Position Title: Consultant – Event Coordinator

Established in 1951, the International Organization for Migration (IOM) is the principal inter-
governmental organization in the field of migration and works closely with governmental,
intergovernmental and non-governmental partners. IOM is dedicated to promoting humane and
orderly migration for the benefit of all. It does so by providing services and advice to governments and
migrants.

Context

IOM X is the International Organization for Migration’s innovative campaign to encourage safe
migration and public action to prevent human trafficking. In partnership with the United States Agency
for International Development (USAID), IOM X works closely with key stakeholders and influencers
across the globe, including international and local celebrities, media and corporate partners, anti-
trafficking and youth organizations, government agencies and young people to drive a worldwide
movement.

By leveraging the power and popularity of media and technology, and using a Communication for
Development (C4D) approach, IOM X inspires young people and their communities to act against
human trafficking.

To successfully accomplish this mandate IOM X is required to leverage the power of media and
technology to produce strong multimedia messaging to promote and incite the adoption of safe
migration behaviors and counter-trafficking resilience amongst young people between the age of 15
and 30 across the Asia Pacific region.

With this goal in mind, IOM X will be hosting a large scale event in Bangkok in March 2018 in order to
promote newly developed content that seeks to demonstrate positive shifts in knowledge, attitudes
and intended practice when it comes to recognizing that the target audience are connected to human
trafficking and exploitation as consumers and need to appreciate the contributions of the workers
(particularly migrants) who provide the goods and services that they enjoy and to respect their rights.
The Event Coordinator will assist with all aspects of pre-event, during event and post-event planning
and execution. This includes coordination with suppliers, writing and translating materials (English to
Thai), liaison with media organizations, and post-event reporting. The Event Coordinator will work
with a wide range of stakeholders, and therefore must be extremely well organized and adaptable.

Scope of Work

Working under the overall supervision of the IOM X Campaign Communication & Public Relations
Officer, the Event Coordinator will work specifically on the media launch of the IOM X YTMS
(Youtube mini Series) in Bangkok. The consultant’s duties will include, but not be limited to, the
tasks as set out below:

 Work with partners to determine ideal design for the event


 Source venue and food and beverage services.
 Liaise with an event company to produce the event (audio, visual, layout, production of
backdrops, coordination with suppliers)
 Write invitation letter and coordinate with IOM X Graphic Designer to design the invitation.
Translate both to Thai.
 Assist with building a strong invite list including stakeholders in the celebrity, counter-
trafficking and other relevant communities.
 Write event script in English and Thai (including Master of Ceremonies (MC or emcee) and
flow)
 Write event brief in English and Thai
 Brief speakers and partners on their roles at event
 Coordinate between graphic designer and events company on layout for event materials
 Coordinate between graphic designer and partners to get high res logos
 Coordinate with IOM X Content Producer for videos to be played at event
 Coordinate with IOM X Content Producer for logo loop
 Coordinate with IOM X Digital Officer to incorporate digital elements to the event
 Work with IOM X Communication Officer MC to develop press release, factsheet and media
plan; translate required materials to Thai.
 Coordinate media plan with PR company.
 Source photographer and manage handover of photos.
 Coordinate with IOM X Digital Officer to upload photos to online album and to internal
photo library.
 Coordinate assembly of all handouts for the event.
 Coordinate seating chart and area at the event.
 Coordinate the media and non-media registration lists and tables.
 Assist with media monitoring post-event.
 Source private sector partners, both for the launch event and for distribution.
 Write a Post-event report for all partners.

Minimum Experience and Requirements


1. Completed University degree from an accredited academic institution, preferably in
Marketing, Communication, Public Relations or relevant disciplines.
2. Minimum two years of relevant experience in event planning and execution or public
relations.
3. Demonstrated interest and commitment to the well-being and protection of migrants as
well as a concrete portfolio of advocacy and/or awareness raising videos or documentaries
reflecting humanitarian interest stories.
4. Fluency in Thai, with fluency in English.

General Information
1. The Consultant will be home-based, but will also be required to participate in meetings and
report to work at the IOM X Office when required.

2. IOM X will provide support and input to the realization of the project as required. The
Consultant will utilize their own working space and equipment.
3. Before commencing work, the consultant will be required to submit a statement of good
health signed by the certified medical doctor.
4. IOM only covers the Consultant against occupational accidents and illnesses under the
Compensation Plan (CP), free of charge, for the duration of the assignment. IOM does not
provide evacuation or medical insurance for reasons related to non-occupational accidents
and illnesses. The consultant is responsible for his/her own medical insurance for non-
occupational accident or illnesses.
5. The Consultant will work independently to meet the deliverables and/or as agreed upon
between IOM and the Consultant.
