These guidelines outline the responsibilities of Suppliers of new equipment to Aramco to provide
Original Equipment Manufacturer (OEM) Spare Parts Data Packages (SPDP) containing complete
equipment, spare parts and operating materials data for each piece of equipment. This data will be
used by Client to catalog equipment spare parts and operating materials to support equipment
maintenance and operational requirements. All Spare Parts Data Packages shall be submitted in
three (3) hard copy and three (3) searchable CD-ROMs.
At the EFFECTIVE DATE, SUPPLIER shall prepare and provide separate lists for Commissioning,
Two Years Operation and Capital Spare Parts using the forms indicated in the attachments. The
unit price currency shall be EXW USD with the wrapping cost included. FOB delivery and
shipping packing costs to be provided separately. Rates negotiated with Purchase Order of the
Main Equipment shall be valid for 18 months from P.O. issue date and in any case up to 180 days
from SPDP approval.
The Spir form and the SPDP Package shall be identified by Vendor according to COMPANYs
Numbering Procedure
Supplier must submit complete details of items purchased from Sub-suppliers, too.

These spares shall be clearly listed in the quotation and shall be part of PURCHASE ORDER.
The Start-up Spare Parts shall be packed in separate boxes and shipped together with the
Parent Equipment in order to be available at site prior to completion of the plant. Clear
packing lists will be attached to the packing boxes.
4. Operating Materials
"Operating Materials" are consumable materials that are required for the continuous operation
of the facilities and are consumed in the normal course of operations and, therefore, require
periodic replenishment. SUPPLIER shall quote all required quantities of chemicals, filtration
materials, lubricants, desiccants, industrial gases, emulsifiers, batteries, transformer oil and
any other catalysts, operating fluids, consumables, and shall provide the materials required for
the initial charge, pre-commissioning and start-up, commissioning and first ninety (90) days of
operation of the facilities.
Within the time indicated in the PURCHASE ORDER, SUPPLIER shall return the Spare parts Data
Package Information along with all the necessary drawings and documents to identify the spare
parts, as herein indicated.
SUPPLIER shall guarantee that manufacturing and supply of spare parts will continue within the next
ten (10) years.
In case of a purchase order for spare parts, SUPPLIER shall be fully responsible, throughout the
warranty period, for the correctness of the parts and their proper fitness to the plant, machinery,
and/or equipment for which the spare parts have been purchased.
Moreover SUPPLIER warrants that the spare parts comply with the technical and quality requirement
specified in the Purchase Order and their proper fitness to the supply of any part thereof.
The warranty period for the spare parts shall be 24 months and it shall commence from the date on
which any spare part is delivered to Site and formally accepted by the CLIENT.
SUPPLIER shall replace, free of charge to PURCHASER and to CLIENT, within the shortest possible
time, any parts which have been used by PURCHASER and/or by CLIENT under the guarantee
clause.
Each single part, or group of materials of the same kind, shall be properly identified according to the
requirements stated in the technical specifications or in the PURCHASE ORDER and relevant
attachments.
SUPPLIER shall provide n three (3) hard copy and n three (3) sets of searchable CD-Rom of
original Spare Parts Data Package including supporting documentation as described below.
Supporting documentation specified herein shall consist of original documents.

Note 1: Recommended priced spare parts lists and Bill of Materials (BOM) must contain Original
Equipment Manufacturers part numbers (OEM) as well as Original Component
Manufacturers (OCM) part numbers. These recommended spare parts lists should
include all spare parts required for the first (2) years of operation.
Note 2: Catalog cut sheets are manufacturers literatures containing ordering information, part
number, equipment pictures, sketches, exploded views, specifications and descriptive
information.
Vendor shall submit the complete SPDP within the time indicated in the Purchase Order.

