Chapter I

Introduction

1.1 Background of the Study

People love celebrating lifes wonderful events. We celebrate things from

birthdays, to weddings, to a simple promotion from work. Thus, the catering business

was born.

A catering business main purpose is to cater to your every need to make your

very special event worth remembering. It usually takes care of everything starting from

the food, to the very detail of capturing special moments in video. Thus, with this in

mind, the Labos family came to the idea of creating their very own catering business

because they understand the importance of instilling every special event of your lives

and making you, your family and guests remember it for eternity. They named it Lai-

Lyns Catering.

The name Lai-Lyn came from Eliza Lyn, who is the proprietress. The business

was established on July 28, 2005 and has accomplished catering satisfaction since

then. They are proud members of the Marikina Culinary Arts Guild and has catered in

local TV shows like Sharon and ASAP. They are hands-on on every event so that the

clients can see how dedicated they are in satisfying them, the client. In every event,

there is a family member present to supervise the event. The catering business has a

wide variety of dishes that you can choose from. And they can handle your event from

lights, to flowers, to video and music.

The business already worked on a website. However, the reservation system is

still done manually. The customers usually reserve over the phone or will personally go

to Lai-Lyns office to reserve a date for their event.

The groups goal for this business is to create an online reservation system. A

system where customers can easily reserve for an event and pay for it online using their

credit cards. This system can also take food orders which Lai-Lyns catering can deliver

to their customers or the customers can just pick up their orders in Lai-Lyns office. This

system also contains a sales report for the business, where they can input every food

order or event they have served.

1.2 Statement of the Problem

How to formulate an on-line catering reservation system.

How to impede overbooking.

How to thwart cancellations.

How to avoid losing potential clients.

How to monitor sales report.

1.3 Objectives

1.3.1 General Objective


The researchers objective is to develop an online catering reservation system to

make it easier for the business, by having all their data virtually, and for customers that

are demanding to save time in reserving for an event. It is a win-win situation for both

the business and their customer.

1.3.2 Specific Objectives

To generate a system whereas it can only reserve two events per date.

To develop the certain skills needed to create an on-line reservation

system.

To ensure price estimation are accurate.

To produce a system that can monitor sales reports.

To ensure that the convenience of the customers always comes first.

To prevent long queues for appointments.

To minimize irrelevant print outs thus saving on printing expenses.

1.4 Significance of the Study

Company

The system will make the companys files accessible to its owner with just a click

of a mouse. It will save the company storage space in their office, and dispose all those

unwanted folders full of client information.

Customer

The customers can easily access the website, design the event and order food

online. They can browse the internet and do whatever they want with the online

reservation system.

Proponents

The proponents can develop the required skills needed to make this system. They can

improve if they already know the basics in making an online reservation system in a

website.

Future Researchers

The researchers can learn from this system to improve their own system in the

future. They can learn from whatever mistakes we may make and not do it again in their

own.

1.5 Scope and Limitation

The proposed storage system will be on an end to end configuration/process

such that all requirements of the customers are served on a time manner. Payment for

services can be done using PayPal.

On-line reservation is pegged at two reservation order per day. It does not

include business inventory.

Theoretical Framework and Review of Related Studies

2.1 Theoretical / Conceptual Framework

The theoretical and conceptual framework of an online reservation system with a

flash based computer and processing information will be based as follows: It will consist

of three elements; input, process and the output. These three elements will be

discussed in detail, which will aid the reader on the outcome of the study. This

framework will serve as a guide, information on how to use the equipment which is

recommended in the conduct of the study. Furthermore, each of the elements which will

be described will contain the necessary ingredients, procedures and processes. A step

by step and detailed procedure will be discussed further in the report.

These are the things needed to develop a study of an online catering reservation

system. In order to achieve the objectives, a thorough knowledge of the system,

software and hardware requirements are required. Accurate software is required to run

the program and in depth study of the hardware (physical) should also be evaluated for

the complete completion of the project.

