JOB DESCRIPTION Sales Manager or Director of Sales

Job Definition : Responsible for maintaining and continuously increasing a high level of
sales performance both for rooms as well as food and beverage services for his own Hotel
first and then for other Hotel and finally for the company as a whole

Duties and Responsibilities: To formulate a sales programme one year ahead and plan
week-to-week sales activities with a view to maximizing the use of staff time and
promotional finance

To research the market on a continuous basis in order to determine where business


comes from, how it is influenced, to identify the Hotels clients and how they arrive in
the city etc
To maintain within the community and in neighbouring marketing areas, contacts
with airlines, travel agencies, commercial houses, private clubs, professional
associations etc, to produce new business and repeat business for the Hotel. This is
to be done by means of personals calls, telephone contacts and written
communication
To keep himself up-to-date of market trends and Hotel selling techniques
To maintain liaison with corporate sales and marketing team and keep abreast of
developments in the chain with a view to promoting weak properties and taking
advantage of strong ones
To review internal promotional items on a regular basis to ensure that all Hotel signs,
posters, tent cards etc are adequate, visually effective, and consistent with the
company standards
To make recommendations to the general manager for local advertisement
campaigns, media selection, timing, copy etc.
To suggest expenditure for direct mail programmes and special promotions, as well as
estimate costs for the expenses of the sales department
To organize and promote in co-operation with the food and beverage department
special projects such as food festivals, promotions, exhibitions, parties etc, in order to
stimulate food and beverage sales
To prepare and execute regular direct mail campaigns which stimulate local interest
in the Hotels facilities by announcing a special event or a promotion
To set-up appropriate filing systems of existing and potential accounts and keep them
up-to-date and properly categorized
To adhere to strict grooming and hygiene standards
Troubleshooting, Situational handling in adverse conditions including or irrespective
of escalations, it includes monitoring, sharing feed-forward and feedback ensuring
guest checks out with delight and fit to be into a loyalty clientele base.

JOB DESCRIPTION- Banquet Sales Executive/ Asst Banquet Sales Manager

Responsible To : Sales Manager, Food and Beverage Manager

Job Definition : To sell available banquet space with a view to promote food and beverage
sales through conferences, conventions, meetings etc

Duties and Responsibilities

To undertake daily prospecting of clients with a view to selling banqueting facilities


available
To maintain constant contact and liaison between the Hotel and the regular clientele
To identify local competition and suggest means of combating the same
To prepare written reports on a daily or weekly basis of prospective clients,
communicated to the Food and Beverage Manager and through him, to the sales
manager and the general manager
To help the accounts department in the realization of outstanding payment from
guests
To go on daily sales calls to prospective clients and maintain proper records for the
same
To handle telephonic enquiries as per standards laid down
To meet with guests to maintain cordial relationships
To escort prospective clients for a property show-around
To co-ordinate with the F&B manager to arrange for various conference aids
To negotiate rates with the client so as to get the best deals for the Hotel as well as

JOB DESCRIPTION- Senior Manager Human Resource & Development

Job Definition: The main purpose of the job is to develop a congenial employer-employee
relationship aimed at ensuring that employees contribute effectively to the organisation and
facilitate employee development and growth.

To assist the management in all activities relating to recruitment, selection, training,


performance appraisals, promotions, transfers, collective bargaining and maintenance of
discipline. Assist and advise the management in the overall control of the payroll as
budgeted by top management and the maintenance of personnel records

Duties and Responsibilities:

To initiate employee recruitment ( as per requirements of different departments)


which includes release of advertisements, screening of applications, fixing interviews
etc
To issue appointment letters to duly selected staff and organise their induction and
orientation. Also to organise confirmation interviews at the expiry of the probationary
period
To frame/ review employee conduct and discipline rules pertaining to the particular
unit in consultation with the management.
To ensure that all personnel records are up-to-date in terms of:
Hotels prescribed application form (Application-Blank) for appointment duly filled
in.
LOIs/Offer /Appointment letter
Periodical performance appraisal
All memos/ letters issued to staff regarding his/ her job performance, warning or
appreciation letters, increment letters etc
Job description.

