ASSIGNMENT GROUP PRESENTATIONS TEAM PLAN

Group presentations will be presented in Weeks 12 -14. Each presentation will be between 15 to 20 minutes. You may pick four (4) members
for your group. See Group Presentation Instructions for details.

An evaluation of the presentation will be done by your professor and you and your team member will evaluate yourself and each other.

Only one team plan needs to be submitted to the dropbox for your group.

Team Analysis Task:

1. Collectively brainstorm all the tasks associated with this project that you can think of; list them here (10 marks)

Researching the topic of stress management, Having regular meetings, Sharing information found with each group member, Staying on track
with the timelines we have given ourselves, Motivating each other with positivity and leadership, Equally contributing to the project at hand,
Practicing our presentation delivery before the date we have to present in front of the class and professor, Creating fun ways for the class to
engage in our presentation, Making sure our presentation stays within the 15 – 20 minute timeline.

We also believe the following are tasks that are associated with this project in the fact that they help us, and others, deal with stress on a
daily basis: Meditation, Music, Quiet Time, Yoga, Exercise, Family Time, Shopping, Reading, Journaling, Prayer, Cooking and so much more
can be added.

2. Engage in a conversation about individual team member’s strengths, skills, preferences and resources; complete the following table (add or
delete rows as needed). Use your Personality Dimension qualities, Belbin roles/123 Test Team Roles results, and ‘Characteristics of An
Effective Team Member’ for page 162 of your textbook. List the traits, qualities and skills each of you bring to your team that will be helpful
to completing your presentation here. (5 marks)

Jennifer: She is a leader, a communicator, a motivator, a planner, a team player; her current resources include the SALS team at Durham
College and the Office Administration (Subject Guide) librarian for Durham College. Depending on the project, she may or may not take on
more of a leadership role, and other times she will be more of a guide for others. Having personally suffered with depression and anxiety,
Jennifer can relate to this topic on a more personal level.

Sonia: She is a team player and very organized. She likes to communicate and listen to others express their ideas. I myself suffer from
depression which causes my stress level to rise in certain situations. Being organized helps me go about my days and weeks better since I
have a lot going on in my life.

Amirah: She is open-minded, creative, a problem-solver, and an active communicator. Amirah enjoys working with her team members to

ensure that they stay on task by communicating with them frequently and positively. She is organized with her work and can find resources
that pertain to her topic of this presentation through mediums such as the Internet, for example, and its wide source of available material.

Amarel: She is a go-getter, strong minded, determined, and a social butterfly. Amarel takes pride in encouraging others to do their best work
both personally and professionally. She will help in any way she can to resolve a problem if one comes up. She looks for resources which
pertain to this topic of Stress Management through various mediums and their individual sources of available materials.

Each of us possess unique strengths and skills that will aid us in completing this Group Presentation Project in such a way that will allow us to
realize what it is like to work under tight deadlines and having to present in a professional manner.

3. Using the same table, create a preliminary timeline for your project setting realistic deadlines for deliverables while ensuring enough time to

- booking study spaces at the Whitby Campus of Durham College to have our meetings, to write up the official report, create the
PowerPoint, and to practice our presentation to make sure it falls within the 15 – 20 minute timeline

Team Function Plan: (5 marks)


Have a conversation about how your team wishes to function.
Will you meet f2f, online, or some combination of both? List the details of how often, for how long, and how you will coordinate meetings as a
group here.

We will meet both face to face and online, via the WhatsApp app. When we meet face to face, it will be in either a booked study room, a
classroom, or at a table somewhere in Durham College where it is relatively quiet, and we can focus on our work and not be interrupted. When
we meet online, as mentioned above, it will take place on the WhatsApp app, requiring everyone to be focused and writing their texts out in
sentences that each member can understand and can quickly take notes. The recording of meeting minutes will also take place during each
meeting.

