JOB DESCRIPTION

Job Title: Finance Administration Assistant (Part-time / fixed-term)

Reports To: Finance Officer

Main purpose of job:

Reporting to the Finance Officer, this role will assist with the coordination and management of financial processes
and reporting mechanisms within The MAC.

The post holder will be responsible for assisting with the implementation of all appropriate procedures to ensure
the continued effective operation of the finance function, accurately input and reconcile data in the computerised
accounting package, and responding to financial queries.

Job Responsibilities:

Finance

 Conduct day-to-day financial transactions such as invoicing, payments, banking and petty cash.

 Financial processes
o Assist staff in the administration of procurement procedures.
o Manage and maintain accurate and timely procedures for performing checks on invoices, the accurate input
of transactions to the computerised accounting package and preparation of payment to suppliers by BACS,
cheque, direct debit and credit card.
o Implement procedures for tracking, invoicing and receiving payments e.g. from sponsors and box office
takings.
o Prepare, input and validate journal entries as required.
o Adhere to the internal controls relevant to the finance function and carry out month end control procedures
including reconciliation of debtors, creditors, bank and nominal ledgers.

 Administration
o Assist with compilation and completion of information requirements for Grant returns and applications.
o Prepare and compile relevant documentation for statutory audit activities.
o Assist with year-end reconciliations and analysis as required for audit purposes.

 Systems
o Assist with tracking and reconciling organisational and departmental budgets.
o Maintain, update and manage accounting systems and databases.

 Financial Reporting
o Assist in the compilation of budgets, cash-flow forecast and financial reports on monthly and ad hoc basis.
o Contribute to the preparation of statutory annual reports.
o Provide ad hoc financial information and analysis as required.

Relationship Management
o Assist in liaising with budget holders to monitor expenditure and sales against agreed targets.
o Liaising with auditors and other external personnel on financial based matters.

General
 Maximise income and minimise expenditure wherever possible.
 Work with the MAC team to consistently deliver exceptional customer care standards.
 Any other reasonable duties as specified by the Finance Officer and Director of Finance and Operations.

PERSONNEL SPECIFICATION

Job Title: Finance Administration Assistant


Quality Essential Desirable
Qualifications Third level qualification in a finance related subject; or

Accounting Technician qualification

Experience A minimum of 3 years work experience in accruals accounting Experience of Sage 50 Accounts package
Experience in the use of computerised accounting packages

Proven experience of dealing with financial queries and issues


internally and to auditors.

Knowledge Working knowledge of financial reporting regulations and legislation Knowledge of Charities SORP
