ALTOSOFT BUSINESS OPTIMIZATION SUITE

THE OPERATIONAL
BUSINESS INTELLIGENCE CHALLENGE

The last decade has revolutionized the speed and cycle time of business operations. Financial
transactions close in hours instead of weeks. Products are custom ordered and shipped for next day
delivery. Manufacturing operations are geared to respond dynamically to changing customer demand.

The rapid pace of business operations demands business intelligence (BI) solutions that are capable of
keeping up. Decision makers need real-time data about business conditions in order to make good
decisions and effectively respond to problems and exceptions. But they are faced with a consistent
problem – business information for a single process (e.g. order to cash) can reside in many different
operational systems, and mechanisms for aggregating and analyzing that data have serious limitations.

With existing BI solutions it can take days or sometimes even weeks to integrate, contextualize, and
present operational information to business managers. In fact, a recent survey from the Gartner group
showed that 95% of all BI applications have a data latency of one day or more.* These delays can mean
that the window of opportunity to resolve a problem has often been lost before the problem is even
identified.

Implementation of traditional BI is also costly and complex. Achieving even 24-hour latency generally
requires extracting, transforming, and loading enterprise data from operational systems into an
independent data warehouse. Managing and maintaining the warehouse then becomes a full time job.

“According to survey results, traditional uses of BI applications to handle strategic planning and
financial reporting are not going away, but there is a significant need for data that is less than a
day old. Looking forward, we can say, almost unequivocally, that monthly and weekly cycles of
data integration is too long for most BI applications.”

An alternative approach is Business Activity Monitoring (BAM). BAM promises dashboard-style delivery of
real-time operational data. Yet these solutions fail to deliver historical data which is necessary for
analytical context and root cause analysis. BAM technologies also require lengthy, elaborate process
definition in order to deliver analysis of business process performance. This process definition becomes
so difficult and time consuming that BAM implementations almost inevitably fail to live up to their initial
promises.

The ultimate goal of cost effectively extracting both live and historical data from multiple systems,
aggregating it, analyzing it, and taking action in real-time has proven elusive – until now.

Introducing Altosoft Insight™

The Altosoft Insight™ Business Optimization Suite is the first solution to truly support the real-time, high
transaction volume requirements of operational business intelligence. Altosoft Insight goes beyond
traditional BI and Business Activity Monitoring (BAM) solutions to empower business users to make better
business decisions and respond decisively to business challenges. Altosoft Insight enables:

• Monitoring and analysis of real-time and historical business performance and key performance
indicators (KPIs) via easy-to-use dashboards
• Automated alerting and management of incidents and exceptions
• Predictive Process Analytics for real-time forecasting of operational business activity, enabling
anticipatory response to business issues before they arise
• Automatic Process Discovery for rapidly mapping underlying business processes, saving
significant implementation time and delivering context to business analytics
• Rapid connectivity to multiple enterprise systems like ERP, SCM, CRM, databases, and any

Discover. First, events and data in operational systems are processed by Altosoft’s unique Discovery
Engine. This engine automatically maps underlying business processes using Altosoft’s patent-pending
Automatic Process Discovery technology. This approach eliminates the weeks or even months of manual
process documentation required by many BAM vendors to support process analytics. The discovery
process enables definition of business processes even if they even if they exist across multiple enterprise
systems.

Connect. Next, the Altosoft system connects to enterprise systems including ERP, SCM, CRM, database,
or other applications. Unlike many BI or BAM technologies, Altosoft does not depend on third party
integration tools. In addition, there is no need to create a separate data warehouse; the Altosoft Insight
system monitors live data and events from existing systems as they occur.

Together, Automatic Process Discovery and easy integration to other enterprise systems enable rapid,
cost effective implementation of the Altosoft system.

Monitor. Once implemented, users interact with intuitive dashboards to monitor real-time and historical
enterprise data. Personalized dashboards for business monitoring can quickly be configured and
deployed by business users. No coding is required – users create their own business views by simply
dragging and dropping with intuitive AJAX-based Web 2.0 interfaces. Altosoft analytics can also be
delivered via MS Office or an enterprise portal.

Predict. Altosoft’s Predictive Process Analytics technology enables highly accurate short term operational
business forecasts. Predictions are based on current process states and real-time data and resource
information and are delivered directly into dashboard reports so business users can anticipate and take
action to correct impending problems before they occur.

