1. How to logon to SAP system:

Step1: Double Click on the SAP Logon Icon on your computer screen.

Step 2: Double click or press Enter while placing your cursor in your FESCO connection in
SAP Logon window. You will be moved to next step.

inbox for approval & posting. Process for other expenses will be same only expense GL will
be changed.

5. Clearing of Rental Invoice

Step 1: Access the transaction using:

You have made outgoing payment of vendor and clear the same with the relevant open
invoice.

6. Printing of Cheque after Outgoing Payment

7. Vendor Change: Assignment of Head Office Account

As there is a requirement of printing single check for those employee vendors who have
bank account in same bank for the payment of salary, head office account is required to be
assigned in the employee vendor account, it is very important to have head office assigned
in the vendor master before the execution of payroll to print single cheque for multiple
vendors, If head office account is not assigned in the employee vendor account then his/her
salary will not be included during printing of single cheque on the name of bank manager.

The following process explains how to assign/include or exclude head office account in
employee vendor master record.

Step 1. Follow the below mention menu path or use the Tcode to access the vendor change
screen:

Step2: Now double click on FK02 it will open another screen, see below figure;

Enter employee vendor number, then enter company code and select accounting info under
company code data and press enter.

In head office field assign head office vendor for Bank Manager to creat cheque on bank
manager name, if cheque is to be created on Employee name then remove the head office
account and save the data.

Note: Head Office account is to be assigned or removed before posting payroll or


expense to print cheque on bank manager or Employee name.

8. Salary Payment & Adjustments without upload

Step 1: Access the transaction using:

Please note that in vendor account we have to enter the head office account which is
created on Bank Managers name for the issuance of one check for multiple employees,
before processing Payroll.

Go to the process open items tab and click on it this will take you to the next screen see

9. Customer Master Data Creation

11. Advance Payment Adjustment.

Note: Deductions will be made from employee salary through payroll posting and
adjustments will be carried out through this process.

Step 2: On the Clear Vendor: Header Data enter the necessary data.

Uncheck the Standard OIs box and select the document type on the clear vendor header
data.

Click the icon or press Enter on your computer. New Window will open see Figure3.

Step 3: On the clear vendor enter selection criteria screen enter the necessary data.

Click on the process open item on the clear vendor selection criteria screen it will open a
new screen see figure 4.

Step 4: On the clear vendor create residual items go to the tab “Res Items” and enter the
amount of residual item.

Deductions will be made from employee salary through payroll posting and adjustments will
be carried out through this process.

Click the icon or press Enter on your computer. New Window will open see Figure 5.

16. Creation of Internal Order

At FESCO internal Order will be used to assign budget for vehicles. Each vehicle will have one
internal order and a budget will be assigned to it for fuel expenses.

Step 1:Access the transaction using:

It is important to note that you can create Statistical internal order and Real Order by ticking
or not ticking the “Statistical Order”, respectively.

Note: It is important to note that a statistical internal order has been attached in the
transaction for recording purposes. You use the statistical order to evaluate costs which
cannot be itemized in detail in cost element or cost center accounting. You achieve this by
assigning the costs to both the statistical order and the cost center.

It is also specified with information window before simulating the document as shown below.

Step 6: Now the statement is saved in the system, next process is to post this statement

Click on Bank Statement and select post and then select Individual Statement, when you click on
individual statement it will open another window showing the posted and unposted items from that
statement as shown below, the item is not posted due to no matching reference in statement and line
item in bank account.

Step 8: Now to post the un-posted items go to T-Code FEBAN as shown below

Enter your Company Code and then Execute. Another window will open as shown below.

Now drill down your house bank up to bank statement entered, now select the item with red indicator
and then right click on it and then select post item. When you select post items it will open another
window as shown below,

On this screen select the item you want to clear and the click on post. The item is now cleared.

Go back to T-code FF67 and overview the bank statement,

20. Bank Reconciliation through Upload
Step1 : To reconcile bank accounts we have to maintain data provided to us by bank on the following
format prepared on excel file, see the below figure;

After entering bank statement on excel format, save the file and convert it into text (tab delimited) for
upload.

Step 2: Before uploading bank statement , display the incoming and outgoing bank account line items
to see which items are to be cleared through upload, for this purpose go to T-code FBL3N as shown
below

Enter the relevant bank data and execute the report, report will display the open items of incoming
and outgoing accounts, see the below figure,

Please ensure that you have relevant reference in assignment field for line item clearing through
upload.

Step 4: After checking the open items, go back to main menu screen and enter the bank statement
upload T-code ZBR ,the following screen will open

Select your bank statement save in text format and the click on execute, when you click on execute

Double click on the house bank and it will open the status of the bank statement uploaded,

There are posted items and there are un-posted items, few items did not post as system could not find
any reference in the reference field of upload file. So to post items there has to be reference in the
reference field in excel and text file as well as in the Bank GL line item.

So to post the un-posted items please follow the procedure as given in previous process.
