Request for Proposal for


Marketing Agency

Hope Plus Organization is accepting Request for Proposals (RFP) to solicit proposals for
Marketing Agency. The Contractor shall provide the Services based on the services specified in
the following document.

Parties interested in responding are asked to submit three printed proposals no later than 5:00pm
on November 1, 2017 via mail, email, or in person.

Background/Purpose
Hope Plus is a non-profit organization established in 2017 providing Natural Disaster Relief.
Bringing supplies, activities for kids, and first aid training for those affected by tragedy. We set
up our warehouse to any given location and help thousands. We believe in bringing hope,
compassion and unity to those around us. Hope Plus seeks to establish a Marketing Agency that
will manage marketing aspects such as advertising, public relations, and branding. Agency must
meet all requirements and supply excellent service with the organizations values and goals in
mind.

Objectives
The objective of this RFP is to seek and retain a qualified marketing agency to develop and
promote the organization. The results of these efforts will benefit the Organization by bringing
awareness, donations, and possible volunteers/ other partnering opportunities. With the
organization just starting up, our advertisements will create an image and theme that we plan to
build off of.

Scope of Work
Plan, develop, execute and track results for Hope Plus organization marketing program.

Branding
Logos/Identity: Designing and crafting a logo and message that will create a face and
voice for our organization. Also, crafting flyers, posters, and brochures, and possibly
at a larger scale (billboards)
Advertising Campaigns: Design and Compose a series of advertising messages that
will bring awareness to natural disasters and their victims. This should reflect the
organizations voice and engage people to donate to the cause.
Interactive Components
Website: Design, create, and maintain organization website. This website will be our
main focus in regards to being interactive. This should include donation page,
merchandise page, background information, history, and links and videos to promote/
further bring awareness to the issue.
Social Media: Create, manage, and regularly update mobile and social apps
(Facebook, Instagram, Twitter).
Public Relations
Media Relations: Creating and establishing crucial third-party endorsements for our
organization.
Events: Plan and host events that will further promote our organization along with
possible partnerships.
Note that these services are subject to change and will be more specific upon choosing and
meeting with chosen agency.

Contract Terms
The successful proposer will enter into a contract for services with Hope Plus. The
duration of the initial contract between Hope Plus and the successful proposer is expected
to begin January 1, 2018, and terminate on December 31, 2018. Hope Plus reserves the
right to renew its agreement prior to the end of each contract term for a total of 1year,
providing there is funding to do so. There will be a six-month review and subsequent
reviews annually in each year the contract is renewed.

Proposal Guidelines and Criteria


Award of the contract resulting from this RFP will be based on the most responsive,
creative, engaging and qualified vendor whose offer will be most advantageous to Hope
Plus in terms of cost, functionality, and representing the organization and what we stand
for.

Proposal Requirements
1. Company Background and Qualifications
o Provide a description of the proposers services and activities
o Provide year in which your agency was formed
o Note your companys history
o Describe three recent and relevant projects in detail that the agency was
engaged in
o Provide address from which the primary work takes place
2. Personnel/ Management\
o Identify individuals and leaders who will be conducting day to day activities.
o Include brief background and experience of these individuals
o Identify all subcontractors and document which service will be performed by
subcontractors
3. Scope of Work
o Provide agencys capability, including describing strategies. The scope of
work should demonstrate knowledge and understanding of marketing and
branding (advertising, social media, production, research and analytics.)
4. Proposal Cost Summary
o Provide an overview of your agencys possible budget and how you would allocate
our budget based on percentages (hourly fees, invoices). Hope Plus is open to all
agencies and would like to select one with reasonable pricing.
5. Proof of Licenses and Insurance