Alert. Altosoft’s alerting capability enables users to codelessly define and monitor KPIs for operational
processes. Altosoft continuously calculates, displays, and monitor KPIs based on real-time data from
operational systems. If KPIs (or KPI valued that have been predicted by Predictive Process Analytics) fall
out of user-defined acceptable ranges, Altosoft automatically alerts users alerts via dashboard, email,
portal, wireless SMS, and more.

Optimize. Once an alert has been generated, Altosoft delivers fully integrated incident management
service to manage its response and resolution. Incidents are managed processes that include alert
aggregation, escalation, reassignment, root cause analysis, response, and verification. Altosoft’s incident
management capability enables immediate response and rea-time resolution of current business issues
or, using Predictive Process Analytics, potential business issues that have not yet occurred.

From monitoring to incident management and response, Altosoft enables closed-loop optimization of
operational business processes.

ALTOSOFT BUSINESS OPTIMIZATION SUITE

THE ALTOSOFT INSIGHT BUSINESS OPTIMIZATION SUITE

The Altosoft Insight Business Optimization Suite is comprised of several core components:

• Dashboard Server. Puts Altosoft’s analytical power and incident management capability in the
hands of operational business users via intuitive, Web 2.0-based dashboard interfaces.
• Analytics System. Delivers powerful analytics and predictive capabilities in the most demanding
business environments, and enables connectivity with third party systems.
• Incident Manager. Enables organizations to “close the loop” between real time awareness of
business operations and real time response and optimization, using an integrated workflow
engine to manage incident response processes.

Together, these components support the demanding requirements of operational business intelligence.

Dashboard Server

Operational business intelligence demands real-time information and real-time ability to react to changing
business conditions. Altosoft’s Dashboard Server puts this power in the hands of operational decision
makers.

Altosoft dashboards use Web 2.0 technology like AJAX to create a dynamic, highly productive user
experience. Real-time data from business operations is delivered in clear graphical displays. Key
performance indicators (KPIs) relevant to an individual user or role are presented and supplemented with
additional contextual information such as historical data or other content. Actual real-time data is also
supplemented with predicted values from Altosoft’s Predictive Process Analytics technology, so business
problems can be proactively anticipated. Finally, Altosoft dashboards give users the ability to receive and
manage alerts and exception processes to expedite resolution of operational issues.

Altosoft dashboards feature:

• Powerful analytical interfaces. Altosoft’s dashboard capability streams real-time data into a
variety of formats, including charts (Line, Multi-Line, Bar, Pie, Dial, Pareto, and more) for
graphical display and grids for numerical display. Data can be analyzed in greater detail by using
graphical drill-down capability for root-cause analysis.
• Personalized experience. Every individual user has the ability to customize the appearance and
information on their dashboard to best suite their job requirements. Customized graphs and alerts
can be created, and dashboard layouts can easily be modified by business users via Altosoft’s
intuitive AJAX-based drag-and-drop capabilities. Business users don’t need to rely on IT support
to get the operational views they require. Information is automatically delivered to users based on
their roles and privileges. Sensitive data is only available to authorized users.
• Alerting and Exception Management. Users can define KPIs that are relevant to their function
directly through the dashboard. Once defined, KPIs are automatically monitored and alerts are
generated if they deviate from user-defined ranges. Users can create incident management
processes to analyze and respond to these alerts. The dashboard is the central point for
managing issue response; every dashboard user has an Inbox to display, prioritize, and resolve
incoming alerts, messages and assignments.
• Best Practices. Altosoft ships out of the box with pre-built dashboard templates that capture best
practices in Operational Business Intelligence.

Analytics System

The core of the Altosoft Insight Business Optimization Suite is the Altosoft Analytics System. The
Analytics System is designed to deliver powerful analytics and predictive capability in the most complex
business environments, where massive scalability and ability to support high transaction volumes are
prerequisites. The Analytics System processes business transactions and events that are being managed
in external systems such as ERP or SCM. It then correlates this information to process archetypes which
have been defined using the Insight Studio.

