Position: Administration Manager


Location: Stanmore, Middlesex
Salary: Dependent upon experience
Accountable to: Operations Manager

Hours: 9am 5pm weekdays. In addition, the post holder will be expected to adopt a flexible
working policy to work alongside Office Bearers and Heads of Departments if need be.

Purpose of the role:


The primary purpose of the role is to organize, supervise and assist in daily activities of our
charity so that they are completed in a timely manner.
Position Requirements:
Proven work experience as administration manager or other managerial experience
Confident, clear and thorough communicator orally and in writing.
Excellent organizational, leadership and multitasking abilities.
Project management and time management skills.
Team player, able to develop realistic action plans and work well under tight
deadlines with minimal supervision.
Proficient in MS Office productivity applications.
Fluency in Gujarati, Kiswahili or other cultural language would be advantageous.
Experience of other Khoja institutions: The World Federation, Regional Federation,
Jamaat, Madrasah etc. would be beneficial.

Responsibilities:
Organize and supervise office activities.
Manage schedules and deadlines.
Oversee facilities services and maintenance activities.
Cater to donors or staff concerns.
Assist staff with any issues in dealing with correspondence.
Contribute to the specification and implementation of projects so they are completed in
a cost effective and timely manner in alignment with objectives and outcome
requirements.
Improve operational systems, processes and implement best practices to guarantee
organizational well-being.
Purchase materials, plan inventory and ensure office efficiency.
Perform quality controls and monitor KPIs.
Recruit and train personnel and interns, and allocate responsibilities.
Assess staff performance and provide coaching and guidance to ensure optimum
efficiency.

other duties that might reasonably be considered a responsibility of the post.
