Narrative Report about the Current System

A resort is a place for relaxation or recreation, attracting visitors for holidays or


vacations. These are place, towns or sometimes commercial establishment operated by a single
company. Many resorts have been restored and refurbished to portray rural life, which is
temporarily interrupted by modern services that blend very well together.
There is a certain problem in which way they managed their reservation using logbooks,
planner, guest books and other forms in generating reports and gathering information about their
customers.
The main problem they encounter using manual inventory system is that they can't
monitor easily what date or time is available. The current reservation system is done through
filling up a registration form provided by the resort wherein the client has to indicate some
personal information and data about reservation which seems redundant and inappropriate.
Using their manual reservation system relies heavily on the action of people, which
increases the possibility of human error. Even in transferring and sorting data records is done
manually which lead to inaccurate data.
Because it is a manual system they only kept the records in a ledger or papers. It takes
longer to find old records because they aren’t just retrieving it from a database and it is also
inflammable.
Nowadays in this generation every work is required to be done conveniently and
efficiently use effort yet still having a productive job. With the use of online reservation,
information is more secure, more reliance and more accessible.
Online Reservation System is used to store and retrieve information about tour product,
tour product options or lodging facility and conduct transactions for booking it. In today’s
growing market many resort business are turning toward reservation system to perform their
everyday tasks. Online Reservation has important effects on business operations. No matter the
size of your enterprise, in business it is a growing necessity. As the years go by, the business
world is leaning more and more toward it. The role of technology in business caused growth in
trade and commerce.
System Design

Proposed System Description

Online Resort Reservation System provides the company a full reservation management.
Online guest could view images of the resort, the services they offered, the packages rates and
their unit’s rate. The online guest could also view the existing reservation of the resort. For
reservation, the online guest will first select the service they want, and then enter their arrival
date and departure date, and the system will show all the services that are available for their
dates. They could also add, remove or change the services they had selected. And as they select,
add or change services, the payment details are stated automatically. After selecting, online guest
will fill up a form for registration. For the returning guest, they will just log-in and the system
will add it to their account. And then online guest will submit that form for confirmation and the
system will show the summary of billings and confirmations. And the resort will contact the
newly guest within 24 hours through phone or email for the confirmation of their reservation.

PRELIMINARY INVESTIGATION REPORT

Subject: Luntian Resort and Restaurant Online Reservation System

September 27, 2016

INTRODUCTION

The information technology department completed a preliminary investigation of the Enterprise


Resource Planning system. This investigation was the result of a systems request from Rica
Alcala, Donabel Briones and Melisa Cambe, on September 23, 2016.

SYSTEMS REQUEST SUMMARY

Two problems were mentioned in the request for information technology services: Can't
monitor easily what date or time is available; using manual inventory system.

PRELIMINARY INVESTIGATION FINDINGS

The following problems were found during the investigation:

2. Managed their reservation using logbooks, planner, guest books and other forms in
generating reports and gathering information about their customers which can cause
redundancy.
3. Increases the possibility of human error
4. It takes longer to find old records because they aren’t just retrieving it from a

RECOMMENDATIONS

The Online Resort Reservation System is recommended to help the resort in improving their
existing reservation system and its reputation to the customer. And at the same time it helps in
advertising their resort.

We estimate that it can be made within four months and needs another one month for testing.
analysis. Also, we will need to conduct approximately 20 hours of interviewing and discussions
with people outside the information technology department.

EXPECTED BENEFIT'S

At the end of the systems analysis phase, the IT department will define, in detail, the problems
that exist in the current system. We will propose solutions that will eliminate overtime costs, and
reduce processing errors. The Online Reservation Resort System is easy to implement
throughout the company and is user friendly system.
