NTPC REWARD SYSTEM


1.0 Preamble:

1.1 NTPC believes in the power of People and it is the professional


philosophy of the management to create an enabling organisational
culture for people to demonstrate their creativity, initiative and involve
in holistic development, through recognition and celebration of
achievements.

1.2 Even the research shown that it is the people’s behaviour and commitment
that create excellence and drive business results. It is also well established
that behavior which gets rewarded gets reinforced.

1.3 Although NTPC has formulated many HR Policies for employees’ development
and growth, it was felt that there is still space for enhancing employees’
motivation and morale on a continuous and sustained basis.

1.4 Keeping the above in mind, a bouquet of special Rewards and


Recognition Schemes is evolved with an objective of reinforcing good
work and behavior of employees in order to achieve Organisational
excellence.

2.0 Objectives:

The objectives of the NTPC Reward System will be:

2.1 To recognize and reward employees behaviour for enhanced motivation

2.2 To create a culture of excellence through Value Actualisation and


demonstration of leadership

2.3 To create role models at all levels for emulation and inspiration

2.4 To foster and nurture a culture of recognition and celebration in NTPC

2.5 To encourage overall development of employees through involvement


in TQM initiatives and other Socio-Cultural activities.

2.6 To encourage involvement in Corporate Social Responsibility efforts.

2.7 To promote exhibition of human values and NTPC Core Values

3.0 Rewards:

3.1 The various rewards included within the scope of the NTPC Reward
System are as under:
i) Thank You Slips
ii) Applause
iii) Appreciation letter
iv) STAR of the Month
v) Employee of the Year
vi) Vidhyut Awards

3.2 The system for administering the above rewards and its presentation
is detailed in the Scheme.

3.4 The revised NTPC Reward System will come into force with
immediate effect.

4.0 Scope:
4.1 The NTPC Reward System will combine in itself the thirteen rewards
& recognition as mentioned above. The System shall in its scope
cover all Projects / Power Stations/Units/Regional Offices/Corporate
Center of NTPC and applicable to all regular employees on the rolls
of the Company subject to meeting specific conditions mentioned in
each Reward System.

5.0 Administration:

5.1 The nodal departments at different locations for administering the


System are:

5.1.3 At Corporate Centre – HR-EOC

5.2 Procedure for administration of different Rewards is detailed in the


Scheme

5.3 Rewards shall be made only, if, in the opinion of the committee of Judges
a recognition really becomes due. The verdict of the competent authority,
with respect to that particular reward, is final and binding. No disputes
will be entertained.

5.4 The NTPC Reward System is purely a voluntary System introduced by


Management for enhancing motivation & morale of the employees and
does not confirm any right or obligation

6.0 Design of the System:

6.1 In the schemes details of aims / objectives, procedural frame work


etc. of each of the eleven rewards have been provided.

6.2 In the entire system the words “Reward” & “Award” have been used as
complementary, with the same meaning, depending upon the context.

7.0 Review:

7.1 The Dire ctor (HR) is empowered to administer, interpret, clarify,


revise, amend or modify any or all the provisions of the NTPC Reward
System.

i) Objective: To promote a culture of Thanks giving, acknowledgement of help


rendered by other employee(s) and appreciation of any thoughtful gesture /
help extended by an employee to another employee irrespective of level,
function, department & station.

ii) Applicability/ Eligibility: All employees

iii) Criteria: Any good work done by anyone in the department / group may be
appreciated through feel good slips / a card.

iv) Recognition: Employee who wants to recognize another employee for any of
the reasons mentioned above may leave a “Thank You Slip” on the desk of
such an employee or e-mail the same to him/her. This is an appreciation of
one employee by another towards realization of NTPC Core Value “Mutual
Respect & Trust”

v) Responsibility: The respective HRD executive shall arrange sufficient no of


Slips.

vi) HRD – CC shall create a standard Thank You Slip, which can be
replicated.(sample placed below)

APPLAUSE

i) Objective: To appreciate a task well done / target achieved within stipulated


time by an individual employee or group of employees in a section/department.

ii) Applicability/Eligibility: Individual / group of employees within a section /


department

iii) Criteria: To recognize any initiative/job well done by subordinate/ group in


day-to-day functioning.

iv) Award: '


a. 'Standing applause'' is given to the Individual or the group of employees by
inviting to section/ departmental meeting
b. A list of people who have got applause in a particular month shall be displayed
on the notice board/Local Web Page for a period of 01 month.

