7) GCMIR reserves the right to amend or terminate this promotion rate without prior notice and without assigning any reason.

TERMS AND CONDITIONS (Accommodation/Package)


Check In/Out Check in time is 1500hrs and check out time is 1200hrs. All requests for early check-ins are subject to
room availability. A days room charge will be imposed on late check-out beyond 1200hrs before
1800hrs. Check-out after 1800hrs will be subjected to a full days room charge.
No of Rooms Number of rooms will be blocked only upon signing of this quotation in agreement.
Room Rate Rates indicated above will no longer be applicable if final confirmed total is subsequently reduced by
15% or mor from initially agreed upon.
Rooming List Must be provided by clients at least seven (07) days prior to date of arrival.

Proposed Arrangements
Timing Details To be advised / confirmed.
Signboard Electronic signages are located at the main lobby and building surrounding.
Pre Set-Up Early access for pre-set up is subject to availability of the function room and room rental charges will be
applicable.
Storage Should there be a requirement for storage facilities at the centre either prior, during or after the event, the
Resort shall not be held liable for any damages or losses of the equipments and/or materials in storage.
Parking FOC
Others Uses of pyrotechnics/pop Confetti are STRICTLY not allowed in the ballroom.

GENERAL TERMS AND CONDITIONS


Protection of Facilities Gold Coast Malacca International Resort DOES NOT permit the use of any nails, hooks, tacks
or screws in any part of the Resort in any respect. Resort will also not permit the affixing of any
material to the walls, floor, doors and ceilings without prior written approval by Resort. Any
damages to the facilities shall be borne by the Client who will bear the cost of repair or
replacement. If necessary, the Client shall at their own cost and expense assign or train a
competent personnel to maintain and handling the logistics and all mechanical system provided
by Resort to the Client and all other items in the scope of service to the public.
Damages All damages except for the normal facility wear and tear, is the responsibility of the Client. A
final walk-through will take place at the completion of the event and a damage evaluation report
will be completed. If the facility is not returned in the same condition as received, the Client is
responsible for the costs necessary to repair, and/or replace any damage that occurred throughout
the course of the event. All replacements and/or repairs will be carried out by Resort and cost
will be borne by the Client.
Sings, Posters and The use, distribution and location of all signs, overhead hanging signs, banners, display
Stickers materials, cards and posters are subject to Resorts review and control. Pressure sensitive
stickers and decals are strictly not allowed in the Resort.

Banners and Flags The use of banners and flags on the exterior of the Resort is at the discretion of GCMIR. The
Resorts permanent signs, banners, etc. may not be blocked in any manner.
Temporary signs may not be attached in any manner to permanent Resort signage.
Smoking Based on the current regulations, please be advised that smoking is strictly prohibited in all air-

Sound System GCMIR needs to be notified in writing should high voltage sound system/high powered
electrical connections are required that exceed 5,000 volts. Usage of the same will be subject to
the GCMIRs approval. GCMIR reserves the right to restrict usage of such equipment if found to
be disruptive to other events, guests and the Resorts environment in general.
Food & Beverage Food and beverage must be arranged with GCMIR. NO outside food and beverage is allowed to
be brought into the Resort and the Resort does not allow any take away of leftover food from the
event (in the event that food and beverage is prepared by GCMIR).

BOOKINGS AND PAYMENTS


Tentative Reservation Should a booking be made, it will be held for a maximum period of seven (07) days from the
date of this quotation, after which the booking shall be released automatically without prior
notice.
Confirmed In order to secure the booking, we require a 50% deposit (non-refundable
Reservations & non-transferable) of the total estimated charges for the event.

Cancellations, Postponement or No Shows must be made in writing and the following charges will be applicable

50% of total estimated charges if cancellation is made more than 30 (thirty) days prior to event date.
100% of total estimated charges if cancellation is made less than 30 (thirty) days prior to event date.
In the event of a NO-SHOW one nights total room/package charge will be applicable.
If the event is postponed to a date not later than 6 months from the original date of event and provided that notice
of postponement is received not less than 60 days prior to event date, a charge of 25% of total estimated charge
will be imposed. The new date will also be subject to availability.
