Create and Deploy Descriptive Flexfields

Summary
This is an overview of how to enable and deploy descriptive flexfields (DFFs)
across all Fusion modules. This example will focus on enabling DFFs in
Receivables. In this scenario, the user wants to include a dropdown list on all
sales invoices that indicates whether the customer is preferred. The ability to
enable similar fields is available (see section 5, Appendix A).

NOTE: this script depicts a very simple DFF that is meant to be customized to
meet a variety of business needs. Readers should not necessarily use this
specific example.

1. Open Setup and Maintenance.


2. Search on Manage Receivables Descriptive Flexfields.

NOTE: You can search for Manage Descriptive Flexfields if you want to
display a list of all modules within Fusion where DFFs can be deployed.

3. Click the Search button to display all areas within Receivables where DFFs
are available.

4. For this scenario, search Invoice Lines.

Note the Deployment Status and Deployment Date columns, which
indicate whether any DFFs have been deployed in Invoice Lines.

5. Click the Edit icon.


6. Click the Create icon under the Global Segments window.
7. Fill out the following fields:
a. Name: Preferred Customer? [Code will automatically populate
once you tab out]
b. Data Type: Character
c. Value Set: 30 Characters
d. Prompt: Preferred Customer?
e. Display Type: Text Box
f. Table Column: ATTRIBUTE1
NOTE: Ensure the Flexfield is Enabled at the top of the window.
8. Scroll down to bottom of window and ensure the BI Enabled check box is
checked.

9. Click Save and Close.


10.Now the new descriptive flexfield will appear in the Global Segment
window.
11.Click Save and Close.
12.You should now be back on the screen which displays all Flexfields in
Receivables. Note that the Invoice Lines row no longer has a checkmark in
Deployment Status. Since we enabled a DFF in this area, the Flexfield
needs to be deployed into production. Highlight the row Invoice Lines
again and click Deploy Flexfield. NOTE: Without completing the step,
the DFF will not show up where it is supposed to.

NOTE: A window will pop up and show deployment progress.

13.Click OK > Done.

The new descriptive flexfield can now be accessed in Receivables and used
when entering Invoices.

Intelligence

Summary
The new descriptive flexfield can now be accessed in Receivables and used when
entering Invoices. However, all new DFFs must be imported into OTBI before
they can be recognized with BI reporting tools.

1. Navigator > Tools: Scheduled Process


2. Click Schedule New Process button.
3. Click the Name drop down arrow and select Search.
4. Search for Import Oracle Fusion Data Extensions for Transactional
Business Intelligence.
5. Highlight and click Select.
6. Click Submit.
7. Click Refresh icon on the Scheduled Processes Overview page. The
new process should appear in the workflow and show a Status: Running

IMPORTANT: This process usually takes between 20-60 minutes. When the
scheduled process has completed, a status of Warning may appear (rather
than Completed). This does not appear to adversely affect the outcome.

Populate New Descriptive Flexfields

Summary

In this section we enter an invoice, filling in the new field Preferred Customer?

Demo

1. Navigator > Receivables: Billing


2. Click on Create Transaction.
a. Select Business Unit: USA1 Business Unit.
b. Transaction Source: Bills Receivable
c. Transaction Type: Invoice
d. Payment Terms: Immediate
e. Bill-To Name: ABC Application Software
f. In the Invoices Lines, input the following information:
i. Item: AS46344
ii. Quantity: 25
iii. Unit Price: $500
iv. Click into the Details icon
3. Note the new flexfield entitled Preferred Customer has been deployed
and fill in with data [either Yes or No].
a. Note: In this example the size of the Preferred Customer text box is
quite large in the screenshot below. This can be adjusted when the
DFF is created. Look for the Display Properties section of the DFF
properties.
4. Click Save and Close.
5. Click Complete and Close to complete the sales invoice transaction.

Reports and Analytics

Summary

After creating a sales invoice, proceed to Reports and Analytics to create a report
that will include your new DFF. NOTE: This part of the demo will only work once
the DFF has been imported into Oracle Transactional Business Intelligence (see
section 2).

Demo

1. Navigator > Reports and Analytics


2. Click on the Create icon.
3. Select Receivables Transaction Real Time.
4. Expand Transaction Line Details.
5. Expand Line Information.
6. Here you will find your new DFF. Highlight and pull into the report by
clicking on the Right Arrow.

7. Pull in additional data fields into Selected Columns window. This will
make for a more detailed report. Expand Transaction Line Details.
8. Scroll through reporting builder to the Sort and Filter stage.
9. Click on Add Filter icon in the Filter Window.
10.Set new DFF (Preferred Customer?) equal to Yes.
11.Select the Preview check box to verify the data fields have been imported
into OTBI.
