CHAPTER I

INTRODUCTION

Background of the Study

Records have a dual function. Not only do they enable a school to have a clear
picture of what is available and what is required, but they also provide justification of certain
needs. Furthermore, they serve to extend the memory by which persons and organizations
can pass their cultures and achievements on to future generations. Record keeping is vital to
an education systems information cycle as a whole, because of its fundamental role in the
process of efficient information production and collection. Since some of the most crucial
information is produced at the school level, the importance of creating a systematic record-
keeping culture at that level cannot be stressed enough (Satulan, 2015).

Statement of the Problem

This study generally aims to determine the level of student satisfaction on the
services provided by the Student Registration and Records Management Office (SRRMO) of
Dr. Carlos S. Lanting College. The data to be drawn from the study shall form basis for the
continuous improvement and modernization of the office.

Specifically, this study attempts to answer the following questions:

1. What is the demographic profile of the respondents in terms of:

1.1 Curricular Program

1.2 Age

1.3 Civil Status

1.4 Gender

1.5 Religion?

2. What is the average number of times the respondents transacted with the SRRMO?

3. What are the services most transacted and inquired by the respondents?

4. What is the level of satisfaction of the respondents on the SRRMO in terms of:

4.1 Personnel

4.2 Recommended measures for improvement?

Significance of the Study

In light of the present study, the researcher finds it beneficial both to the students
and the whole institution. This study may reflect the general feedback of the students in
Student Registration and Management Office which may be used as basis for the
improvement and enhancement of its services. This study may also provide necessary
information on students satisfaction level in terms of the various services provided by
SRRMO. All the data that may be obtained from this study would provide better view of the
current status of the department which will give way to the provision of necessary actions and
plans for the continuous improvement and enhancement of the services it caters to the
students. Furthermore, data to be obtained may provide the members of the Administration a
clearer picture of the pressing and future needs of the department, thus creating support for

the department in achieving their service goals. Finally, findings of this study may also be
helpful to future researchers which will have similar studies about the topic.

Scope and Limitations

The study was limited to the study of the level of satisfaction of DCLC students on
the services provided by the Students Registration and Records Management Office
(SRRMO) for the AY 2014-2015. The study was further limited to 866 randomly selected
students from all the programs offered by the school.

For this study, a survey questionnaire was employed to gather data. Secondary
data were extracted from readings relevant to the topic to gain more inputs and support the
present study. Data gathered from the study shall form basis for the continuous improvement
and enhancement of SRRMO.

CHAPTER 2

REVIEW OF RELATED LITERATURE AND STUDIES

This chapter presents various literature and studies that the proponent considered
as deemed necessary or related in this study. It includes books, journals and other
publications and websites for a more comprehensive learning source.

Manpower in records management

Iwhiwhu (2005) stresses the insufficient quality and quantity of manpower in records
management in the school system. He emphasized that manpower is employed without
prejudice to qualitative records management. Though this business of record keeping and
effective management in the secondary school system has not attained good success due to
insufficient provision of facilities, fund and management components. However, adequate
security, storage facilities and funds are generally recommended for good record keeping and
management (Tower Software, 2004).

School record management according to Fasasi (2004) is meant to enhance the


performance of secondary school administrators. Adequate records management program
coordinates and protects an institutions records, sharpens the effectiveness of records as a
management memory which controls the times, equipment and space allocated to records
and helps to simplify intra-organizational and communication problems. The management of
records in the secondary schools like in any other organization is a cyclic process involving
the principals, teachers, students, messengers and cleaners. The bulk of records are handled
by principals which are kept manually thus the processing, retrieval and utilization of records
are not easy.

Marketing management and its processes

According to Abasola and Carlos (2004). that Marketing management is a process


of planning and executing the conception, pricing, promotion and distribution of goods,
services, and ideas to create exchanges that satisfy individual and organizational goals. This
definition recognizes that marketing management is a process involving analysis, planning,
implementation and control; that it covers good services , and ideas; that it rests on the notion
of exchange ; and that the goal is to produce satisfaction for the parties involved.

Students want faster services and transactions. They want the employees to smile
at them, behave cheerfully, and be patient and to treat them humanely, with sense of

urgency, promptness, and respect without shouting or manifestation of anger. They also
suggested for the computerization and systematization the school documents. They want for

the Registrars to implement effective, enhanced record system and management marked with
proper record safe keeping or prudence in keeping documents and scientific organization of
records based on international standards of records management ( Research Series #46 by
the Centre for Research and Development and the Quality Assurance Office).

Synthesis

The researchers learned about the different effective way in managing records. Also
through the facts derived from the past studies, they were able to confirm the importance of
Records management in the perspective of the student and the organization. The researcher
realized the importance of student registration and records management in delivering quality
service.

