OPERATION AND MAINTENANCE DATA
(For small projects)
Note to PM: You must carefully edit paragraph 2.03 C. You will need the assistance of your CxA and
the Mechanical and Electrical Engineer in order to identify the System Components, and list the
relevant SC for each system.

1.3 DEFINITIONS
.A Manufacturers Product Data Drawings, illustrations, catalog cuts, equipment listings and
product technical data furnished by the manufacturer.
.B Operating Procedures - Step-by-Step instructions to bring systems from static to operational
configuration and from operating to shut-down status. These instructions include both normal
and emergency operating conditions.
.C O&M - Operations and Maintenance
.D O&M Documentation Divided into three separate manuals consisting of:
.1 Manual I O&M Documentation Directory
.2 Manual II. Systems and Equipment Maintenance Manual contains detailed operation,
preventive maintenance, repair, and manufacturers O&M data for selected systems.
.3 Manual III. Product Data and Maintenance Manual. Consists of catalog cuts and
manufacturers make, model and color number, and all maintenance and cleaning
instructions for designated architectural products, applied materials, and finishes.

!! Note to contractor: the effort required to provide the extent of information required in
this section should not be underestimated!
.E Repair Procedures Repair instructions required to restore equipment and systems to proper
operating conditions.
.F System - An organized collection of parts, equipment, or subsystems united by regular
interaction. In this specification, for example, systems include: Elevator; Boiler; HVAC (excluding
boilers); Fire Alarm; etc.
.G System Components: Equipment that act/operate individually but are essential to the
operation of a System. System Components for HVAC, for example, would include fans with
motors, compressors, chillers, VAV boxes, dampers and pumps. For the purposes of this
Section, conveyance mediums, such as ducts and pipes, are not considered System
Components.
.H System Type: Each System is one of three Types, as described in paragraph 2.03.
.I Troubleshooting Guides and Diagnostic Techniques Troubleshooting procedures promptly
to isolate the cause of typical system malfunctions. Documentation of specialized test equipment
needed to diagnose malfunctions and techniques for use on the equipment.
1.4 SUBMITTALS
.A Initial Submittal: Submit three (3) draft copies of each O&M manual at least sixty (60) Days
before milestone date.
.B Final Submittal: Submit three (3) copies of each O&M manual in final form no later than fifteen
(15) Days before milestone date.
.C Corrected Final Submittal: Correct or modify each O&M manual to comply with Owner's
comments. Submit two (2) copies of each corrected Final Submittal by milestone date.
PART 2 - PRODUCTS
2.1 O&M DOCUMENTATION DIRECTORY
.A Organization:
.1 Detailed Table of Contents for each Manual.
.2 List of Systems and System Components (see Definitions paragraph above). List
Systems alphabetically, by System Type.
.a List of System Components: List for each System, organized alphabetically.
.b System Component designation: In the Documentation Directory and in each binder of
Manual II, identify each System and System Component with the same designation
and tagging used in the Contract Documents, such as AHU-1, etc.. If no designation
exists, assign a designation according to ASHRAE Guideline 4, "Preparation of
Operating and Maintenance Documentation for Building Systems."

Provide a table or check sheet that details maintenance tasks and associated
frequencies, such as daily, weekly, monthly, etc.
.i Lubrication Schedule. Provide, indicating types, grades, frequencies, and capacities
of lubricants for specific temperature ranges and applications.
If the Manufacturers Operation and Maintenance manual provided in Sub-Section 2
does not contain any of the following information, then provide the information listed
below separately for each System Component:
.j Manufacturers' maintenance documentation, including the following
information for each component part or piece of equipment:
1) Source information including standard printed maintenance instructions and
bulletins;
2) Drawings, diagrams, and instructions required for maintenance, including
disassembly and component removal, replacement and assembly;
3) Drawings, diagrams, and instructions required for maintenance, including
disassembly and component removal, replacement and assembly;
4) Identification and nomenclature of parts and components; and
5) List of items recommended to be stocked as spare parts.
.k Maintenance procedures. Include the following information and items that
detail essential maintenance procedures:
1) Test and inspection instructions;
2) Troubleshooting guide;
3) Precautions against improper maintenance;
4) Disassembly; component removal, repair, and replacement; and reassembly
instructions;
5) Aligning, adjusting, and checking instructions; and
6) Demonstration and training videotape, if available.
.l Replacement parts list and source information. Include a list of spare parts and
supplies required for maintenance to ensure continued service or operation without
unreasonable delays.
If the Manufacturers Operation and Maintenance manual provided in Sub-Section 2
does not contain any of the following information, then provide the information listed
below separately for each System/System Component:
.m Include manufacturers recommended procedures and instructions for
correcting problems and making repairs.
.n Troubleshooting Guides and Diagnostic Techniques Include step-by-step
procedures in order to promptly isolate the cause of typical malfunctions.
Describe clearly, why the checkout is performed and what conditions are to be
sought. Identify tests or inspections and test equipment to determine whether
parts and equipment may be re-used or require replacement.
.o Wiring Diagrams and Control Diagrams See .2 .e and .2 .f above.
.p Maintenance and Repair Procedures Include instructions and a list of tools
required to repair or restore the product or equipment to proper condition or
operating standards.
.q Removal and Replacement Instructions Include step-by-step procedures
and a list of required tools and supplies for removal, replacement,

