Outlook Plug-in Installation
How do I get SalesForce Outlook Plug-in?

Use KIT process to Order New Software. Once the order has been approved and processed, the installation will be done by the Empirum Software
Distribution system.

After the plug-in has been installed you will have to perform the initial settings so that it can establish connection between SalesForce and Outlook
with your SalesForce user profile.

Known Issue
If you have mixed MS Office environment such as MS Office 2010 with MS Visio or MS Project 2013 versions, the SalesForce plug-in setup may fail.
In this case you need to upgrade your MS Office installation to 2016. It can also be ordered using KIT process to Order New Software.

Caution: MS Office 2016 is not fully tested and officially released for installation within M+W, rather it will be provisioned only to those facing issues
with this plug-in hence, it may lead to issues with other tools and applications for which IT service desk may not have a solution.

Outlook Plug-in Settings
Once Outlook plug-in has been properly installed and started, it will be visible in windows system tray.

Perform following steps to open the settings wizard for plug-in:


1. Click on windows system tray icon to open the system tray
2. Right click on SalesForce plug-in icon within system tray
3. Click on Settings in the pop-up menu of the plug-in
4. In case the plug-in had not started automatically, just click on windows Start button and search for Salesforce then click on Salesforce for
Outlook under Programs results and follow steps 1 to 3
5. SalesForce plug-in settings wizard should open pointing to default SalesForce login URL which needs to be changed, continue to next slide

Perform following steps:
1. Select Other from the Change URL dropdown list which would open a new dialog to enter a URL
2. Enter M+W SalesForce URL mwgroup.my.salesforce.com and click OK button
3. M+W SalesForce login screen should now be available similar to that seen in screenshot, look for Single Sign On link (AD_SSO) and click it

Important:
Those who do not have windows account within M+W IT network (e.g. Hargreaves, ReHaTec, Mahod or TVS etc.) would have received separate
login credentials from M+W SalesForce. Use the default login screen, as seen in previous slide to login to SalesForce with these credentials

Perform following steps:
1. Click Allow button to permit plug-in access to M+W SalesForce
2. This screen indicates default settings as per your user profile on M+W SalesForce

1. This screen indicates the sync settings set for M+W SalesForce users which cannot be changed by users

1. Check sync settings for Private Items and uncheck all checkboxes to ensure items marked as private are not synced automatically

Which functionalities are permitted with Outlook plug-in?

Contacts, Events and Tasks can be synchronized between M+W SalesForce and Outlook in both directions
SalesForce information will be considered leading and would overwrite information in Outlook in case of differences
Contacts will be synced on Outlook within SalesForce Contacts folder (user cannot change this)
Events will be synced on Outlook, by default, within Calendar folder (user can change this during plug-in setting)
Tasks will be synced on Outlook within SalesForce Tasks folder (user cannot change this)
Adding Emails to SalesForce objects like Account, Contact or Opportunity etc., is not permitted, Emails and other documents related to an
Account for Opportunity must be saved on the corresponding location on M+W Link (SharePoint)

Which data is synchronized?

Outlook to SalesForce
Contacts, Calendar Items and Tasks categorized as Sync with SalesForce using Categorize menu

SalesForce to Outlook
Users Events, Tasks and Contacts as well as Contacts where user is Account or Opportunity Owner to which Contact is related.