We plan to meet once a week, for approximately 90 minutes to 2 hours at each meeting to ensure we get everything completed and everyone
fully understands what the plan is. If a member of the team cannot make one of the meetings, we will make sure that they are updated via email
with every detail of what happened during the meeting including any decisions, materials that were found or used, and when the next meeting
is to take place.
We will coordinate these meetings and the following meetings at the end of each meeting. There will be a short discussion of when everyone is
available the next week, what day and time works best ultimately, and then as soon as that is decided, someone will either book a study space
or if one is not available to be booked we will determine between ourselves where we would prefer to meet at the next meeting. Since each
member’s schedule is a bit different, and some have work or must go home immediately for personal reasons, that is our reason for making our
meeting times at the end of each meeting. If someone needs to leave early during a meeting, we will decide before they leave when to meet
next, so we are respecting their time as well.

How will you orchestrate your tasks to ensure that the project progresses smoothly? What strategies will you use to handle surprises,
challenges or frustrations? List your strategies/thoughts here. (3 marks)

Our tasks are equally distributed amongst the group members who are best suited for what they are contributing to the project. We have
decided to allow ourselves ample time to complete the various tasks specified in this Team Plan Template, as we know there are many more
assignments and projects coming our way that also require our attention. By following the timeline dates and completing everything by those
exact dates, we are positive we will produce a professional presentation that our classmates will be intrigued by and learn something new from.

To handle any surprises, challenges or frustrations that may arise during this process, we will deal with them in an effective and calm manner.
There will be no challenging anyone about the situation or the raising of voices, which will in the end just make things worse for everyone. No
one wants team members angry at each other while trying to make a professional presentation in front of both their classmates and professor.
Issues will be resolved by, if necessary, taking the irate member aside and making sure everything is alright. We would also attempt conflict
resolution if need be.

How will you handle various roles such as coordination/leadership etc.? Who is comfortable in what role? (5 marks)

For the various roles involved with this Group Presentation Project, we will do our best to equally distribute them so everyone can have a chance
at coordinating what each team member does with their section / task of the project, and how they can go about doing it, where they can find
different resources, and more.

Jennifer is comfortable in the role of being a motivator for her team members and being a leader, as well as planning and organizing, and

assisting in the search for finding and utilizing various resources. Jennifer likes to keep things on schedule, so she will plan out reminders of
when meetings take place, send out reminders of when each specific task is due, and have everything recorded on a calendar to keep the team
on track so they meet the due date. She will be positive and if any team member needs someone to speak to, she will be there to listen.

Sonia is comfortable in helping and aiding others with the tasks they have been appointed, giving them hints on how to successfully go about
finding the proper information, while being a positive source of energy for the team members. She enjoys doing research and will gladly assist
with that aspect of the project as well. Sonia is a very positive role model for the members of her team.

Amirah is comfortable with the roles of problem solver, as well as helping those who need assistance with anything involving resources and/or
their individual parts of the project. Amirah will be there for her team members if they need any help with the project, and is happy to be
someone they can come to for aid. She is a positive role model for her entire team.

Amarel is comfortable with the role of also being of assistance to any team member who may need assistance with their specific task regarding
this project. She will gladly help to resolve any issues that may come up both within the team and if a team member has any issues with their
individual parts.

Together as a team, we are here for each other. If there is a team member that is going through personal hardships and is having difficulties
focusing on their work, we are here and are available for that team member to speak to. We will do our best to help the team member and if we
are unable to assist them, we will guide them in the appropriate direction, as we want each of us to be happy and healthy.

The key decisions we have made as a group for this assignment would have to include which team member is assigned what task to complete,
brainstorming all the main tasks that are associated with this project which we believe are most beneficial in two different ways of viewing it,
the strengths and skills that each member possesses that works best in this situation, and the different roles that each member is most
comfortable in while working on this project. We also decided together how we will coordinate our meetings, whether they will be face-to-face
or online, and in what respect, if online, how the meeting will happen and for how long and when.

We are all looking forward to working together on this project about Stress Management and learning from each other new research techniques
and ways of, in our own time, fighting off stress, which we will present to the class on January 11th, 2018.
