This module in QT9 QMS allows you to track and manage the scheduling, details, and results of your
audits, and also track and evaluate the auditors conducting them. This module is packed with user
friendly reporting, integration with corrective and preventive actions, link documents to processes,
custom approval process, and email alerting.
Calibration
Keep track of all of your companys measurable equipment and maintain all of the calibration records
at the click of a button. QT9 QMS has a very easy to use intuitive calibration module that has email
alerting built in it to remind you when measurable devices are near calibration dates.
Corrective Actions/Preventive Actions/Nonconforming Products

Electronically keep track of all of your corrective actions, preventive actions, and nonconforming
products without the use of Excel logs! QT9 QMS allows you to assign them to responsible parties,
reject, approve, or verify effectiveness on them, attach files, and view them at all statuses through
reporting as well as send out email alerts the whole way throughout the process. QT9 QMS also
provides you with user defined fields to track your company specific data per action. Also comes
equipped with detailed, visual reporting for trend analysis as well as integration with the supplier web
portal.
Customer Feedback
Track all of your customers complaints and positive feedback with our customer feedback module.
This module allows you to create custom feedback types and categories as well as assigning
responsible parties to them. This module also directly integrates with the corrective actions and
nonconforming product module. With the investigation process and detailed reporting, you can easily

Web Modules
Customer Surveys
QT9 QMSs customer survey module creates dynamic customer surveys with comments and file
attachments. You can assign your own scoring method and assign any amount of customers to a given
survey. QT9 QMS also provides you with intuitive statistical reporting based upon the scoring of
individual surveys all the way through results of the survey group as a whole. In addition to this, QT9
QMS gives you the ability to send out a web link to your Customer Web Portal. You customers will be
able to login and fill out the survey online making the survey process completely automated and
hands free!
Customer Web Portal

Send your customer surveys to your customers online! Now when you send a customer your survey
out of QT9 Web, it will provide your customers with logon credentials to log into your QT9 customer
portal to fill out the survey. No need to print out a pdf fill it out and send it back to. This will increase
your customer participation in your survey process with its ease of use. The customer web portal also
allows your customers to sign off on document revision and engineering change requests.
Deviations
Manage Product and/or Process Deviations with QT9 QMS which includes the ability to record,
investigate and approve the Deviation, along with the period that the Deviation is to take place.
Document Control
Streamline your document control with QT9 QMS. Make all new document and document change
requests electronically with email alerts. QT9 QMSs document control is tied into not only the training
module & inspections, but also the departments that you assign your users and managers. QT9 QMS
will act as your companys central repository for your current document lists as well as your obsolete
documents.
ECR/ECN
Track your Engineering Change Requests and Change Notifications with QT9 QMS! QT9 QMS not only

Employee Training

Web Modules
The QT9 QMS Employee Web Portal gives you the ultimate in paperless tracking of employee training
requirements. Easily link employees to user accounts for a unified login account or create their own
unique username and password for those employees without email or user accounts. Employees can
download and review document changes, sign off on any type of training record, and even take tests
in the Employee Web Portal.
FMEA
Track all of your FMEA records in an easy to search and process format. With automatic revision
control of your products and processes, QT9 QMS completely automates your FMEA process.
Inspections
The inspections module in QT9 QMS allows you to create inspection plans for both receiving and
production inspections. All inspection plans are approved and tracked by revision and can be linked to
document control. Inspection records can not only be tracked but also reported on! That means all
of your pass/fail or nominal value inspection criteria can be captured in the QT9 QMS database and
linked to corrective actions or nonconforming products. The Inspections Module is the key to
Traceability for all products and services within your business.
Management Review
Keep track of all of your management review meeting notes electronically with the QT9 QMS MRM
module. This module confines to every auditor's requirement for management review information all in
an easy to use interface. You can even attach files to the management review and create
Management Review issues (action items) that can also be linked to CAPA records and assigned to
responsible parties for completion.
Material Review Board

Supplier Evaluations
Similar to our customer surveys you can create dynamic supplier evaluations with custom scoring and
use evaluation questions from a question bank to customize each evaluation you create. Attach files
for evidence and make comments per evaluation criteria. Use our email feature to email out your
supplier scorecards to the suppliers right through QT9 QMS!
Supplier Surveys
Create an electronic form for your suppliers to fill out online in the QT9 Supplier Web Portal. They will
be able to upload files (such as their ISO/HACCP certificate), answer your supplier questionnaire, and
submit it for approval. This even can work as your supplier approval process!
Supplier Web Portal

The QT9 Web Supplier Portal gives you the ultimate in supplier quality communication. With the
supplier portal you can assign Corrective Actions and Nonconforming Products to your suppliers and
give them the ability to log in to the supplier portal to fill them out!!! QT9 will send them email
reminders to fill out the CARs or NCPs based upon the due date. You can also post their supplier

verification. All To Do List items are hot links to their respective modules.

