Weddings at the Arboretum offer a


natural, unique outdoor setting for the
bridal couple who appreciates nature
and prefers a more simplistic, rustic feel
for their wedding day. The landscaping
is all in a natural form without many
man-made features. You can choose
from a variety of garden environments
for your wedding.

The Arboretum features native flora


from around the globe, including
California, Australia, South Africa, New
Zealand, and Chile on approximately
100 acres of gardens.

So whether your wedding is small and


intimate or larger (up to 300 guests), the
Arboretum can accommodate your
celebration.

Please feel free to peruse the grounds, attached you will find a map, rates and
general policies. The gardens are open 7 days a week, 9 am 5 pm. $5 adults,

reservation at the time of booking. The remainder of the deposit is due one
month prior to the event. Upon cancellation, the security deposit is non-
refundable.

Wedding Coordination:
Full day-of wedding day management: includes three planning sessions, timeline,
ceremony run sheet, rehearsal, and management of details/vendors on wedding
day. Rate: $1400

Wedding Policies and Procedures

Rental Fees
All prices are quoted per day, which includes the clients set-up and clean-up time. Rental
fees do not include insurance fee, food or beverage service, facility setup, equipment rental,
decorations, or entertainment. The Arboretum reserves the right to refuse facility rental.
This may be due to event size, complexity, conflicting events, impact on Arboretum
visitors, staffing, etc.

Booking Guidelines
The renter must submit an application with information to the best of their knowledge. It
is the renters responsibility to ensure information is updated even after the event is
booked. The Arboretum will quote a price, and if acceptable to the renter, provide an
event rider with deadlines and payment schedule. Confirmation of a reservation is
considered definite upon receipt of the deposit and signed policies and Use Permit. A $250
portion of the $750 security deposit is sufficient to secure the reservation and becomes
non-returnable upon confirmation of the event if the renter cancels the reservation at any
point thereafter. See also Deposits and Fee Payments below. Rentals are confirmed on a
first-come, first-served basis. Full rental fees are due two weeks prior to the event date. If
the full rental fee and applicable deposit are not received within the specified time, we
reserve the option to release the space to any other party with deposit in hand. All
applicants must be 18 years of age or older (21 if alcohol is served).

Alcohol
At the time of application, clients must accurately indicate if alcohol is to be served. There
is no cost. The Arboretum takes care of approval and notifications once we receive the
certificate of insurance. Beyond any legal action of campus or city police, failure to
accurately indicate alcohol serving will result in forfeiture of the security deposit and
inability to rent Arboretum facilities in the future.

Use Guidelines
Scheduled use of facilities must include preparation, breakdown, and clean-up time. In
consideration of its obligation to the general public, all arrangements for the event,
including set-up of equipment, scheduling of installation, deliveries, etc., must be cleared in
advance of the event with the Arboretum. Please design your event to be finished and the
facilities returned to order within the time established on your contract. If the renter plans
any rehearsal or planning visits, those should be requested in the original facility request
and are subject to a fee or the usual Arboretum admission fee. The client is responsible for
all catering actions, to include but not limited to kitchen appliances, clean up, stain removal,
and catering equipment and supply removal. The client assumes all responsibility for
set-up, catering coordination, and final clean up. Decorations must be approved at
the time of application. The user is responsible for preparation and removal of such items.
Decorations must be fire proof or flame retardant. All decor and signage must be free
standing. Nails, staples, or tape may not be used on walls, floors, windows, or ceilings.
User will not post any signs, posters or banners without the prior approval of Arboretum
staff. Balloons are not allowed outside. Open flames (i.e., candles, votive, etc.) must be
requested and approved in advance. Other than the Amphitheater, outdoor spaces do not
have access to electricity. Renters and guests must observe Garden Etiquette including
remaining on paths, no collecting of any plant or animal material dead or alive, etc. There
is no releasing of birds/animals/balloons, and no throwing rice or bird/flower seed.

Parking
Parking is available on the Arboretum premises for up to 40 cars with overflow parking just
off gravel fire road out the back gate, weather permitting. For weddings over 80 people,
the majority of guests may need to park in Eucalyptus Grove and walk to the site, and,
depending on the event site, this may be cause for the renter to consider shuttles. For
larger weddings and events during our rainy season, renter will need to make arrangements
with campus Transportation and Parking Services (TAPS) that can provide parking
assistants or shuttle services as needed for a fee. They can be reached directly at (831) 459-

Rental Fee Payments


Payment in full is due two weeks prior to the event date, or the weekday prior to two weeks
if that date falls on a weekend or holiday (including UCSC holiday).

Booking/Security Deposits
The security deposit is $750 payable no less than four weeks prior to the event. An initial
non-refundable deposit of $250 (portion of the $750) may be used to hold your reservation
but is non-refundable if the renter cancels the event. The $750 deposit will be held as a
cleaning and damage deposit, refundable two weeks after the event, based on evaluation.
Payment in full is due two weeks prior to the event date. Fees and deposits, less $250, are
refundable only with two weeks notice of cancellation. Cancellations, which do not meet
these criteria, will result in the forfeiture of all fees and deposits. Approved facility rental
includes the Arboretum admission fee for the approved number of guests or participants.
Visits beyond the reserved day of the event should pay the admission fee as other visitors
pay.
Deposits
All renters for weddings will provide a $750 security deposit to cover cleaning, breakage,
additional people, additional cars, unscheduled staff time/requests, etc. Cost outlines are
below.
Damage Rates:

Less than two weeks cancellation $500
The deposit confirms the reservation and must be received no less than four weeks in
advance of the event. We request payment by credit card for ease of returning the deposit.
Assuming there are no additional services requested or damage, the full $750 will be
returned. The renter should contact the Arboretum to facilitate the credit card refund.
Deposits not claimed within thirty days of the event date are not returnable.

Rental Restrictions
The Arboretums building and grounds are a smoke free environment. Recyclable materials
are strongly recommended.

Rental Times
Requests may be made for any day and time. Staffing levels, seasons, hours of light/day,
and other approved events will assist Arboretum staff in considering requests. The
Arboretum grounds are open to the public seven days per week from 9am to 5pm. While
we may approve signs to be posted indicating a private party, we do not provide security
to keep Arboretum visitors out of any areas. Events must be scheduled to include
adequate time for set-up, re-set, and clean up.

Staff
All events are required to have at least one Arboretum staff member on duty, accessible by
cell phone or walkie-talkie (we provide), for the entire time the facility is rented (including
set up, duration, and clean up of event). The Arboretum will arrange for scheduling of
these personnel.

Caterers and Contractors


No food or beverages, (alcohol or otherwise), may be brought on property without prior
approval from the Arboretum. Non-University renters may use the caterer of their choice.
They are not bound to using approved campus caterers.