Once this correlation is achieved, the Analytics System can understand and analyze transactions in the
context of business process. This enables holistic process analytics that encompass processes that span
multiple enterprise applications. It also enables transactional data from those systems to be analyzed
applied to key performance indicators (KPIs). Transactional data can be further integrated with contextual
information (such as historical data or other content) and delivered to end users via Altosoft dashboards.

ALTOSOFT BUSINESS OPTIMIZATION SUITE

The Analytics System contains five independent modules or engines which work together in a service
oriented architecture:

• Discovery Engine and Insight Studio. Coupled with the Insight Studio, the Discovery Engine
enables Altosoft’s patent-pending Automatic Process Discovery technology. Actual data and
events are monitored in core operational systems like ERP and CRM. Using specialized
algorithms, the Discovery Engine analyzes this information and automatically defines a business
process. This process definition is the basis for Altosoft’s process analytics capability. The
Discovery Engine is discussed in greater detail below.
• Process State Engine. The Process State Engine manages the state and the events associated
with every in-flight business process. Events are received from underlying operational systems
through integration adapters. The Process State Engine receives the events from the adapters
and then either correlates each event to one of the instance of the business processes or starts a
new process instance. Every step in the process is time stamped to support robust process
analytics.
• KPI Monitor. As incoming events are correlated to the instances of the business processes by
the Process State Engine, these events are fed into the KPI service which constantly recalculates
KPI values. The results are stored and delivered to end users via Altosoft’s dashboard. KPIs are
continuously monitored and if user-defined conditions are met, the KPI monitor triggers an alert
which is delivered via dashboard, email, SMS message, or portal.
• Prediction Server. The Prediction Server provides continuous simulation-based projection of all
in-flight business processes based on real-time data feeds and actual resource levels. This
simulation-based approach, called Predictive Process Analytics, delivers accurate short term
prediction of operational performance. The Prediction Server is discussed in more detail below.
• Integration Adapters. An extensive adapter library enables integration with the leading
integration systems, SOA infrastructure products, enterprise applications, and application
servers. These include products from notable vendors such as IBM, HP, Microsoft, Systinet,
BEA, Oracle, JBoss, TIBCO, SAP, and more. Altosoft connects directly to these systems and
monitors events and data in real time. No extraction or transformation process or creation of an
operational data store, data mart, warehouse, or cube is required.

Discovery Engine

Process-related analytics are fundamental to operational business intelligence. The ability to deliver
critical information such as “How long does it take to resolve an average customer issue?” or “What was
the average time it took to process an order in the last hour?” is predicated on the ability to understand
the order and timing of events in a process context.

Traditional BI solutions do not understand process context. Some business activity monitoring (BAM)
technologies are capable of process analytics, but in order to deliver those analytics they require a fully
articulated process model. Unfortunately, building and defining elaborate process models for all
operational processes is a tedious, expensive, time consuming – and sometimes nearly impossible –
exercise.

Altosoft’s Discovery Engine eliminates the need for extensive, exhaustive process modeling. The
Discovery Engine uses Altosoft’s patent-pending Automatic Process Discovery technology to map and
extend a predefined Altosoft Archetype to actual operational process data and events.

An Archetype is a concepts that is unique to Altosoft. An Archetype is a high level abstraction of a

business process. Unlike traditional process models which require high levels of detail and exhaustive
elaboration, Altosoft Archetypes are easy to design and develop because they are generic and abstract
by definition. If a traditional process model can be thought of as the textbook of your business, then an
Altosoft Archetype is a short outline or index of that textbook. Archetypes contain generalized descriptions
of:

• The organization (stores, warehouses, suppliers, customers, etc.);

• Its resources (trucks, third party logistics providers, sales people, customer service
personnel, inventory, etc.);
• The processes/transactions which are typical for the industry (a customer sale, the
processing of a technical support call, foreign currency exchange, insurance claims
review, etc.); and
• The data/metadata structures that typically apply to the industry operation (orders,
inventory, item, debits, credits, refunds, RMAs, etc.).