Security Features
Security
QT9 QMS Software is a closed system and is fully compliant with Electronic Records and Signatures.
This document will describe in detail how QT9s architecture not only demonstrates a closed system, but
how our SAAS (software as a service) model is also compliant with the electronic signatures
requirements as well as using cutting edge ASP.NET web development technology and server security.
SSL Certificate Usage

First of all QT9 utilizes a 256 bit SSL encryption certificate issued by Digicert, this is very important as
the SSL certificate helps us with our part 11 compliance and ensures transaction secuirty. The SSL
encryption means that no matter what computer you are connecting to QT9 with, there is a unique
encrypted session binding QT9 to that computer. This means that as you are logged into QT9, no other
computer can log in as your user at the same time, and all communication (data entered, viewed, or
downloaded) goes through a secure tunnel to QT9 essentially providing a unique, secure connection
between the client PC/device and QT9. This satisfies the section of 21 CFR Part 11 section 11.10 h. See
the 2 diagrams below on how encryption works and how authentication works for web applications:

Security Features
SSAE-16 Service Organisation Reporting Standard

All QT9 Software web applications will be first and foremost protected by a 256 bit SSL certificate giving a
high level of encryption and our cloud based services and datacenters provide Security and Privacy
standards in accordance with the widely recognized SSAE-16 Service Organisation Reporting Standard for
Cloud Storage.
Data Security
All data is stored in a SQL Server database for each individual QT9 QMS system. All clients user accounts
that runs their application system is also the only user that has access to their client specific SQL Server
database.
File Security
All files uploaded into QT9 QMS are given 2 levels of security. First they are given a unique ambiguous
name of 12-15 characters in length. Then they are encrypted by the application installation itself to add
the last and final layer of security to them.
Private Software Initialization

Each company hosted by QT9 Software will receive a unique username & password combination that will
not be reused again for any other future or present subscriptions controlled by QT9 Software.
Full Disaster Recovery

All clients and their data are backed up to a separate off site web server redundantly. We can roll to our
backup server at any point ensuring minimal downtown. This ensures that you will be up and running with
your most recent data even when disaster strikes.
Individual Site Resources

All clients systems are kept completely separate and disconnected from any other client or resource QT9
Software offers. This ensures that your software can only access your data and files, thus making your
site more secure.
User Routings
QT9 also utilizes the username of a given user to route approvals and actions. What this means is that if
User A sends an action to be approved to User B, only User B has the rights to approve that action based
upon passing the username and password login to create the web session of QT9. It is impossible to
approve, enter, or edit data in QT9 as any user other than the user you are currently logged in as into
your secure session with QT9. All approvals and edits are tracked in timelines visible to the users (and
un-editable) as well as in the log files kept in the background. This gives us a full audit trail of what has
happened to each record.

Security Features
QT9 also controls the use of user profiles. To start, no usernames can be used twice. There is no
chance that there are 2 identical usernames available in this system. Only users marked as
administrators within QT9 have access to adding and editing users. The users passwords are
completely hidden even from administrators. There is a password expiration setting in QT9 that
administrators can utilize to prompt users to change their passwords at a set time increment. This
guarantees that the users in QT9 are keeping their passwords more secure by changing them at set time
intervals. In addition to that QT9 will alert all QT9 administrators when a username is unsuccessfully
attempted to login 3 or more times in a row. There is also a setting in QT9 QMS that requires the users
password be entered a 2nd time on any approval.
QT9 Site Installation

Every QT9 site for every customer is set up uniquely on our server in isolation mode to ensure the
individual site has its own resources used on the server. Each site is created with its own admin
username and password on the server side with the default web server usernames disabled. This means
each site has its own unique system generated username and password to run its site resources on our
server. Each site also uses its own unique application pool using the same username and password to
run it. This means that every site runs as its own resource pool that cannot be touched by any other site
or username on our server. It is essentially like each site is being run on its own virtual server.
Web Servers
All web servers utilized by QT9 Software are SSAE-16 Reporting on Controls (Security and
Privacy) compliant. This ensures the data center has the right controls in place to manage the
redundancy, security and privacy of their service. We operate all QT9 Software SaaS offerings on
a system that incorporates 2 live web servers. Our production web server is redundantly backed
up to a hot spare web server in a separate data center on a different power grid. This is done
utilizing Windows Server DFS and failover clustering. Being able to failover to a separate web
server within an hour allows us to maintain a 99% uptime with our customers.
In addition to the live backups/redundancy from our production web server to our backup web
server, we also utilize Dell AppAssure to snap shot our servers in time for complete disaster
recovery. Between having a hot spare web server and Dell AppAssure snap shots, we make
sure our customers data and files are safe, secure, and easily accessible in case of disaster.
There is unlimited hard drive space and plenty of bandwidth for each site that get implemented
on our servers. So you have the freedom of adding as many files as you need and track as much
data as you want, because QT9 Software can handle it!

We at QT9 Software take it upon ourselves to do a full system validation for all of our QT9 Web
Subscription (cloud based) customers. QT9 QMS validation is not an E-Validation. It is a full validation
of every module and global feature step by step. We not only build the validation protocols for each
module. But we perform it manually providing the screen shots and print outs for every step to show that
QT9 QMS is performing exactly to specification. Every minor release (July/August release) is validated to
what has been changed or added. Every major release (January/February release) is a full system
validation for regression testing. The full validation report is available for our Signed Web Subscribed
customers records.
