PROPOSAL
Modernize workspace and establish web presence for the Floripe Medical Group

PROJECT SUMMARY
McElroy Consulting proposes to technologically renovate the Floripe Medical Group
office space. The modernization includes new computers, printers and software at all
workstations. All staff members will be provided with a private email addresses and
login information. In addition to the new software and hardware, Siobhan will design
and establish an office website to provide patients with practice information such as
office hours, location, services offered and staff biographies.

The medical practice software provides an intuitive, color-coded scheduler makes


booking, changing and updating office appointments simple. Patient demographic and
medical-related documents are quickly and easily converted to a paperless format with
our scan and upload software feature, further streamlining office workflow. Most
notably, an automated insurance eligibility verification program frees medical staff
time to focus on other high priority tasks.

McElroy Consulting will provide software and technology assessments and training to
all staff. Siohban will establish contracts for Internet Service and webhosting to be
transferred to the Floripe Medical Group upon departure in 2014.

PROJECT DESCRIPTION/SCOPE
McElroy Consulting will deliver and install all new office equipment and software. We
will provide assessment and training to all staff members. We will customize and
publish your office website and assist in webhosting and updates. This proposal also
contains contact and responsibility information for all personnel working through this
renovation. We have outlined a schedule for work to be completed, as well as an
itemized budget.

EQUIPMENT
McElroy Consulting will deliver desktop workstations for the reception area, the health
insurance specialist station, the nurses station, the bookkeepers station, the
managers office and the office of Dr. Floripe (fig 1). Heavy-use LaserJet printers will be
installed for shared use in the reception area and at the nurses station and will be
wirelessly connected to all workstations for easy access. Color InkJet printers will be
installed at the workstations of Joan Crawford, the Office Manager and Dr. Floripe.

EQUIPMENT
McElroy Consulting will deliver and install the following equipment:
Six HP Pavilion P6-23265PC Desktop Computers
To be installed in the reception area, health insurance specialists station,
nurses station, bookkeepers station, Joan Crawfords office, and Dr. Filipes
office.
The HP Pavilion has a midlevel processor that fits the requirements to
run the software recommended in the next section. This model has
4TB of RAM (memory) making it ideal for standard office work. It has
wireless network capability.
Two HP LaserJet P2015 B/W Laser Printers
To be installed in the reception area and nurses station.
The P2015B is capable of printing 300 sheets per minute, making it
ideal for high-use areas of the office. The printers are wirelessly
connected to the network for shared use.
Six HP - 374417-001 - 17in Flat Panel LCD Displays (Black)
To be installed with all desktop computers.
The HP 17 flat panel LCD monitor is compact and has a low energy
requirement. Elegant Interiors specified monitors to be ordered in
black.
Two HP Officejet 6600 All-in-One Color InkJets -
Fax/Copier/Printer/Scanner
To be installed in the offices of Doctor Floripe and the Office Managers.
An easy to use touchscreen panel makes the HP OfficeJet 6000 ideal
for novice users. Tap the touchscreen to access applications and
control print, copy, and scan jobs. Print professional color for a low cost
per page and share on a wireless network.

SOFTWARE
Aiden will install the following software for all workstation- MS Office Suite, Lotus Notes,
and Medical Office Suite. Additionally, Advanced Billing Software will be installed at the
bookkeepers and health insurance specialists workstation:

Microsoft Office Suite 2010


Microsoft Word (word processing), Excel (spreadsheets), PowerPoint
(presentations,) and Access (databases) are standard office tools for
all levels of users.
Lotus Notes
Standard office email and calendar software.
Medical Office Suite
Medical Office Suite software allows practices to easily schedule
patients, confirm insurance, manage delinquent accounts and the
collections process, store patient documents, and develop customized
reports.
Advanced CMS-1500 Billing Software

Advanced CMS-1500 software simplifies the preparation and filing of
CMS-1500 claims and allows the user to save patient claim data for
updating and reuse on subsequent visits. Print on red preprinted
Medicare forms, on plain paper, or submit claims electronically.

PERSONNEL
The office modernization will involve the cooperation of the Floripe Medical Group,
McElroy Consulting, and Skill Path Training. Bellow is a list of personnel and contact
information:

TRAINING
All staff members will receive assessment and training from SkillPath, a highly
recommended McElroy training partner. SkillPath has provided computer and software
training to working professionals for over a decade and we have worked in tandem with
SkillPath trainers for the last 4 years.

Julia Maynard is Skillpaths Bay Area Assessment and Scheduling Coordinator. She
takes the time to meet all clients and assists them through the assessment process.
The initial assessment will establish the students baseline skill levels. Lessons are
tailored to individual skill levels and skill sets.
The customized lessons eliminate unnecessary wasted time if the student is proficient
in the skill, they move on to the next lesson. Students will have unlimited access to
lessons and assistance if they get stuck.
The self-paced training will cover the use of the new equipment and software. Periodic
progress assessments are scheduled and will be followed by progress and
recommendation reports.

WEBSITE
McElroy Consultings web designer Siohban, will design and customize the Floripe
Medical Group website. The elements of the website will include information on the
history and transition of the medical practice from Dr. Seymore Ginsburg; Dr Floripes
education and medical background, staff, office hours, location, and services offered.
