Assessment Task 2 Case Study

As part of this meeting you have been asked to prepare a short report to be forwarded to the Board that
includes information under the following headings:

a. Summary: summarize the change that is to occur.

b. Groups: identify the needs of affected groups (both internal and external to the work team), and
general concerns of the work team.

c. Risk management: review the risk management approaches for this type of change, including
the need for any adaptations to the standard operating procedures.

d. Recommendations: review and describe improvements or ideas the team has put forward,
particularly as concerns the policy and procedures for the new entity, new technologies that could be
useful and feedback about workspace and work environment creation.

e. Email: draft an email (3-5 paragraphs) for your CEO that can be used to forward to all staff at
PURA, all clients of PURA and associated organizations that includes an overview of the change, and
describes the positive outcomes for the organization. Ensure that your email:

i. Describes the decision and process to be used in managing the change

ii. Describes the external, global, ethical and organizational requirements being met by the
decision

iii. Describes improvements that can be made to workplace activities, especially in regard to use of
new technologies.

iv. Uses language and a communication style that positively reflects the organization.

SUMMARY

The PURA has a software development team of 10 to 12 individuals that has a primary role in developing
and maintaining all specialized software used in the business. The board of PURA has decided to
establish this team into a stand-alone entity: PURA-IT. Several changes would be introduced to the
team. The board of the new entity will remain the same member as PURA. An existing senior manager
from PURA will join the team as the CEO and business manager. A small team of admin staff will be
directly working with the new CEO to support the administrative need of the team. The new premises
have been sourced in the new Brisbane City Council Green Square. The new office workspaces are not
yet finalized as the Board wants to collect input regarding it from the team to give them a sense of
ownership. The work team are stipulated to be working from the new site in the initial 12 months. This
could help them adapt to the new environment and remain united as work team. All staff will need to
sign a new employment contract which last for a period of 12 months. A signing bonus of $1500 could
be received if they accept their position in PURA-IT and another $4500 could be received if they remain
with they remain with the new entity throughout the initial 12 months of its operations. All current
members possess the right to choice whether to move to the new entity or remain with PURA which
they would be redeployed into another department

GROUPS

The working team is stipulated to work from the new site instead of the home office in the initial 12
months.

There may be the need of new technologies to help improve the team workflow. Some of the Board
suggests that large touch screens for all staff plus touch screens and other devices in common area.
However, this issue has not yet been finalized. Input from the work team is to be collected for final
decision.

RISK MANAGEMENT

As these changes are only applied to the software development team, some of the remainder PURA
staffs may feel a sense of negligence from the company as they do not have those benefits. Hence it
would be important to ensure that all staff receives welfare that they deserve.

RECOMMENDATIONS

New technologies that could be useful to help enhance the workflow and productivity of the team may
be needed.

Decision of the workplace in the new premises have not yet been finalized, and is still open to changes.
Feedbacks regarding the formation of new environment could be given from the team. This will give the
team a sense of ownership as they are involved in the process and their opinions are being taken into
consideration.

Revisions recommended to the policy and procedures to help it fit the needs of the new work entity are
still under progress.

I am writing this email to report a change in PURA. The Board of PURA has decided to establish a new
entity called PURA-IT which is previously the software development team. The Board of the new entity
will remain the same as that of PURA to ensure that the new company stays as an important part of the
PURA range of services. The new premises is sourced at the ne Brisbane City Council Green Square and

A few aspects of the change are currently still under discussion and have not yet been finalized. These
include revisions recommended to the policy and procedures, new technology to be introduced to
improve team workflow and formation of the new working environment. Input from the work team will
be collected for final decisions. The changes are asked to be shared only within the work team and be
kept secret for another 24 hours. It will only be released publicly until feedback and support from the
work team is received.
