We are really looking forward to welcoming you to your SelectHR
learning event. We hope that you will enjoy it as much as our
previous attendees have. It promises to be an informative and
entertaining time together.

As this is likely to be your first step in looking at the back end of


the SelectHR system, it may appear quite a daunting prospect to
learn something completely new.

However, it doesnt need to be that way! This booklet has been


designed to expose you to some of the key ideas, terminology
and questions that we will be considering together.

Dont worry if some of the concepts and language are unfamiliar


at this point this is natural. Everything will become clear and
fall into place during your workshop honest!!

Here are some really quick and easy tips that you can take on
board to help you derive the maximum benefit from our time
together
1. Chillax
Were here to learn sure, but who says we have to learn
without having any fun? Your workshop will be
interactive, fast-paced and well worth the time you have
invested in your learning
2. Socialise
We are social animals make the most of it! Sit next to
someone who you dont know very well or at all (but
would like to!) There will be a wealth of knowledge and
experience within a few feet of you in the training room.
Your fellow learners will be a captive audience make the
most of them! Its not a bad idea to move around after
the breaks and sit next to somebody else to gain
maximum benefit from you co-learners
3. Look after yourself
If you need to stand up or move around just do it! If you
need to leave the room at any point theres no need to
ask. Be sure to be comfy whilst you are learning as
nothing will sink in if you are uncomfortable

4. Write down good ideas
along with anything else you want to take away from
this workshop. You will:
be presented with an armoury of information that
you need to design this area of your HR system
be given some of the skills required to build
certain parts of it (although our consultants are
there to support you all the way from this point
on!)
draw on experiences from other learners

Its up to you how much you want to take away with you.
Make your notes as bright and colourful as you can, as
eye-catching colours and diagrams will help to reinforce
your learning

5. Do everything you can to leave your domestic and


business concerns outside
Once the workshop starts, turn your mobile off and shut
down e-mails. Imagine that this workshop was happening
1,000 miles from your home or work. Would you still
make the call or write the e-mail?

6. Enjoy yourself
Embrace the workshop and be open to the learning
youll learn a lot, but itll be fun!

Whilst there may not be too much to know about getting around
this area of the system do not be fooled

there is a huge amount that you can do in this back end of


the SelectHR application.

DEFAULT CONFIGURATION

Some of the things that you will need to consider in this area are:

1. The address of the server that handles your emails in your


Organisation

2. Who should receive alerts created by the system (e.g.


when workflows are blocked or when batch jobs have
completed)? What is their email address?

3. How will users get access to the SelectHR system


options are Single Sign On (SSO), or Manual Sign On
(MSO)

4. Do you have a payroll system that can be linked to


SelectHR?

5. Are you using or going to be using the Recruitment


module?

The document store

One of the databases that makes up the whole SelectHR


application is referred to as the CDMS database
This is the area of the system that holds any documentation that
relates to the people in your system:
scanned images of passports etc.
copies of mail merged documents
your own policy documents
If you attach your policy and procedure information to the
document store, you can make these accessible in the self service
area of SelectHR. This is especially useful if you would like to
keep a record of whether an employee has read these
documents. Make a list below of the policies that you might like
to store in this area:

In order to get the most from your SelectHR
application it is necessary to have a basic understanding of how
the main database is constructed, however

Well take it step by step and by the end of this section you will
have a much clearer understanding of how this whole thing
hangs together. Have a stab at providing a definition for the 4
main areas of the database dont worry if you are stuck on any
of them as well cover it all on the course

One of the key features of the SelectHR system is the ability to
give access to as many members of your Organisation as
necessary. This will ensure the input and maintenance of data is
completed as efficiently as possible. However, care needs to be
taken to ensure that appropriate access is given to the
appropriate people (users).

Make a note here of the different types of user you think you
may need to set up, and also identify whos records they should
be able to view the first two have been set up as examples:

HR Business Partner Access all areas of the Access to records of all
(Manufacturing) system and have full employees in the
update rights manufacturing department

On a final note, it is important to understand how your data is


treated by Access consultants.

When on site or working remotely on your account, our


consultants will be working securely with your data. It is
important to note that this data is yours.

To make sure the implementation stays on track, it is crucial to


make the data available to our consultants when they have
asked for it. We WILL NOT change any of your data, we will
only utilise what we have been given.

In this way you can have great confidence that the data you are
using is complete and correct. This does mean that the
responsibility for providing the correct and clean data is yours.