Connecting the Discovery Engine to an operational system or systems triggers an automated learning
process. Automatic Process Discovery technology monitors and records actual event sequences in the
underlying operational systems. Using this data, events and data are mapped to the Archetype. In

ALTOSOFT BUSINESS OPTIMIZATION SUITE

addition, Automatic Process Discovery enables extension an Archetype to include additional objects not
manually modeled, and orders the process flow of the Archetype to match the live running process.
The Discovery Engine uses a combination of five different algorithms to match Archetypes to real-time
data and events:

• Semantic Matching. Semantic analysis of events names in underlying operational systems. This
involves parsing the names for data objects in underlying systems, then separating common
prefixed and suffixes. These names are then parsed and matched to archetype data tags using a
table of synonyms. For example, a “CustomerOrder” in SAP could be matched to a
Client_Purchase in an Archetype with some statistical certainty.
• Structural Matching. Comparison of the topologic structures of data to enable matching. For
example, an Order might be expected to have a variable number of the Order Items; therefore
any events with the fixed or flat structures are unlikely candidates for matching.
• Data Matching. Analysis of individual transactions and the values they contain for matching
purposes. The engine uses actual data values (e.g. Purchase_Amount = $743.28) in
accumulated events that have been monitored and stored to facilitate matching. First, the system
finds values which are likely to be unique identifiers: Order ID, Customer ID, etc. These are
identifiable because they are values that only appear once for events of similar types. The engine
then looks for the same value in other events that have occurred in order to identify a proper
sequence or flow of the underlying business process.
• BPEL Analysis. Direct import of BPEL (Business Process Execution Language) process
definitions if they pre-exist.
• Frequency Fluctuations. Correlation of unusual deviations in event frequencies to determine
process sequencing.

The Discovery Engine is integrated with the Insight Studio, a graphical design environment for the
development of Altosoft Archetypes.

Archetype design can include definition of a high level process flow, graphical representation of the
enterprise logical and physical layout, corporate hierarchies and business units, and other resource
information (human, inventories, parts and materials, etc.).

Archetypes also include definitions of KPIs that are relevant to the process and industry. The Insight
Studio simplifies KPI development by deriving from relevant business processes, events, resource levels,
and properties.

ALTOSOFT BUSINESS OPTIMIZATION SUITE

The Insight Studio requires no coding, so business experts can take the leading role in creating
Archetypes and defining KPIs. Altosoft also offers a library of pre-built Archetypes for various business
processes that include KPI and operational best practice definitions for targeted vertical industries.
Together, the Discovery Engine and the Insight Studio dramatically reduce implementation time and
complexity when compared to other existing BI and BAM approaches. What was once accomplished in
weeks or even months can now be accomplished in days.

Prediction Server

In many business operations, transactions are processed with such speed and volume that it becomes
impossible to respond proactively emerging business problems. Problems are expected to occur and then
are managed independently as exceptions – which require manual, expensive, time consuming exception
handling. For example, a customer places an order for a pair of sneakers, and is sent an order
confirmation. But demand for those sneakers has been surged over the last seven days because of a
successful ad campaign and as a result inventory won’t be available when the product is scheduled to
ship to the customer. The customer is forced to wait for normal inventory replenishment to occur before
he receives his shipment. The customer might be offered a discount on his order to keep him happy. But
depending on circumstances, the customer might still cancel the order.

What if problems like this one could be anticipated before they actually occur? If issues could be
anticipated and addressed before becoming exceptions, significant savings would result. Other process-
dependent benfits (such as improved customer satisfaction and higher margins in the sneaker example
above) could also result. In the order management situation described above, the initial surge in orders
for the hot new sneaker might trigger predicted KPIs for sneaker orders to exceed the level of current and
anticipated inventory. This might trigger an accelerated order for new inventory that would avert the order
fulfillment problem completely.

This scenario described a short-term predictive capability that is accurate enough to enable businesses to
identify problematic process instances while they are in-flight and respond to issues and exceptions
proactively before they occur. Yet this type of real-time operational forecasting has been extremely
difficult to achieve – until now.

Altosoft’s Prediction Server uses patent-pending Predictive Process Analytics technology to deliver
accurate, real-time prediction for operational business processes. The Prediction Server obtains the
actual state of the enterprise from the Process State Engine. It includes the current state of all ongoing

business processes and current resource levels. The engine then starts a simulation process using the
combination of the actual properties of the processes and the values based on the historical process
activity.

In this simulation, actual live, “in-process” data always is given statistical priority over the distributions that
historical process behavior. For example, consider a process flow A-B-C which is currently at the state B.
Most of the values for the future step C are already known as the properties of A or B. When the engine
simulates the future state C, it takes the known values from A and B and then adds the missing properties
from the historic distributions for C.