Figure 1 illustrates the Conceptual Framework of the study showing the input, process
and output in assessing the students level of satisfaction on the services provided by SRRMO
as well as with the recommended measures for improvement. Primarily, the study shall
identify the demographic profile of the respondents including their curricular programs, as well
as their level of satisfaction in terms of the SRRMO personnel and the recommended
measures for improvements. Data shall be gathered using questionnaires and the document
analysis of related literature. Data drawn from the study shall be analyzed and interpreted
using appropriate statistical measure. As an output, this study will have an assessed level of
satisfaction on the SRRMO personnel and their recommended measures for the improvement
of their services.

Definition of Terms

BEEd- Bachelor of Elementary Education (BEED) is a four year degree program designed to
prepare students to become primary school teachers. The program combines both theory and

practice in order to teach students the necessary knowledge and skills a primary school
teacher needs. There are several major fields of concentration in the BEED program, namely
Early Childhood Education, Special Education, General Education, English, Mathematics,
Science, Filipino, Social.

BSHRM- The Bachelor of Science in Hotel and Restaurant Management program at Dr.
Carlos S. Lanting College provide knowledge and skills to students for careers in the global
hospitality industry. This program addresses the needs of sector such as fast food chains,
restaurants and resorts and makes sure that HRM graduates here are efficient, competent
and globally competitive.

BSN - Bachelor of Science in Nursing (BSN) is a four year degree program that teaches
students the necessary skills and knowledge to care for the sick and injured. The program
revolves around four main components; health promotion, disease prevention, risk reduction
and health restoration.

Midwifery- The two-year Diploma in Midwifery program provides students with knowledge
and skills about the foundations of midwifery, normal obstetrics and care of the newborn and
basic family planning. The program also includes topics related to managing pregnancies,
postpartum periods, high risk Obstetrics, midwifery ethics law and practice.

Student Registration and Records Management Office- The Office of the College Registrar
dedicated primarily to the service of clients, faculty and students through scheduling,
registration, record keeping , reporting and processing of all credentials.

Student Satisfaction- This refers to the level of how satisfied the students in the services,
and processes provided by a particular institution.

Assumptions

The researcher formulates the following assumption:

Most of the students are satisfied by the service provided by the Student Registration and
Records Management Office personnel.

The respondents would highly recommend the use of Student Information System
to provide quality service in terms of scheduling, accessibility, accuracy and competitiveness
in terms of using technology.

CHAPTER 4

METHODOLOGY

This chapter covers the research design, technique in gathering data, and
population sampling technique. It included analytical tool, and market analysis, acquisition
used by proponents in research.

Research Design

The descriptive research method was employed in this study. Descriptive research,
also known as statistical research, describes data and characteristics about the population or
phenomenon being studied. The main goal of this type of research is to describe the data and
characteristics of what is being studied. The idea behind this type of research is to study
frequencies, average, and other statistical calculations. Descriptive research is mainly done
when a researcher wants to gain a better understanding of a specific topic. It is a scientific
method which involves observing and describing the behavior of the subject without
influencing it in any way.

Primarily, a permit to conduct the survey among the students was sought from the
respective officials of Dr. Carlos S.Lanting College. Upon approval of the concerned heads,
questionnaires were reproduced and distributed to the 866 student-respondents. Cooperation
and utmost confidence were sought from the respondents to be able to gather the necessary
data. They were further assured on the confidentiality of their responses and the purpose of
the study.

Finally, the filled-out questionnaires retrieved, tallied, interpreted and analyzed using
appropriate statistical treatments. Data were further presented using tables and graphs.

Methods and Sampling

The data gathered were properly tallied, tabulated, interpreted and analyzed using
the frequency and percentage distribution as well as the computation of the weighted mean.

Specifically, the following formulas were utilized:

Units of Analysis/Research Locale

The respondents of this study were the students of Dr. Carlos S. Lanting College
from all the programs. Specifically, 866 randomly selected students were chosen. This study
was conducted in Dr. Carlos S. Lanting College, Quezon City located at #16 Tandang Sora
Ave., Sangandaan Quezon City.

Instrument and its Validation

The Research Questionnaire was validated by the Center for Research and
Development of Dr. Carlos S. Lanting College. All the necessary information in the instrument
was checked and approved before it was administered to the respondents. The questionnaire
checklist was the main instrument used by the researcher in the study to gather the necessary

data and information from the respondents. This questionnaire is composed of three parts.
The first part of the questionnaire is focusing on the demographic

Ethical considerations

Discuss research activities involving human or animal subjects or work in which ethical
issues are inherent and require higher intervention. Protection of human-subjects shall be
highly observed. Explain in brief if your respondents used alias or pseudonym to hide their
identity. Pictures of respondents should be confidential and if used as part of the paper
researchers have to hide their faces.

CHAPTER 5

RESULTS AND DISCUSSIONS

This chapter presents the data gathered through the use of questionnaire in relation
to the specific problem of the study. Data were presented in table form for better
understanding of the reader.