The following software is required: Adobe Photoshop, Adobe flash, PHP and My

SQL. Adobe Photoshop will be used for editing of pictures. Adobe flash will be used in

any moving graphics required for the system. PHP and my SQL will be the main

applications of the project.

To achieve the study, a minimum of 80Gb and above of hard disk space, 1 Gb

RAM or better, and Windows XP Operating system must be used.

For the design, the group will utilize the System Design Life Cycle (SDLC). Each

step will assist in the scheduling and development of the project. A series of flash

animation and encoding will be initiated before applying the program to its primary

location, followed by the development of the database.

2.2 Review of related studies

Online reservation has been widely used by the biggest establishments from

different industries locally and internationally. It has been very useful for the customers

and for the business firms by increasing profits and additional clients and convenience

for both sides.

Online reservations are steadily growing, especially in e-commerce. Much

business people are now influenced by online services such as reserving hotels,

booking a flight online, paying online, buying things in the internet, and online ordering.

Most of the customers discover that it is more accurate and convenient to refer to the

internet when planning a trip. Business companies influence their clients by what they

put on their own restaurant, travel or hotel website.

These factors affect both the business and customers mostly in a positive way.

Because of the development of online reservation; inputting and processing of data

errors decreased, the number of clients is enhanced as well as the profits and the

simplicity of effort exerted from both sides of the business.

1. A study on Hilly Flores Caf take out catering

Hilly Flores is a catering business abroad which opened two years ago, January

8, 2007 to be exact. The business is located on the corner of Hill and Flores. Formerly

known as Ready Spaghetti, they have over 20 years of experience in the food industry

and the business improved their service to their customers with their own website and

by having online reservation as well as ordering system.

The researchers studied Hilly Flores system and they found out that online

reservation form and ordering form were being sent to them via email. The availability of

the day shows by including a schedule of operations on the website. Unlike from what

the researchers are going to develop, the payment procedure of this business is

conducted via phone call, and not online. The online reservations of the project prompt

upfront the status of their orders, while the payment needs a phone confirmation and

discuss about the procedure of payment, weather the customer will pay thru credit card

2. A study on Walt Disney Worlds restaurant dining and reservation

Online reservations are also used by travel companies and vacation firms such

as Walt Disney World. Walt Disney World is a vacation spot in Japan with many

varieties of business inside, such as, theme parks, restaurants, hotels and cinemas.

Because of these wide mixtures of businesses, Walt Disney World came up with their

own website where customers can access online. Their clients allow them to preview

the place and different spots before they book a vacation to Walt Disney World. Of

course by booking a reservation online, customers can easily have their vacation

without the hassle of going to the place or phoning the business without looking to the

image of the place that they are planning to have the vacation at.

After the online transaction, the system has a range of options on how the modes

of payments should be. Clients have options to pay the down payment of the

reservation through credit card or through PayPal. The customers could also pay whole

or the remaining expenses, upon going to the place of their vacation.

1. A study on Ahavia Lounge Spa

A study of an automated online reservation system for Ahavia Lounge Spa,

(August 2009) prepared by Vic Tuazon, Vince Siongco, Jeffery Manalang, and Aris

Aguila.

The system replaces the previous system of Ahavia Lounge Spa, which is

manual. It integrates a basic financing system that records every sale and transaction of

the business.

The system increases the potential customer base; it increases revenue or profit,

lessens errors in inputting of data, and is easy to access by clients.

The system doesnt accept or consolidate credit card transactions. It is purely

reservation and provides support or assistance in basic accounting of sales reports;

hence, it does the same tasks as the previous manual system. Information is being

logged directly through the system instead of using a log book. A database acts as

storage for user registration and user information. This database allows the business to

gather relevant customer information. It also enables them to merge and update past

and existing customer formation therefore avoiding multiple entries or data redundancy

within the database. The website acts as the main interface of the system providing all

the key features and mechanisms for the whole system. Users will be able to make the

appropriate reservation through the website's interface. A security hierarchy or an

administrator privilege is the key feature of this website. This allows the business or the

people concerned to access or monitor sales reports and transactions accordingly.