Predictive Process Analytics leverages known data and process context to deliver highly accurate short term predictive
capability. In this diagram, the grey and white channels represent possible ranges of outcomes for each process instance
that flows through them. Individual process instances move through these channels towards their specific outcome. To
deliver accurate prediction, Altosoft uses known data (including current enterprise data such as resources, in-process
transactions, etc.) and historical process outcomes (ranges and probabilities) and uses this data in a process simulation
(leveraging Altosoft’s knowledge of the underlying process model) that delivers an accurate prediction of results –
especially for process instances that are currently in-flight.

ALTOSOFT BUSINESS OPTIMIZATION SUITE

This process-centric, simulation-based approach assures very high accuracy for the time horizon smaller
than the average length of the business processes. As a result, Predictive Process Analytics are ideal for
near term forecasting that can have an enormous impact on operational success. Forecast information
can be delivered to users via dashboards, and alerts can also be triggered based on predicted process
behavior.

Incident Manager

Altosoft’s incident manager enables organizations to “close the loop” between real time awareness of
business operations and real time response and optimization.

Traditional BI approaches answer the questions “What happened?” and “Why?”. With Altosoft,
organizations can now answer the question “What is happening now?”. The logical next question is “What
can we do about it?”. That’s where Altosoft’s Incident Manager comes in.

The Incident Manager supports tracking, distribution, aggregation and escalation of all alerts and
incidents generated by the Altosoft Insight system. All user interaction related to incident management
takes place through the Altosoft Insight dashboard system.

The Incident Manager enables businesses to respond immediately to business conditions as they occur
in real time. By using the Incident Manager in conjunction with KPI monitoring and Predictive Process
Analytics, organizations can achieve unprecedented operational agility and responsiveness.

For example, an electronics manufacturer might use Altosoft to monitor part inventory and availability at
its production facilities. If a supplier alerts the manufacturer that there is a recall of certain components,
Altosoft will give the manufacturer instant visibility into the impact of that recall on in-process production.
The Altosoft system will predict if an inventory shortage is imminent and trigger a managed process which
might reroute inventory from another facility which hasn’t been affected by the recall.

Incident Management begins with users defining acceptable ranges for KPIs through Altosoft’s dashboard
or through the Insight Studio. Ranges can be based on constant values, relative or absolute changes in
value, changes in number of standard deviation, and other calculations. Ranges can also be defined for
predicted KPIs generated by Predictive Process Analytics.

Copyright © 2007 Altosoft Corporation. All rights reserved. 12

ALTOSOFT BUSINESS OPTIMIZATION SUITE

Once KPI ranges have been established, users then define the details of alerts to be generated if a KPI or
KPI prediction occurs goes outside the specified range. Alert definitions include problem severity/priority
and specify the individual user or organizational role to which the alert will be delivered. When actual or
predicted events fall outside acceptable ranges for KPIs, alerts are generated and grouped with other
similar alerts and routed to the appropriate employee.

The recipient of an alert must then take action by resolving the alert directly, creating an incident, routing
the alert to another person, or choosing to ignore and discard the alert. Once an incident is created, it is
routed to relevant decision makers using a workflow process. To resolve an incident, a user must specify
when the KPI should return to a normal value or declare the new value (which triggered the initial alert) as
part of a normal range going forward. If a user specifies a time limit for a return to the original normal
range, the Incident Manager will verify that the problem is actually fixed in this time frame. If not, the
incident will be re-opened and routed to the person for resolution again.

All alerts and incidents are logged and are fully auditable. If alerts and incidents are not addressed or
resolved based on user-defined rules, then the system automatically escalates the issue to operational
management.

Microsoft Integration
The productivity tools of choice for most business users continue to be the pervasive Microsoft Office
suite of products. As powerful and easy-to-use as Altosoft’s dashboard capability is, business users will
often need to return to Microsoft desktop solutions for document creation and business analysis.

The Altosoft Insight Microsoft Office Integration Pack is a collection of components which provide direct
integration with Microsoft productivity tools. The analytical power of Altosoft is delivered directly into the
Microsoft Office environment. Capabilities include:

• Delivering KPI values as a live data feed into Microsoft Excel, PowerPoint, or Word.
