Friends of Ashdown Primary School Committee

Code of Conduct November 2016

As FoAPS Committee members and thereby trustees of the Charity (Reg


Number 296583), we agree to work to the following code of conduct:

All members will act in the best interests of the PTA at all times, in line
with the charity objectives.
Everyone has a voice; we will respect all committee members opinions
and listen to their views.
All members will be aware of the responsibility that comes with being a
trustee of the committee by reading and abiding by the constitution.
The committee will communicate on a regular basis with the school via
the Chair of PTA and / or via committee meetings.
All committee members will ensure good financial practice as detailed
below;
o All monies taken by any individual for any PTA activity to be
passed onto the Treasurer.
o No individual to ever bank PTA monies into personal bank
accounts or use any PTA monies for own personal use.
o The Treasurer will always be on hand to collect money, pay in
money and issue payment to external companies by cheque when
required.
o Any committee member taking money as part of an event is to
forward that money onto the Treasurer takings for ticket sales
etc, should be passed to the Treasurer when meeting or exceeding
100.
o At the end of any event (with the exception of events immediately
prior to a school holiday), all funds should be put into the school
safe until able to bank.
o All monies should be counted and double checked by a second
committee member.
All funding decisions should be made in accordance with the procedures
put in place in 2015. See below;
o Requests inputted on the request for funding form and submitted
to the Leadership Team at school for approval.
o Next approval from Executive Head of School.
o Request then submitted on the form to FoAPS for consideration at
either the next meeting or by email if time is critical.
o Vote by the committee majority voting accepted, and signed by
Chair of committee.
Any disputes to be handled in line with PTA UK & Charity Commission
guidelines
o The trustees of the committee may for good reason, whether or
not requested by the governing body or the head teacher, exclude
any person from the committee or from attending an event if that
person is deemed a danger to the school, staff or pupils, or might
bring the association into disrepute by breaking any regulations
concerning PTA membership or the charity commission.
o Removal from the committee will not be permanent until the
person concerned is notified in writing of the proposal and given a
right to respond. In the meantime, temporary removal
(suspension) will take place, again notified in writing.
o Permanent removal from the committee must carry a majority
vote from the trustees.
The committee will respect the wishes of the wider school / parent
group at all times and involve the wider school / parent group as much
as possible.
All decisions made by the committee should be made in line with the
objects of the association, as defined in the constitution.