2. A study on Interisland Travel and Tours Inc.

The Analysis and Further Improvement of the Ticketing and Payment System for

the Interisland Travel and Tours Inc. (March 2009) prepared by John Dela Rosa,

Margareth Domingo, Chris Lee, Alvin Sarto.

They enhanced the aesthetics of the companys current website and

implemented a better ticketing and payment system that will benefit both the company

and its clientele.

The System has a design of a new layout for the ticketing reservation form. They

implemented a faster and more reliable payment system via third party method. It has

additional information that will be useful during the travel.

The project includes the website design improvement of Interisland Travel and

Tours, and the study focuses on the enhancement of its current database, reservation

and payment system.

The software design includes of a new third party payment system that will allow

the company greater flexibility.

This online ticketing and reservation system brings more customers to the company and

helps improve its corporate bottom-line.

Methodology of the Study

In developing our proposed system, we will use The Waterfall Model or the

(SDLC) System Development Life Cycle it demands a systematic and sequential

approach to software development.

System Development Life Cycle (SDLC)

The system development life cycle is also known as Classic Life Cycle Model or

Linear Sequential Model or Waterfall Method. This model has the following activities.

System/Information Engineering and Modeling

Software is constantly of a large system (or business), work begins by

establishing the requirements for all system elements and then allocating some subset

of these requirements to software. This system view is essential when the software

must interface with other elements such as hardware, people and other resources.

In this part of the cycle, the group will evaluate the nature of the system to fully

understand what is needed for it. From this, they can determine the problems

encountered and can make a simple draft for the system.

Software Requirement Analysis

This process is also known as feasibility study. In this phase, the development

team visits the customer and studies their system. They investigate the need for

possible software automation in the given system. It also includes the personnel

assignments, costs, project schedule, target dates etc.

For this part, the group will brainstorm about the required software to create their

system. Examples of software to use are Adobe flash, Adobe photoshop, My SQL, html,

PHP etc.

System Analysis and Design

In this phase, the software development process, the software's overall structure

and its nuance are defined. In terms of the client/server technology, the numbers of tiers

needed for the package architecture, the database design, the data structure design are

all defined in this phase. A software development model is thus created.

The group, for this part, will design the system based upon the clients request.

Every specification that the client suggested should be met.

Code Generation

The design must be translated into a machine-readable form. The code

generation step performs this task. If the design is performed in a detailed manner, code

generation can be accomplished without much complication. Programming tools like

compilers, interpreters, debuggers are used to generate the code.

For this phase, the group will create the system itself. Using the required

software stated, the group will create a code which will then be entered in a machine

which will eventually produce an output that the client wanted.

Testing

Once the code is generated, the software program testing begins. Different

testing methodologies are available to loosen the bugs that were committed during the

previous phases. Different testing tools and methodologies are already available.

This is the phase where the group will test their system. Detecting bugs and

errors is one of the few purposes of this phase. Once they give the system to the client,

the system should almost be error free and bug free.

Maintenance

The software will definitely undergo change once it is delivered to the customer.

There can be many reasons for these changes to occur. Change could happen because

of some unexpected input values into the system. In addition, the changes in the system

could directly affect the software operations. The software should be developed to

accommodate changes that could happen during the post implementation period.

Maintenance is required to every system out there. Once the group presents the

system to their client, the system should be able to withstand changes made by the

client. The system should be very flexible to change because everything changes.

Chapter IV

Data Gathering Procedures and Outputs

There are a lot of ways to gather data. Some of these procedures would be

questioning and interviewing. But the group decided to use survey as a means of

collecting their data for the current system.

