Project Proposal Proper

A. Rationale
Announcements have been used in connecting people towards a
particular information. Its primary purpose is to inform the selected group of
audience that may come from students, workers, parents or even a
combination of them. This purpose has been achieved effectively and
efficiently as the technology and the method of dissemination of
announcements improve throughout the passing years.
Cebu Institute of Technology- University has taken this advantage as
they produce vital announcements for both their employees and students.
They have used the modern day method of announcing like using Facebook
and other modes of social media. They also use the method of posting memos
to achieve the same purpose. Both of the methods may have been effective
throughout the passing years, however, it didnt covered the entire audience.
According to the recent survey conducted by the researchers through
Google Forms, out of the number of students who filled out the survey
questionnaire, the results are as follows:

a. Three out of eight students (3:8) do not use Facebook.

b. Three out of eight students (3:8) often do not see posted memos.
c. Four out of eight students (4:8) find posting memos not effective.
d. Seven out of eight students (7:8) find delayed announcements a hassle.
e. Eight out of eight students demand an inside- school announcement.

Many students and employees dont have any form of access to online
community due to several reasons and also memos are not usually posted to
places where students can view them. These result to an impaired number of
students who become unaware of what events or announcements to be taken
place or to be given off. Complaints regarding announcements always come
from this number which have been a great cause for miscommunications and
confusions. These further lead to disappointments and mistrusts in terms of
school service.
This project intends to ease this growing issue which concerns not just
the university management but also students, faculty, and employees.
B. Project Description:
Establishing a good communication system inside the school will ease
the problem. This will be possible through radio announcements which will be
delivered using speakers.
Speaker are electro- acoustic transducers that convert electrical signals
into sounds loud enough to be heard at a distance. These devices which would
be 25 units in total will be installed into the following places in CIT-U:
1. Six units for the Main Academic Building
2. Four units for the Science and Technology Building
3. Four units for the Engineering Building
4. Two units for the Chemistry Building
5. Two units for the High school Library Building
6. Two units for the Physical Education Building
7. One unit for the University front gate
8. One unit for the University back gate
9. Three units for the Study Area near the College Canteen
Every speaker will be connected to a speaker wiring system sourcing
from the Masscom Laboratory where the CIT-U Wildcat Radio is located. A
certain student, probably the non-academic scholar assigned in the Wildcat
Radio Station, will then read announcements or memos as soon as they are
released every after classes end.

C. Objectives
These are the objectives of this project:
1. To provide a wider area of coverage for the dissemination of
announcements
2. A faster relay of curricular or co-curricular announcements
3. Solution to the ongoing problem of announcing through social
media
4. Early awareness of the particular announcement

D. Significance
The project is essential for institutions like Cebu Institute of
Technology- University where they cover a great number of people. As
 for every human entity covered by the university, the awareness for
whatever information to be intended is a responsibility. With the
mentioned project, it can provide benefits to the following:
1. Students
In spite of the busy schedule and time which causes them
to be deprived of using Facebook for the time being,
students will be informed of certain announcements without
the waste of time finding posts in Facebook or posted
memos through hearing it announced from the speaker.
2. Faculty Members
No matter what classroom they are in or path they are
walking, they will be reminded of the particular
announcement. It can help them in setting up the flow of
their lessons, managing their respective classes or even
attending their personal needs or purposes especially
announced holidays or no- class days.
3. Employees other than the Faculty and Parents
Some employees or even parents are unable to catch
announcements due to being busy in work in the office or in
the house. Parents sending and fetching their children in
school or employees assigned to different departments will
able to set plans in relation to the constantly- reminded
announcement.

E. Project Components/ Strategies of Implementation

The project shall include the following major activities. Strategies
of implementation are also hereby presented.

MAJOR ACTIVITIES STRATEGIES OF IMPLEMENTATION

1. Creation of the speaker wiring
Asking of assistance from the SMDTC
system plan and gathering ofin creating the wiring plan and
essential information acquiring additional information for
efficiency and effectiveness of the
project
2. Submission of proposal and Presentation of the project and its
sourcing of needed funds allotted budget to the University
Board of officials for approval.
 3. Procurement, installation and As soon as the materials and the
testing of the new system devices are available, the SMDTC will
start the installation immediately.