4) Each Mfgrs manual must either come with a clear, concise table of contents at
the beginning of the or the Contractor must create a separate table of contents
that clearly show the location of the items identified in this section.
2) If the Manufacturers Operation and Maintenance manual does not
contain any of the following information, then provide the information
listed below separately for each System Component:
.b Operator Servicing Requirements Provide instructions for services to be
performed by the operator such as lubrication, adjustments and inspection.
.c Safety Instructions Provide a list of all personnel hazards and equipment
safety precautions including recommended safeguards.
If the Manufacturers Operation and Maintenance manual provided in Sub-Section 2
does not contain any of the following information, then provide the information listed
below separately for each System/System Component:
.d Manufacturers' maintenance documentation, including the following
information for each component part or piece of equipment:
1) Source information including standard printed maintenance instructions and
bulletins;
2) Drawings, diagrams, and instructions required for maintenance, including
disassembly and component removal, replacement and assembly;

4) List of items recommended to be stocked as spare parts.
.e Maintenance procedures. Include the following information and items that
detail essential maintenance procedures:

complete and accurately reflect every change up to the date of the certification.

below separately for each System/System Component:
.j Include manufacturers recommended procedures and instructions for correcting
problems and making repairs.
.H Building Automation System Information Provide the following in a separate, bound
manual:

.14 Complete original issue documentation and software diskettes for all software furnished
and installed as a part of the system or required for the operation of the system including
text editors, control language program and compiler, database managers, graphics and
CADD packages, preventative maintenance software, operating systems, and
communications software;
.15 Complete original issue documentation, installation, operational manuals, and supporting
software for all hardware furnished and installed as a part of the system or required for
the operation of the system, including remote terminals, user's computer work station,
monitors, graphics and memory boards, network servers, printers, and modems; and
.16 At completion of the warranty period, updated copies of the drawings and manuals shall
be provided to include all hardware and software changes made during the warranty
period.

.4 Schedule for routine cleaning and maintenance.
.5 Repair instructions.
.F Repair Materials and Sources: Include lists of materials and local sources of materials and
related services.
PART 3 - EXECUTION
3.1 GENERAL
.A Organization
.1 Each System must have its own binder.
.2 Each manual must contain the following materials, in the order listed:
.a Title page (see also 3.01 .B).
.1 Indicate Project Name
.2 Indicate System type and System title.
.3 Indicate binder number. For example, if more than one binder is needed to
contain all a Systems O&M information, then identify each binder as 1 of 2, etc.
.4 Indicate date of manual submission
.b Table of contents.
.1 Identify all System Components included in the System. Cross-referenced to
Section number in the Project Manual
.2 If a System requires more than one binder identify the specific System
Components contained in each binder
.c System Overview
.d O&M information.
.B Title Page
.1 Enclose title page in transparent plastic sleeve.
.2 Include the following information:
.a Subject matter included in manual.
.b Name and address of Project.
.c Name and address of City/area in which project is located.
.d Date of submittal.
.e Name, address, and telephone number of Contractor.
.f Name and address of Owner's Design Consultant.
.g Cross-reference to related systems in other operation and maintenance manuals.

.1 Arrange contents alphabetically by System Component
.D Binders
.1 Heavy-duty, 3-ring, vinyl-covered, loose-leaf binders, in thickness necessary to
accommodate contents, but not greater than 2 maximum ring size, sized to hold 8-1/2-by-11-
inch paper; with clear plastic sleeve on spine to hold label describing contents and with
pockets inside covers to hold folded oversize sheets.
.a If two or more binders are necessary to accommodate data of a system, organize data
in each binder into groupings by subsystem and related components.
.b Cross-reference other binders to provide essential information for proper operation or
maintenance of equipment or system.
.c Identify each binder on front and spine, with printed title "OPERATION AND
MAINTENANCE MANUAL," Project title or name, and subject matter of contents.
Indicate volume number for multiple-volume sets.
.E Dividers
.1 Heavy-paper dividers with plastic-covered tabs for each section.
.2 Mark each tab to indicate contents.
.3 Include typed list of products and major components of equipment included in the section on
each divider, cross-referenced to Project Manual Section number and title.
.F Protective Plastic Sleeves
.1 Transparent plastic sleeves designed to enclose diagnostic software diskettes for
computerized electronic equipment.
.G Supplementary Text
.1 Prepared on 8-1/2-by-11-inch, 20-lb/sq. ft. white bond paper.
.2 All documentation not pre-printed shall be type-written, not hand-written, and free from
spelling errors.
.H Drawings
.1 Attach reinforced, punched binder tabs on drawings and bind with text.
.2 If oversize drawings are necessary, fold drawings to same size as text pages and use as
foldouts.
.3 Do not place loose, oversize drawings in binder pockets.
.4 If drawings are too large to be used as foldouts, fold and place drawings in labeled
envelopes and bind envelopes in rear of manual. At appropriate locations in manual, insert
typewritten pages indicating drawing titles, descriptions of contents, and drawing locations.
3.2 MANUFACTURERS' DATA
.A Manufacturers' standard printed data
.1 Include only sheets pertinent to product or component installed.
.2 Mark each sheet to identify each product or component incorporated into the Work.
.3 If data include more than one item in a tabular format, identify each item using appropriate
references from the Contract Documents.

.B Prepare supplementary text if manufacturers' standard printed data are not available and where
the information is necessary for proper operation and maintenance of equipment or systems.
.C Extraneous Data: Where contents of manuals include manufacturers' catalog pages, clearly
indicate precise items included in this installation and delete, or otherwise clearly indicate,
manufacturers data with which this installation is not concerned.
3.3 DRAWINGS
.A Prepare drawings supplementing manufacturers' printed data to illustrate the relationship of
component parts of equipment and systems and to illustrate control sequence and flow
diagrams.
.B Coordinate supplementary drawings with information contained in Record Drawings to ensure
correct illustration of completed installation.
.C Do not use original Record Documents as part of operation and maintenance manuals.
