[ QM Overview
 What is QM?
 A complete INTEGRATED solution for all quality functions
including Quality Engineering, Quality Control, Quality
Assurance, and Quality Improvement
 A module of SAP that you already own!

[ Key Capabilities of SAP QM

Real Experience. Real Advantage. 3

[ Why SAP QM?

Real Experience. Real Advantage. 4

[ QM Basics
 Planning
 Inspection
 Certificates
 Notification
 Control
 Audit
 Test Equipment
 Stability Study

Real Experience. Real Advantage. 5

[ Quality Planning
 Inspection Planning
 How to perform an
inspection
 Basic Data
 Master Data which is
used by all QM processes
 Logistics Master Data
 Integration with other
SAP areas such as
Material Management or
Sales and Distribution

Real Experience. Real Advantage. 6

[ Quality Planning - Catalogs
 Catalogs hold coded, standardized data which is used by all
QM functions
 For example, a standard list of defect codes to be used during
inspection and corrective action Catalog Types Short Description
1 Characteristic attributes
2 Tasks
3 Usage decisions
4 Events
5 Causes
6 Results of defects
8 Activities (QM)
9 Defect types
A Activities (PM)
B Object parts
C Overview of damage
D Coding
E Defect locations

[ Quality Planning – Inspection Characteristics
 Master Inspection Characteristics are used to specify the
inspection criteria (individual test) which can be referenced in
an Inspection Plan (building blocks of an Inspection Plan)
 They can represent complex tests or simple attributes like
“Visual inspection” or “Correct Material”

Real Experience. Real Advantage. 8

[ Quality Planning – Inspection Methods
 Define how to execute an inspection/test
 Can include long text and/or DMS file references

Real Experience. Real Advantage. 9

[ Quality Planning – Sampling
 Used for automatic sample determination within an inspection
 Sampling Scheme – tables to determine sample size based on lot
size (i.e. AQL)
 Sample Procedure – actual sampling to be used: reference
Sampling Scheme (AQL level), 100%, Fixed Sample, etc.

Real Experience. Real Advantage. 10

[ Quality Planning – Dynamic Modification
 Dynamic Modification Rules automatically determine the
appropriate inspection stage based on past performance
history, product life, inspection requirements, etc.

Real Experience. Real Advantage. 11

[ Quality Planning – Inspection Planning
 Inspection Planning defines the inspection criteria:
 Material to be inspected
 How the inspection is to take place
 Characteristics to be inspected (and in what sequence)
 Required test equipment
 Inspection Plan is built using QM Master Data

Real Experience. Real Advantage. 12

[ Quality Planning – Material Master
 QM requirements are activated in the QM View of the Material
Master
 SAP provides many different Inspection Types for automatic
and manual inspections
 To activate an Inspection Type for a material, assign and

[ Quality Inspection - Overview

 High-Level Process Flow

 Inspection Lot is created
 Inspection Plan is assigned (and usually printed)
 Inspection Sampling and Dynamic Modification are determined
 Inspection Stock is stored in a “Q” (QI) status
 Results are recorded against the Inspection Plan Characteristics
 Pass/Fail, Upper/Lower Tolerances, Individual Values
 Automatic valuation (pass/fail), Defects recording is supported,
Quality Notification is automatically created for any required
corrective action
 Usage Decision is made to close Inspection Lot and transfer
stock out of “Q” status

[ Quality Inspection - Implementation Options
Use as much or as little as you need!

 Generic QM
 Leverage QI stock status to control IM stock only (can be used
without using QM module)
 Easy QM
 Minimal use of Inspection Lots
 Control QI posting, but limited or no results recording needed
 Standard QM
 Full use of Inspection Lots
 Post to QI via an Inspection Lot using an Inspection Plan
 Requires Results Recording
 Can be used for COA generation too
 Complex QM
 Full use of Inspection Lots and Sample Management
 Post to QI via an Inspection Lot with an Inspection Plan using sample
management, sample calculation, SPC, Dynamic Modification, defects
recording, etc.

[ Quality Certificates
 A quality certificate
certifies the quality of
goods and typically
includes:
 Inspection results, Disposition
 Batch information (if used)

Key features:
• Automatically create certificates when materials are shipped,
Distribute certificates to a predefined list of recipients, Print
certificates, or send them by fax or EDI
• SAP can also handle inbound certificates from suppliers
Real Experience. Real Advantage.
[ Quality Notification
 EXTREMELY powerful tool within SAP
 Quality Notifications can be used for capturing, tracking, and
resolving different types of problems within your business.
You can use the notifications to analyze the recorded defects
and monitor the correction of these problems
 In particular, the notifications can help you process internal or
external problems such as:
 Complaints filed by customers
 Complaints against vendors
 Company-internal problems
 Other user-specific problems
 Enables Corrective and Preventative Actions (CAPA)
 Can be implemented independently of other QM functions

[ Quality Control
 You use quality control to:
 Update of the quality level based on the inspection results
 Usage of control charts to control the characteristic values
 Update of the vendor evaluation for the procurement process
 The Quality Control menu contains many options for analyzing
QM data

Real Experience. Real Advantage. 25

[ Audit Management
 Used to process and manage audit components used during
audit processing. You can use the following objects:
 Audit Plan
 Question List
 Audit
 Corrective and Preventive Actions
 Attend session #3 for detailed information on Audit
Management in SAP

Real Experience. Real Advantage. 26

[ Test Equipment Management
 Allows you to manage test equipment and calibrations in SAP
 Integration with Plant Maintenance (PM)
 Equipment Masters
 Functional Locations
 Maintenance Plans
 Inspections done on Equipment or Functional locations

Real Experience. Real Advantage. 27

[ Test Equipment Management

Real Experience. Real Advantage. 28

[ Test Equipment Management
 Calibration results are recorded the same as Inspection Lot results

Real Experience. Real Advantage. 29

[ Stability Study
 Shelf-life studies conducted to track and examine how different
environmental conditions (for example, temperature,
brightness, moisture) affect a compound, a material, or a batch
over a specified period of time
 Create physical samples of the material or batch and store
them under controlled conditions for the duration of the study
 Test and record results at specified intervals
