
club to provide better and improved entertainment related to the cultural activities.
In all the programs organized during the year, our club strived towards providing rich
and varied entertainment along with gastronomical delights. This year once again we
tried to balance between performance by members and performance by professionals.
Active participation by members in various events like Members night, Club day, Rain
dance and Dandiya night etc, has given us encouragement to come up with more
innovative programs to involve members in the coming year. Some noteworthy events
organized were :

26th January & 15th August flag hoisting along with a patriotic evening
Valentine Day (Saxophone artist)

Mega entertainment show on Club Day Celebration with a fashion show.

Kids Carnival on Childrens Day
Christmas and New Year celebrations

Movie screening has now moved to a new era from 2015. The digital projection has
made it possible to screen new movies within few days after release. You must have
also noticed the improvement in sound quality during last year although there is still
scope for improvement in this area.

Committee would like to make special mention of Sr Manager Mr Kaushal Pandey for
organizing various events Ladies day out, Dandiya night and Kids Carnival. He has
also been very active in all other events organized by committee.

Committee would also like to thank club staff for not only improving their effort in making
various events a success but also for improving decors during the event. As a special
mention, the floor painting in auditorium for Dandiya night was done entirely by our very
own club staff.

While the committee is committed towards providing superlative entertainment and

cultural bonanza to club members by incorporating various learnings from last year, it
also looks forward to suggestions from its esteemed members and seeks more
participation. Interesting events have been planned in the coming year for members to
relax and enjoy.

The entertainment committee is grateful to all esteemed members, member children,

organizers, club staff and sponsors for their support and cooperation during the year.
Also, I would like to thank our President Mr. Anand Sen each member of the
Entertainment Sub-Committee in particular Mr Kapil Modi, Mr Biswanath Roy, Mr Manoj
Singh for thier continuous effort, guidance and support to make each event a grand
success.
In continuation to fun filled, energetic & regular sports events, Sports and Games sub-
committee organized an array of sport events to engage, involve & keep the members
active as well as entertained. The committee had prepared an annual plan at the
beginning of the year and made sure they were organized in time.

Some of the key sports / games organized are

UC Intra club Tennis tournament

Swimming gala
UC table tennis tournament
Super Bingo
Interstate billiards tournament

Our club won the inter club cricennis tournament conducted by Tube Makers Club for
the 4th consecutive year. Both the bowling alley, one of our main sporting facility, was
made operational & it was ensured that both alleys keep on running without any
problem. Necessary actions for maintenance, inspection & spare parts contracts were
executed & finalized. Bingo (weekly) and Super Bingo (Quarterly) continues to attract
large crowd.

Going forward the committee will continue to carry out the events which have been
carried out during this year and the events which have been missed.

Mr. Sandip Dhir, Mr Subrata Basak, Mr Pankaj Kumar and his entire team has been
keeping the members and family actively engaged in the various sports and games.
Participation in all these events have been good and each and every event has been
played with good team spirit. I would like to thank Mr. Sandip Dhir and his entire team
for the excellent performance throughout the year. This committee is also working along
with Infrastructure development committee to enhance sporting facilities.

The Sports and Games committee is grateful to all the members, member children,
organizers, club and staff for their support and cooperation during the year. While the
committee is committed towards conducting new events for enhancing sporting spirit to
club members by incorporating various learnings from the past years, it also looks
forward to suggestions and seeks more participation by the members.

In our effort to improve the utilisation of the facilities of The United Club ( The Grand,
Darbar Hall, Deewan-e-Khas, Palm Groove, Open Auditorium, Exclusive, Swarnbag),
the rentals have been revisited based on prevailing rate of the market. Another guiding
principle to decide the rental was to have similar logic or guideline to fix the rental for
various facilities.

In our effort to continuously improve & sustain the facilities at Jubilee House, the
premises were given regular maintenance including rooms. Linen had been purchased
as and when required. Complimentary WiFi facility is in place. Room amenities like
Linen, water flask with thermostat, different signed tag like DO NOT DISTURB, MAKE
MY ROOM, TAKE MY LAUNDRY were placed in the room for guest convenience. The
premises was given regular maintenance including rooms. This has led to increase in
room occupancy. We request all our members to have a look and use the facility.

Hospitality Committee has also given special focus on the library. The lists of magazines
and books have been re-looked regularly. We have added new magazines. As per the
request of our members we are regularly adding new books from Book Fair and other
places. We have also purchased few Hindi books as requested by our members. You
are encouraged to visit Library regularly to take full advantage of facilities.

The above achievements were all possible without the good work & support of the staff
of Jubilee House, Library. I sincerely thank Mr R K Singh. Mr Subrata Basak and other
team members for their efforts & contribution.

The club managing committee has been continuously getting guidance, rapping and
support from our visionary leader Mr. Anand Sen, our President. It has been an honour
to work with him. The club continues to benefit from the keen interest and lively
contributions of its Union led by Mr. Rakeshwar Pandey, Mr. B K Dinda and Mr. Dadan
Singh of the Canteen, Hotel and Workers' Restaurants Union. Our Union committee
members have also been very supportive and gave suggestions to improve club
services.

I would like to make special mention of our entire club staff very well led by our Senior
Manager, Mr. Kaushal Pandey, for their relentless effort, flexibility in adopting changes
introduced and their warm behaviors. I am sure that the team will take the club to new
heights in near future.

We strongly believe that members of the club contribute hugely to its sporting, social
and cultural activities. I would like to mention here that the journey would have been
difficult without support of you all. Your expectations, suggestions and desires inspired
us to serve you and serve you better. We derived our aspirations, willingness, strength
and energy to do our best and further create new milestones. Let me again wish you all
a Very Very Happy, Safe and Prosperous New Year.