To handle staff grievances, assist management in staff grievances, analyse repeated


grievances and suggest corrective measures. Also to counsel and monitor employees
changed behaviors whenever necessary.
To ensure that all statutory obligations relating to the personnel function are met and
maintained, effective liaison with the government labour authorities and other
government authorities established under the labour laws
To keep himself/ herself informed of such activities which may have repercussions on
the industrial relations climate of the unit and to upraise the management of the
same from time to time
To handle/ assist the management in bipartite -negotiations and attend conciliation

In case of disciplinary action, to initiate a show-cause notice and to advise the

and implementing disciplinary action, taking needy prima face disciplinary deviation
for shop floor.
To co-ordinate with the training manager on staff development matters and the
apprenticeship training scheme, and staff training initiates.
To Initiate Induction /onboarding experience for new joinees, To hold/Conduct/Manage
Periodical Trainings, capsules on Attitude, work behavior, safety & security norms,
Norms of Ministry of Hospitality & Tourism, pledges, so as when necessary
To suggest welfare and incentive schemes to increase productivity and enhance staff
motivation
To Prepare HRD Budget and details of expenditures, investments for the relevant
year. To advise the financial controller on monthly payroll adjustments on account of
employee leave, sickness, absence etc,
To Manage Pay Roll Systems, To Govern Biometric and manual attendance systems as
a base for employee salary.
To ensure Attrition measure or any other deductions like on for uniform retaining etc
has been executed in proper manner from the employees salary and assisting
management on such interventions..
To ensure the proper issue of identity cards , uniforms, lockers etc for new employees
To maintain a live register/Employee Master- Database for all categories of
employees to facilitate filling up of vacancies at short notice.
To timely modify, readjust criterias of Performance Management Systems if required
and communicated across all levels, keeping management in confidence. ensure that
the staff performance appraisal exercise is completed regularly and on time by all
departments.
To conduct exit interviews, and take follow up in necessary action plans.
To initiate a call on Retention Prerogative post due consultation with Management.
To furnish any information on personnel required by the general manager or the
corporate human resource manager.
To Monitor Security Guards-interms of Quality in Surveillance and ensuring Propertys
Security, and take timely actions when as deemed necessary, keeping management
on loop..
To Manage Staff Cafeteria, Fooding and Nutrition, Menu making and timings in
confidence of the management, and make a established policy for the same, with
timely ammendmations.
Troubleshooting, Situational handling in the work-floor area or any area of staff
deployment (including contract staffing) adverse conditions including or irrespective
of escalations, it includes monitoring, sharing feed-forward and feedback with the
management post analyzing the situation.

JOB DESCRIPTION: Personnel/HRD Assistant

Job Definition : To look after the routine administration of the personal department and
assist the personnel manager in personnel policies
Duties and Responsibilities

To look after the basic (routine-function), daily regulatory activities of the personnel
department in his Supervisors absence.
To assist the personnel/HRD manager in reviewing the manpower requirements of the
Hotel in consultation with the departmental heads, and also to assist/ participate in
the recruitment and selection of employees.
To ensure that all personnel files are up-to-date, and confidentiality being met.
To review the working conditions of all employees in the Hotel with emphasis on
safety, sanitation, ventilation and light, and suggest improvements whenever
necessary.
To assist Head HR in employee state insurance (ESI) and Provident fund (PF)
To co-ordinate with the f&b production team for the staff cafeteria to help in feed-
forward and feedback to ascertain the availability of nutritious and tasty food at a
reasonable cost.
To maintain an effective system of attendance and leave record in the organization,
and ensure that the attendance statements are sent to the accounts department
To ensure that staff receive timely and proper medical attention and visit employees
who are sick
To visit the residence of the employees (with his supervisor and security in case of
female residence) as a representative of the management on auspicious as well as
unhappy occasions.
To assist in ensuring the transport facilities for the staff who are entitled to it as per
the company policy, as per the guidelines of HOD.
To have basic knowledge of labour legislation including latest amendments,

JOB DESCRIPTION- Accounts Manager

Job Definition: To administer, control and develop the accounting function of the Hotel on
the basis of the uniform system of accounts in the company, and to exercise complete
control over income, expenditure, cash flow, fixed assets and movable assets of the Hotel in
strict accordance with the company policies and systems. Responsible for maintaining
accurate accounting records pertaining to all expense accounts and income accounts

Duties and Responsibilities

Responsible for the daily and recurring operations of the accounts department and
the preparation of required financial statements
To ensure that the front office and restaurant cashiers, night auditors, stores and
receiving clerks carry out their functions properly
To maintain on a daily basis all Hotel accounting records in strict accordance with the
uniform system of accounting in practice, or in accordance with the adjusted system
of such accounting that may have been modified to suit local needs
To provide the financial data to carry out financial analysis of operations so as to
assist the management to take corrective actions wherever necessary
Responsible for implementing the credit policy and decisions of the company and
maintaining city ledger records
To make constant efforts to reduce the outstanding accounts by checking these
accounts regularly and initiating action for their settlement
To prepare monthly forecasts on sales costs and payroll wherever applicable

