1 SCOPE

The scope of this procedure is to establish guidelines and parameters for the Progress
Reporting System to be implemented by CONTRACTOR for STOD Project in order to
highlight and report to COMPANY how the Project is progressing at each month ending
during the execution of the Project.
Furthermore the procedure is aimed to define type, contents, layouts and timing for each type
of reports to be prepared and issued on routine basis as a part of the Reporting System.

2 PREPARATION AND REVISION OF THE PROCEDURE

This procedure is issued and revised by the Project Services Team and approved by the
Project Manager.

3 CONTRACTORS RESPONSIBILITIES

Under the leadership of the Project Control Manager, the CONTRACTORs Project Reporting
Engineer, or equivalent figure, is responsible for liaising with the CONTRACTORs Discipline
Team Leaders in order to receive all data and information as necessary to prepare the
Reports as described hereinafter.
Each CONTRACTORs Project Manager, Discipline Team Leader, the Engineering Manager,
the Procurement Manager; Construction Manager and Commissioning Manager are
responsible for providing accurate and timely data as input to the Reporting Engineer.

4 CALENDAR

4.1 Project Calendar


The routine actions related to the progress status reports shall be highlighted in the Project
Calendar as reported as an example in Appendix 1.

The Project Calendar shall include:


Weekly report issue dates
Weekly meetings dates
Monthly report cut-off dates
Monthly report issue dates
Monthly meetings dates

5 ROUTINE REPORTS

The reports expected to be issued on routine basis are the following:


Monthly Progress Report
Weekly Progress Report
Daily Construction Report

5.1 Monthly Progress Report


The Monthly Progress Report is produced by CONTRACTOR and issued to the COMPANY
each month.
The Reporting cut-off date is to be established and the Report is submitted to COMPANY
within 8 working days after the cut-off.
Formal monthly progress meetings are expected to be held to illustrate the major
achievements, areas of concerns, if any, and recovery measures as recorded in the Monthly
Report.

The Monthly Progress Report shall be structured in the following sections:

DETAILED REPORT which includes:


HSE
Interface
Engineering
Procurement Services
Subcontracting Services
Manufacturing and Delivery
Construction and Pre-commissioning
Commissioning
Project Controls
Quality
Areas of Concern

The layout and contents of the Monthly Progress Report, as sample, are illustrated in the
Appendix 2.

5.2 Weekly Progress Report


The Weekly progress Report is prepared by CONTRACTOR and issued to COMPANY on
weekly basis. The cut-off date is Friday of every week and the Report is submitted to
COMPANY on the second working day of the following week.
The contents include, but are not limited to:

Brief narratives of the activities performed by each discipline during the week
(Engineering, Procurement, Construction etc.) with highlights on specific
achievements
Areas of concern and proposed corrective actions
Activities planned for next week
List of documents and correspondence transmitted during the week
List of outstanding responses to documents and correspondence requiring response
by either COMPANY or CONTRACTOR.
The layout and contents of the Weekly Progress Report, as sample, are illustrated in the
Appendix 3.

5.3 Daily Progress Report


This report will be needed only for construction activities at SITE and includes, but is not
limited to, the following:

Highlights of the day (expended man-hours, direct and indirect manpower, discipline
breakdown and brief activity description by discipline)
Major Construction Equipment employed
Materials received
Key milestones achieved
Lost time accidents
Major activities of the day

6 FINAL CLOSE OUT REPORT

CONTRACTOR shall prepare a final Closeout report for the works, which shall be submitted
to COMPANY no later than one month after PROVISIONAL ACCEPTANCE. COMPANY will
agree format and content of this report during the later stages of the Project.

7 PROGRESS MEETINGS

CONTRACTOR shall report to and discuss with COMPANY the status of the Contract at
Weekly Progress Meetings and Monthly Progress Meetings.

This section shall contain a HSE summary (first aides, accidents, lost time incidents etc.), brief
narratives by discipline highlighting major achievements of the week, areas of attention, areas of
concern and proposed corrective action.