The group decided to survey both the employees of the business and the

customers that are not too busy to take the survey. Surveying both employees and

customers would benefit the group in a lot of ways such as gathering information about

how the employees feel or think about the current system.

The group focused more on the customers because the system would benefit the

customers more rather than the owner and employees. The survey questions can easily

be answered with a yes or a no.

For the customers survey, the group surveyed twenty-five customers and only

twenty people have used the current system. All of those twenty customers said that the

current system is easy to access and user-friendly. Sixteen of the twenty customers said

that its more appealing when the website has additional graphics and animation. Seven

out of twenty is satisfied with the new system. The last survey question is about further

improvement of the current system and fifteen customers think that there should be an

improvement in the current system.

With the information that the group has gathered, the new system should still be

user-friendly and can easily be accessed. Also, addition graphics and animations are

recommended so that it would be more appealing to customers. Lastly, due to the

thirteen people not being satisfied with the system, and the fifteen people who think the

current system needs improvement, the group decided to pursue their plans for the new

system which is to have an online reservation and ordering system.

The employees survey consists of three questions and surely all employees

have seen the current system, but the group decided to survey only five employees.

With the five employees who were interviewed, one said that customers are satisfied

with the current system and all five of them said that an online reservation and ordering

system is necessary for the business new system.

With this information gathered by the group, they realized that not only do the

customers think that a new system is needed but also the business employees. So with

this in mind, the group will surely continue with their system plans for Lai-Lyns Catering

business.

Chapter V

Documentation of Current System

5.1 Description of Current System

The current system of Lai-Lyns Catering consist of a manual system and a

website where the customers can see all the packages that the business offers and the

customers can create their own menu then the menu,

The manual system is basically for the sales reports and receipts for the

business records. The manual system is also used to reserve for an event. Even

though the business has a current website, all of the quotations, reservations and

contract signing are done manually. The customer should set an appointment with the

owner to settle all that is needed to be settled. With a manual system such as this, the

owner can easily misplace any important document needed for the business. Any

natural calamity can easily damage all the files in their main office. An example of a

natural calamity of such would be typhoon Ondoy, where the business suffered severe

loss of files due to flooding.

For the website, it is limited to package viewing and inquiring only. Usually, if the

customer has no time to go to the business main office, the owner would recommend

that the customer visit the website to view what they want for their event. When the

customer has decided, then that is when they set for an appointment with the owner of

the business to reserve the date of their event.

With the current system like this, the business is in need of a better and more

efficient system for their business. That is why the group has design a program where

everything that a customer needs to do to plan for an event can be done using the

internet. And the system not only benefits the customers but also the owner by creating

an administrator only database where the owner can log in and enter all records that

they might have.

5.2 Hardware Set-up

For the manual system, an office full of filing cabinets is the hardware set-up. For

the website, any computer that has an internet connection can open the website and

doesnt necessarily need any hardware set-up permanently.

5.4 Personnel

The business currently is supervised by Eliza Lyn Labos, the owner, and Edna

Labos, the owners mother. All calls are answered by them when they are around, and

every decision should be approved by them first before implementing. They have a

secretary who handles calls when they are not around, and handles all the filing

necessary for their business.

For the website, they have a web designer who is in-charge of everything about

the website. If there is something that needs to be edited in the website, the web

designer handles it. The emails or inquiries that the customers send is directed towards

the owner, where she answers as soon as she reads it or has a proper answer for it.

LEC and GSM facilities- Creation of National Transmission Backbone
Network group wherein we have to attend to various MSCs and BSCs
equipment interconnected for us to be able to appropriately attend on
its tiptop Network availability

Participate in the Restoration of the Relay Station Transmission- An in


depth investigation of Ceragons interconnection to our nationwides
SDH performance.Investigate, recommend and perform restoral
activities to our various relay stations.

Make a thorough investigation and audit of the backbone facilities for its
networks availability.Power generation and its alternative source of