True component manufacturer's (OCM) unique reference number(s), such as unique part
number, catalogue number, drawing/item.
Original Equipment manufacturers (OEM) unique reference number(s), such as unique part
number, catalogue number, drawing/item.
Equipment application, such as type of service.
Unit price and applicable currency. Price information shall be budgetary prices valid at the time
the data package is submitted.
Installed quantity of each part per equipment.
Issue unit, such as each, box, kit, kilogram.
Weight in kilograms (Kg).
Purchasing lead time in months.
Shelf life in months (where applicable).
Contents of 'Kit' and 'Set', including description, quantity, and part number for each component.
Estimated annual usage quantity per parent equipment (operating materials only).
Recommended replacement cycle in months (operating materials only).
Pack size (where applicable).
Supporting documentation:
The spare parts and operating materials package must include sufficient supporting documentation to
verify the accuracy of the data for all equipment, spare parts and operating materials. Supporting
documentation may include:
Certified data sheets, engineering drawings (such as single line diagrams, equipment outline
drawings), piping and instrumentation drawings, equipment nameplate data, manufacturer's
catalog information, showing parts numbers.
Maintenance manuals containing parts information.
List and description of special tools and material required for maintenance, repair, and
operation of the equipment.
Material Safety Data Sheets for hazardous material.

Noncompliance with the above instructions will result in the withholding of payment to SUPPLIER and
will affect SUPPLIER original component manufacturer's consideration on other equipment quotations
and evaluations until these requirements are met to the satisfaction of PURCHASER.
SUPPLIER shall provide original manufacturer source information for all material and spare parts
supplied on each purchase order including but not limited to manufacturers name, address, sales
order number, sales contract name, telephone number, fax number and e-mail address.
Non-Material Requirements (NMR item Nos. 601, 602 and 603 on Saudi Aramco 7900 Series Forms)
are an integral part of these requirements as are the complete spare parts data packages and as
such, notwithstanding the terms of payment provision in the PURCHASE ORDER, PURCHASE
ORDER payment up to the TOTAL PURCHASE ORDER AMOUNT may be withheld until all non-
material requirements and spare parts data packages are delivered and accepted by CLIENT.
Non-Material Requirements or NMR means SUPPLIERs reproducible drawings, specification
sheets for the GOODS, welding procedures, test reports, performance curves, priced spare parts lists,
installation manuals, operation and maintenance manuals and all other documents necessary to
operate and maintain the equipment purchased from SUPPLIER including NMR forms (series SA-
7900 forms) that specifically identify all required Non-Material Requirements to include documents to
be submitted with SUPPLIER bid, NMR 601 fabrication approval documents, NMR 602 certified
fabrication documents and component material test certification, and NMR 603 Installation, Operation
and Maintenance Manuals and System Test certificates.
Provide catalogues and datasheets for all bought-out items. This is particularly important
for electrical and instrument components such as speed sensors, vibration sensors,
resistant thermometers, relay, auxiliary contactors.
All gaskets dimensions shall be provided in the parts description, and inner diameter, outer
diameter, thickness, material and style shall be listed for each gasket.
- Gasket sets or kits shall be broken down, giving itemized details of each gasket
component in the kit (including material, price and part number). A style number shall
be indicated for each heat exchanger gasket.
- Spiral wound gaskets size and rating shall be clarified if inner ring is present or not.
- O-ring cross section, diameter, materials and specifications shall be provided.
Bolts sizes, thread type, thread length, coating materials and specifications shall be
provided.
Sealing ring (oil seals): provide type and designation.
Mechanical seal: Provide seal assembly and detail drawings for each tag number. Also
provide ordering code, quantity and unit price for each of the following spares: stationary
seal ring, rotating seal ring and o-ring. Each mechanical seal assembly shall be
accompanied by its own spare parts and components. This detail shall be required for all
pumps with mechanical seal OEM drawing.
Flexible coupling: provide complete ordering code including the membrane unit along with
the individual parts code, the bore diameter, torque and distance between pump and motor.
Bearings: provide FAG/SKF bearing designation for each bearing including the cage
material and category.

Complete details of Demister listed in a drawing shall be provided with datasheets and
complete specification (mesh materials, grade, size, etc.).
Pump and motor skid spare parts shall be segregated and listed separately. Pump spare
shall be listed against the pump tag number and the same shall be listed for the motor tag
numbers.
Provide line/circuit diagram and the bill of material for PCS System.
Constant level sight-feed oiler for all pumps: Provide OEM specifications.
Fuse packs: provide pack contents indicating fuse type, rating and quantities.

