1. Project Overview
1.1. Project goals
- Assessment of the current state of Microsoft software licensing;
- Estimation of the actual amount of Microsoft software licenses;
- Precise estimation of the amount of Microsoft software used;
- Forming the software purchasing plan to achieve 100% license compliance;
- Assessment of SAM process maturity in accordance with SAM Optimization Model (SOM);
- Preparing the final project report.

1.2. Project duration


Project duration 46 days.

2. System requirements
2.1. Requirements to project organization
The client appoints the employee that is responsible for the organizational and technical interaction
with Softline specialists during the entire project;

The responsible specialist of the Client provides Softline with the following information in
electronic form by e-mail or on digital media:
a. Full organizational chart of the company, including its affiliates;
b. Full list of names of PCs and servers that will be included in the project scope;
c. The list of PCs and servers with their locations, and legal entities that they belong to;
d. Virtual environment maps that describe:
- Clusters;
- Physical hosts;
- Virtual machines;
- Transfer of virtual machines between hosts in the last 90 days;
- Virtual machine migration logs for accurate estimation of the number of licenses.
e. The number of licenses according to the Microsoft VLSC personal account;
f. Copies of accounting documents related to purchases of Microsoft software (original versions can
be provided in paper), license agreements, certificates, authorization letters.

2.2. System and architecture requirements to Microsoft Assessment and Planning


Toolkit (MAP)
The inventory process includes collection of server and client workstation equipment data.
Information about software deployed on servers and client workstations is also collected.
Inventory data are used to control compliance with licensing policies and optimize licensing.
They also can help providing compliance to corporate policies.

During the project, it will be necessary to provide a copy of the Microsoft Assessment and Planning
Toolkit (MAP) project database that contains the scanning results.

3. Project Scope and Content
The Client needs to perform the following activities:
) Collection of information on purchased software.

The detailed Project Plan is included into Appendix No. 1.

3.1. Introductory project questionnaire

Task: Providing introductory information by filling in the questionnaire.


Softline employees: Project manager.
Client employees: Project manager.
Procedure: Softline specialist provides a form to be filled. The Client needs to fill
in all fields and specify the responsible persons.
Result: Collected introductory information.

3.2. Collection of copies of invoices related to PC purchases

Task: Getting information about purchased PCs with pre-installed Windows


operating systems.
Softline employees: Project manager.
Client employees: Project manager.

Procedure: The client needs to provide the scans of Invoices for purchased
equipment (PC/laptops/servers) with pre-installed operating systems.
Result: Invoice scans in electronic format provided separately for each legal
entity of the client (if there are any).

3.3. Visual inspection of certicates


Task: Measuring the precise quantity of OS Certificates of Authenticity ().
Softline employees: None.
Client employees: Project manager, Technical specialist.
Procedure: When performing the task 3.1., the technical specialist performs the
visual inspection of Client workstations regarding the presence of the
COA certificate and provides results to Softline. For stationary
workstations, computer towers are inspected. For laptops, input areas
and bottom surfaces (if necessary) are inspected. The visual inspection
data should be recorded into the form provided by Softline.
Result: Data on available Certificates of Authenticity.

3.4. Providing the COA data

Task: Receiving reporting data about available COAs.


Softline employees: Project manager.
Client employees: Project manager.
Procedure: In accordance with the project requirements and forms, the specialists of
the Client provide necessary data to Softline.
Result: Questionnaire, verification form, documents (Invoices).

3.5. Scanning the network infrastructure with

Task: Provide the possibility of scanning in the Clients corporate environment.


Softline employees: Technical specialist.
Client employees: Technical specialist.
Procedure: The specialists of the Client need to configure the administration
console and perform network workstation scanning in accordance with
provided manual. Softline specialists provide consulting and technical
support.
Result: Inventory Results (standard system reports), Windows Environment
Report.

3.6. Providing the scanning data
Task: Receiving the scanning data.
Softline employees: Project manager.
Client employees: Project manager.
Procedure: In accordance with the project requirements and forms, the specialists of
the Client provide necessary data to Softline.
Result: MAP reports (standard system reports).

3.7. Providing the inventory database copy


Task: Receiving the database copy.
Softline employees: Project manager, Technical specialist.
Client employees: Project manager, Technical specialist.
Procedure: In accordance with the project requirements and forms, the specialists of
the Client provide necessary data to Softline.
Result: Intermediate reporting forms for Microsoft representatives.

3.8. Requesting the license information from the Client


Task: Receiving information about purchased software.
Softline employees: Project manager.
Client employees: None.
Procedure: The specialists of the Client provide complete information about
purchased Microsoft software.
Result: Full list of purchased Microsoft software claimed by the client.

3.9. Requesting the license information from Microsoft


Task: Receiving information about purchased software from vendor
representatives.
Softline employees: Project manager.
Client employees: Project manager.
Procedure: The Client provides the consent to the request of the information about
the purchased Microsoft software. Softline specialists request licensing
information from the Microsoft representative.
Result: Full list of purchased Microsoft software claimed by the vendor.

3.10. Analyzing the Microsoft license information


Task: Determining the precise number of currently used Microsoft licenses.
Softline employees: Project manager, Licensing specialist.
Client employees: None.
Procedure: Softline licensing manager analyzes the legal entitlement documents
and prepares the report about the existing licenses.
Result: Information about software name, category and quantity.

3.11. Verication of Microsoft license compliance
Task: Reveal violations of Microsoft software usage rules.
Softline employees: Licensing specialist.
Client employees: None.
Procedure: Softline licensing manager performs deep analysis of software usage
and available licenses and prepares the report about the current
licensing issues.
Result: Information structured by software categories (operating systems,
productivity applications, other office applications, server software,
database management systems, development tools, client connections).

3.12. Report nalization


Task: Reveal violations of Microsoft software usage rules, prepare
recommendations on how to fix them.
Softline employees: Licensing specialist.
Client employees: None.
Procedure: The licensing manager performs deep analysis of software usage in
various categories (operating systems, productivity applications, other
office applications, database management systems, development tools,
client connections) and licenses available for these types of software.
Softline specialists reveal the licensing issues and violations of
Microsoft licensing rules for each category, prepare recommendations
and variants of licensing optimization.
Further licensing strategy is developed.
Result: Information structured by software categories (operating systems,
productivity applications, other office applications, server software,
database management systems, development tools, client connections).

3.13. Getting the report approval of the Clients representatives


Task: Confirming the final data, answering the questions.
Softline employees: Licensing specialist, Project manager.
Client employees: Project manager.
Procedure: Softline specialists arrange a conference call and comment the data that
they received. They answer the arising questions in the field of licensing
and result interpretation.
Result: Detailed report with information structured by software categories
(operating systems, productivity applications, other office applications,
server software, database management systems, development tools,
client connections).

3.14. Defense of the nal report before Microsoft representatives


Task: Getting the report approved by Microsoft representatives and closing the
project.
Softline employees: Project manager, Licensing specialist.
Client employees: None.
Procedure: Softline specialists arrange a conference call and comment the data that
they received. Vendor representatives ask questions about the
correctness of license analysis, preparation of reporting forms and final
data. The answers to the questions are recorded. If necessary, additional
recommendations are developed.
Result: Finalized report with comments from Microsoft representatives.