JOB DESCRIPTION: Food and Beverage Controller

Job Definition: Designing food and beverage control systems and procedures;
planning, organizing, co-ordinating and controlling the implementation of the stipulated food
and beverage control systems and procedures to optimize returns on cost in food and
beverage, and to achieve economy in food and beverage costs

Duties and Responsibilities

To gather, process, analyse and present relevant data on the performance of the food
and beverage department with appropriate comments to the management
To take corrective action whenever necessary and counsel the F&B manager and the
executive chef accordingly
To plan the Standards & specifications for the food and beverage merchandise in
consultation with the F&B manager, Executive Chef, Purchase manager and the
Financial Controller. Also to review the standards and specifications at regular
intervals
To prepare monthly profit and loss statements for each F&B outlet
To initiate and introduce improvements in F&B controls; systems and procedures
which are found necessary to ensure effective food and beverage control
To conduct spot checks in the receiving, stores, food production and all F&B service

Job Definition : Responsible for liquidating all liabilities incurred by the Hotel after

To scrutinize all invoices and verify their accuracy


To double check invoices with purchase orders and receiving receipts
To maintain records of all disbursements as required for company controls
In case of payments of large amounts, to enter the amounts in cheque registers and
prepare cheques for final signature and disbursement

To prepare accounts of sundry creditors and advance schedules and tally the same
with the control ledger

Job Definition : To organize, control, maintain, record and issue as per the laid down
procedures for all merchandize stored in the Hotel

Duties and Responsibilities

To assist the Financial Controller in formulating inventory policies that are consistent
with the realities of the units financial position and operational needs
To review continuously par stock levels through inventory turnover audits and to
determine inventory levels that represent the best reconciliation of profit and
turnover objectives
To plan, organize, co-ordinate and control the operations of all the stores on a
continuous basis so as to ensure the availability of sufficient lead time to ensure
timely delivery and issue of merchandize and goods
To keep records of the movement of different categories of merchandize and take
timely corrective action to prevent wastage
To originate purchase requisitions for regular store items which reach their pre-
determined minimum par, mentioning clearly the priority
To process purchase requisitions (duly approved by the department head and the
general manager) for procurement of non-store items, clearly mentioning the dates
on which the items are required and forward the same to the purchase department
immediately
To follow-up on all purchase requisitions placed by him

To be warm, friendly and courteous to guests

To deputize for the front office manager in his absence or whenever required to do so

Job Definition : To organise, develop, operate and administer the food and beverage

Duties and Responsibilities

Responsible for food and beverage service in the pre-determined area assigned to
him/ her

To conduct the functions of the F&B Manager in his absence

To recommend food and beverage service standards and specifications in clear


relation to industry standard, Hotel policy and external competition

To originate and approve the general stores requisition, beverage requisition and the
kitchen requisition as per weekly/ daily schedules planned.

To maintain par stocks for silverware, china, linen, dry food stuff, stationary and non-
alcoholic beverages. Also, to revise these par stocks as per seasonal changes

To recommend the periodic purchase of special items both domestic and imported

To keep abreast with the competition by conducting periodic competition and market
surveys

To conduct a menu engineering exercise annually to be able to identify the fast


moving and slow moving items on the menu(s)

To coordinate with the other service personnel in the restaurant for overall
operational efficiency. Particularly through proper maintenance of reservations,
allocation of tables so as to facilitate service by appropriate distribution of work load

Duties and Responsibilities

To ensure the effective running and maintenance of the air conditioning plant and the
refrigeration equipment
To supervise the operation of the plant room, boiler room, mechanical and electrical
works and the engineering controls

To ensure the smooth functioning of the generators and supply and storage of diesel

To periodically check and supervise the functioning of the gas bank, cylinder
replacement, etc.

To maintain contact with all equipment suppliers for periodic and emergency
servicing and repairs

To constantly check on the maintenance jobs in various areas and ensure their timely
completion

To plan preventive maintenance schedules in all areas including guest rooms and
ensure their timely completion

To supervise repairs in case of breakdowns and ensure their timely completion

To keep the chief engineer informed of the daily maintenance progress and
performance of various machines

To officiate for the chief engineer when required to do so