Table 1 shows the frequency and percentage distribution of the respondents in terms of
curricular program.

Majority of the respondents per curricular program were BS Marine Transportation


with a total frequency of 254 respondents or 29.33% rank 1, followed by BS Marine
Engineering with 157 respondents or 18.13%, rank 2, BSHRM 60 respondents with 6.93%
rank 3, BSN has 55 respondent rank 4 , BSMLS with a total respondents of 54 rank 5, BSRT
total 50 rank 6, MAEd with total respondents of 47 rank 7, BSBA total respondents of 38 rank
8, MAN with total respondents of 32 rank as 9, two program has total respondents of 19
namely BS Psychology and BSEd rank 10.5, BSCA with total respondents of 18 rank 12,
BSCS total respondents of 13 rank 13, Health Care Services has total respondents of 11 rank
as 14, three program namely BEEd, BSPT and Supplemental Education has a total
respondents of 10 rank as 15.5, and Midwifery as the least respondents total of 9 rank as 17.

Shown in Table 3 is the frequency and distribution of respondents in terms of civil


status. Single dominates the highest respondents with the frequency of 815 with a percentage
of 94.11% rank 1, followed by married respondents with the frequency of 46 with a percentage
of 5.31% rank 2, separated respondents with a frequency of 4 with a percentage of 0.46%
rank 3 and widow/er respondents with only 1 respondents with a percentage of 0.12% rank 4.

Qualitative Part of the Study

CHAPTER 6

CONCLUSIONS, IMPLICATIONS AND RECOMMENDATIONS

This chapter presents the summary of findings, conclusions and recommendations


based from the results of the study. Introduce this section of the study. Nemo enim ipsam

Summary of Findings

Among the important findings of this research are:

In terms of the demographic profile of the respondents:

1.1 Curricular Program

Majority of the respondents per curricular program were BS Marine Transportation


with a total frequency of 254 respondents or 29.33% rank 1, followed by BS Marine
Engineering with 157 respondents or 18.13%, rank 2, BSHRM 60 respondents with 6.93%
rank 3, BSN has 55 respondent rank 4 , BSMLS with a total respondents of 54 rank 5, BSRT
total 50 rank 6, MAEd with total respondents of 47 rank 7, BSBA total respondents of 38 rank
8, MAN with total respondents of 32 rank as 9, two program has total respondents of 19
namely BS Psychology and BSEd rank 10.5, BSCA with total respondents of 18 rank 12,
BSCS total respondents of 13 rank 13, Health Care Services has total respondents of 11 rank
as 14, three program namely BEEd, BSPT and Supplemental Education has a total
respondents of 10 rank as 15.5, and Midwifery as the least respondents total of 9 rank as 17.

In terms of Age, majority or 428 respondents are within the 16-18 years old bracket
and ranked 1st with a percentage of 49.42%. Meanwhile, 250 (28.87%) of respondents which
ranked 2nd are within 19-21 years old. Seventy (70) or 13.63% of the respondents are 22-24
years old while ranking 4th are 118 respondents or 13.63% who are 25 years old and above.

1.3 Civil Status

Single dominates the highest respondents with the frequency of 815 with a
percentage of 94.11% rank 1, followed by married respondents with the frequency of 46 with a
percentage of 5.31% rank 2, separated respondents with a frequency of 4 with a percentage
of 0.46% rank 3 and widow/er respondents with only 1 respondents with a percentage of
0.12% rank 4.

Conclusions

Based on the above findings, this study concludes that:

1. In terms of the demographic profile of the respondents:

Majority are from the BS Marine Transportation Program

Majority are within the 16-18 years old bracket

Majority are single.

Majority are male.

Majority are Roman Catholics

2. In terms of the number of times the respondents transacted with the SRRMO, majority
of the respondents transacted within the 0-4 years period.

3. In terms of the services most transacted and inquired by the respondents:

Majority of the requested documents are certification (grades, enrollment, GWA)

Majority of the requested permission is for the adding of subjects.

Majority requested for clearance signing.

Majority requested for scholarship signing specifically the CHED grants.

4. In terms of the level of satisfaction of the respondents on the SRRMO:

They agreed that they are satisfied with the SRRMO Personnel.

the respondents conformed with the recommended measures for improvement of the
SRRMO.

Recommendations

findings and conclusions of the study, the following are then recommend:

Practical issue. That Student information system (online assessment, enrolment,


queries, request and other transaction) should be implemented in order to increase the speed

Theoretical issue. Provision for a spacious area to accommodate students/clients is

Methodological issue. Nemo enim ipsam voluptatem quia voluptas sit aspernatur aut

nesciunt. The placement of suggestion boxes in to be able to acquire additional inputs from
clients in terms of their satisfaction on the services rendered by the department. This will also
provide additional basis for the future improvement of the office.
