1. The goal of the team is to come up with a process to seamlessly monitor the projects.

There are
4 members in the team who are closely working together to come up with the process of
monitoring projects being implemented by the unit. The team members are knowledgeable
about the various processes utilized in completing client’s request - that is from proposal
development until project evaluation. The team is also very high level minded and are
passionate about finishing this project. The weaknesses are a) team members are like minded,
which means that they may see the same thing and fail to recognize any new process that may
help and b) the workload that the team handles as of the moment – this may pose a problem in
prioritizing the project and coming up with a creative project.

2. The increasing number of clients and the initiative to streamline the process in monitoring
projects are the main reason for this project. The org has come up with creative ways to
document processes, but not yet on a seamless process to monitor projects. There were initial
mechanisms implemented, however, they need revisions and or the org needs a new one. The
need to approach this is to provide creative and innovative ways in coming-up with a process
that will help members to monitor these projects. The project will be judged based on the
following criteria: intuitive design (practical and useful design), easy to navigate and all possible
factors are considered (i.e project timeline, deliverables, who is in charge).

3. The idea here is to start with a pre-work for the four team members. The pre-work consists of
writing down their best practices on how they monitor each of their projects. Then we ask the
team members to meet and sit down. During the meeting/workshop session, team members
will be doing the following: 1) 5 Whys, 2) De Bono’s thinking hat and the SCAMPER technique.

For the 5 whys, what the team members will do is to answer 5 why’s that will stimulate their
thinking and will provide them ideas. To generate more ideas, team members will do the
thinking hats. The blue hat (process) to plan for action, the white hat (facts) what information is
needed and how to get these, Red hat (feelings) to identify feelings, the green hat (creativity)
the pose alternatives or solutions, yellow hat (benefits), positive points and the black hat
(cautions) what are the current dangers, weaknesses, difficulties and the things that may pose
difficulty. After generating ideas using the six thinking hat, team will generate these ideas and
proceed with plenary to discuss. They may employ the SCAMPER technique (substitute,
combine, adapt, modify /magnify /minify, put in other use, eliminate, reverse /rearrange).

4. The pre-work will enable the team members to re-assess the process and be not distracted from
the others’ while thinking about coming up with new ideas. The 5 Why’s will stimulate the
thinking of drilling down the main reason, while the thinking hats will enable the team members
to come-up with some alternatives/solutions/difficulties even feelings as well as information
needed. Since participants are almost like minded, these techniques may trigger the members
to think outside of the box and discover other solutions. The process will also avoid waste of
time since the objective will be much clearer and steps needed will be clearly articulated and
most importantly the need for process will be highlighted.
