Lesson 1. Definition and Function of Management

CASE:

Ms. Chong has been working with Ini Whan Corporation for the past five years
as a market researcher. Mr. Huan, the vice president for Marketing Department,
carefully noted her exemplary work performance over the past years. Mr. Huan
thinks that he should promote Ms. Chong as marketing manager for their department.
He told Ms. Chong of his plans to nominate her as manager. He also asked her if
she would be willing to accept it.
Ms. Chong became agitated and anxious about the news. While she has
performed well in her current job, deep inside, Ms. Chong feels that she is not
prepared to handle the role and responsibilities of a manager. She had no prior
experience of being a manager. She found herself pondering over these questions,
Shall I accept the managerial position? What do I know about being a manager?

MANAGEMENT AS A PROCESS

Planning

Planning is defined as the process of identifying the objectives of a task,


assignment, or cause and the corresponding activities to achieve those objectives in
a formal and documented manner.

A work plan is a visual planning tool in a form of a summary table which usually
contains the following information:

1. The objectives
2. The corresponding activities to accomplish the given objectives
3. The persons responsible for doing the identified activities
4. The time frame to accomplish each activities
5. The resources needed.

Organizing

Organizing is defined as gathering of resources required to carry out the


activities and allocating the effective and efficient use of those resources.

What is the difference between effectiveness and efficiency?


Effectiveness means doing the right things while efficiency means doing
things right.

Leading

Leading is defined as a process which encompasses the following:


Influencing other people to perform the way you wish them to
Directing other people to achieve the desired objectives

Communicating effectively across various groups; and
Motivating individuals to perform their best.

Controlling

Controlling is defined as monitoring and evaluation of activities undertaken in


relation to the stated objectives. It involves the following:
Identifying the gap (variance) between what was planned and what
was accomplished in terms of quantity and quality of work
Determining the main cause of problems encountered during
implementation
Finding ways to correct those problems
Preventing those problems from recurring; and
Seeking new ways to improve how things will be done in the future.

MANAGEMENT IS USING PROPER RESOURCES

Infrastructure and technology are vital resources in todays business. The


people, however, are the main and most important resource in management.
Because of individual differences, intellectual know how is difficult to duplicate or
imitate. People constitute the best competitive advantage of a business enterprise.

MANAGEMENT AIMS TO ACHIEVE OBJECTIVES

Objectives must be specific, attainable, realistic, and time-bounded.

Specific The objectives should be in a form of sufficient detail such as in terms of


quantity or quality.
Measurable The objectives can be assessed and verified through objective
performance indicators.
Attainable the objectives can be achieved by finding your own ways or strategies.
Realistic The objectives can be accomplished given the current and planned level
of resources that you have.
Time-bounded The objectives can be accomplished within a definite time period.