INSTRUCTIONS TO SUPPLIERS FOR PROVIDING
EQUIPMENT, SPARE PARTS AND OPERATING MATERIALS DATA
FOR NEW EQUIPMENT PURCHASED FOR OR BY SAUDI ARAMCO
1.0 Scope:
These instructions outline the responsibility of Suppliers of new equipment to Saudi Aramco
to provide Original Equipment Manufacturer (OEM) Spare Parts Data Package (SPDP)
containing complete equipment, spare parts and operating materials data for each piece of
equipment. This data will be used by Saudi Aramco to catalog equipment spare parts and
operating materials to support equipment maintenance and operational requirements.
2.0 General Information:
2.1 All information and drawings provided must be in English language, and shall consist of
original and legible machine printed documents.
2.2 Full and complete spare parts and operating materials information must be provided in
the SPDP even if some of the same information is specified elsewhere in the purchase
order to satisfy other requirements.
2.3 Included, as attachment(s) to this instruction, are checklists (Appendix D) specific to the
equipment included in this order, which, together with paragraph 4.0 below, describe the
detailed requirements of the SPDP.
2.4 For skid mounted equipment, covering mechanical, electrical and instrumentation
equipment, submit one complete SPDP as per applicable checklists.
2.5 Operating Spare Parts are spare parts or components that are required to maintain
continuous operation of the equipment or system during and after commissioning.
2.6 Operating Materials are lubricants, chemicals, catalysts, industrial gases, emulsifiers,
batteries, and all similar consumable materials requiring periodic replenishment to ensure
the continuous operation of the equipment.
2.7 Suppliers are encouraged to indicate in the SPDP the details of similar equipment
previously supplied to Saudi Aramco to help accelerating cataloging process.
2.8 Suppliers must print Saudi Aramco tag numbers on all drawings including but not limited
to datasheets, P&ID, ISS and parts lists.
2.9 One (1) SPDP should be submitted for each Purchase Order (PO) containing all pieces of
equipment in the PO.
3.0 SPDP Due Dates and Approvals By Saudi Aramco:
3.1 For non-engineered equipment (Manufacturers standard equipment), the SPDP shall be
submitted within 90 calendar days after drawing approvals. If drawing approvals are not
required, the SPDP shall be submitted within 90 calendar days after placement of the
purchase order.
3.2 For engineered equipment, the SPDP shall be submitted within 120 calendar days after
drawing approvals, but in no instance be submitted later than 90 calendar days prior to
the shipment date of the equipment.

3.3 Saudi Aramco will review the SPDP for completeness and accuracy, and submit a
Review Sheet outlining SPDP deficiencies normally within 30 days of SPDP receipt.
The Supplier shall provide all missing documentation within 30 days of the Review Sheet
receipt.
4.0 Standard Spare Parts Data Package Requirements:
The Supplier shall submit the following:
4.1 All supporting documentation as per attached Appendix D, shall be scanned in
PDF format on softcopies and indexed by each equipment containing only the
relevant equipment and spare parts information and provide hardcopy properly
indexed in binder. (Provide 3 sets of softcopies and hardcopies).
4.2 The supporting documentation specified in Appendix D must be certified and
issued for final construction (NMR 602).
4.3 Data for Operating Materials must be provided in softcopy and hardcopy with the
following;
4.2.1 Material Product Specification Sheet
4.2.2 Material Safety Data Sheet (MSDS)
4.2.3 Shelf life of the product
4.2.4 Storage temperature of the product
4.2.5 Packaging size
4.2.6 Unit price
An acceptable data package is one that contains the following (compiled in a binder);
A complete list of all spare parts for each individual unique piece of equipment
not limited to recommended spare parts for stocking, prices, quantity used per
piece of equipment, together with the original equipment manufacturer part
number and or the original component manufacturer part number.
5.2.4 Drawings
General arrangement drawings/ cross sectional drawings/ electrical single
line wiring diagrams/ Nameplate details/ drawings of the equipment which
must enable company to readily identify the position and quantity of spare
parts listed in the bill of materials (BOM). Individual drawings are required
for each unique piece of equipment.
Note: The above are required for each unique piece of equipment (main) and its
auxiliary repairable equipment and accessories, that will require spare parts for
operation and maintenance use. If a complete unit is recommended, provide unit
price, drawing/ catalog cut & data sheet.
5.3 Section 2
5.3.2 List of equipment/ auxiliaries contained on skid and copy of approve P&ID
(if skid-mounted equipment supplied).
6.0 Noncompliance:
Noncompliance with these instructions shall be handled in accordance with terms of the
applicable purchase order.