Appreciation Letter
Objective
To place on record good work done by an employee/group of employees for
recognition and motivation.

Applicability
All employees up to the level of E7
Responsibility to issue Appreciation letters

Category Responsibility to issue appreciation


All Non-Executives Concerned Group Head (Mgr/Sr. Mgr) in
consultation with HOD

Reward

Appreciation letter to the individuals/group of individuals shall highlight the


specific contribution/instance.

Periodicity
As frequently as possible. There is no limit on number of times an employee
could be appreciated for good work.
Process
The section or department that wants to appreciate the good work done by
its employee(s) may present a letter of appreciation as per Proforma – A1 in
case of individuals and Proforma – A2 in case of a member of a Team, duly
signed by the designated officer keeping in view the following guidelines.
• Specific job should be highlighted
• Should be issued within a week
• Copy to go to personal file
• Copy to HOD in case of Non-Executives
• Copy to BUH/ED/Functional ED in case of Executives depending up
on the location viz Project/Regional HQ’s/Corporate center.
• Quarterly report of appreciation letters by all HOD’s to HR in
units/ HR in Regional HQ’s / HR-EOC in CC.

STAR of the Month

Objective
To recognise consistent good work done by the employees.

Applicability / Eligibility
All non-executives

Criteria
Non-Executive, who has shown consistent punctuality, discipline, customer
orientation, participation in TQM initiatives, team playing etc.

Number of Awards

01 award may be given by each department in a month to the deserving


employees. One employee may be entitled for more than one star of the
month award in a year.

Reward

¾ A small pin-up badge stating “STAR of the month” by HOD in


presence of team members.
¾ Name of the employee with the photo should be put on notice
boards.

Responsibility

Concerned Head of the Department

Periodicity

Once a month, to be awarded not later than 4th of the following month.
If during a month no employee is found suitable, the award may not be
given for the month.

Process

The concerned Head of the department shall evaluate the recommendations


received from the reporting officer in the format (Proforma – B) and choose
the best employee for the award. Each Departmental Head shall send the
particulars of the winning employee to the Head of HR in units & Regional
Hqrs / HR-EOC in CC, for records.

Employee of the Year

Objective

To recognize and reward exemplary performance for creating role models


and a performance culture.

Eligibility
Non-Executives, who have got a minimum of two “STAR of the month”
awards and four “Appreciation Letters” in a year

Criteria

Non-Executives, who exhibit outstanding all round contribution through


regular & active participation in various TQM initiatives, extra curricular
activities, demonstrate additional skills etc. as per the parameters stated in
Proforma- C

Rewards

Two level of awards at each location i.e. unit / region / CC

(a) Unit level – Position no. 1 and 2 based on selection of all


nominated employees from each department, for “Employee of
the Year” with a gift of Rs. 2,000/- each & an appreciation
letter (Proforma enclosed in Annexure C – 6)

(b) Departmental: All those who were nominated for the unit level
employee of the year award but did not qualify for the same
would be considered based on their position for “Department
Employee of the Year” award. There would be only one award
in this category for each department with a gift of Rs. 1000/- &
an appreciation letter (Proforma enclosed in Annexure C – 7)

i. An illustrative list of different departments applicable


to different Units/Projects/Stations/Regions/CC for the
purpose of this reward is enclosed at Annexure C-1 to C- 4
and also the norms for overall limit for no. of
Departments in different locations is enclosed at
Annexure C-5

ii. The recipients of Employee of the year at Unit level


shall be given a letter of appreciation conferring on them

Objective

To recognize & reward meritorious Non executive employees from amongst


the entries of Shram Awards to Government of India

Applicability / Eligibility

The entries for Shram awards submitted to Govt. of India, but were not
awarded.

Criteria

Such of those entries, which did not get Shram Award, would be considered
for this award.

1. Selection : At Corporate Office, the committee (in the level of E7A /


E8) consisting of Corporate OS, HR & Finance who evaluates the
nominations sent for Shram award, shall also evaluate all non awarded
cases after declaration of the Prime Minister’s Shram Awards. The
committee will rank the projects as 1st, 2nd and 3rd positions for the
purpose of cash award. The proposals will be evaluated by the
committee as per the criteria prescribed in Proforma – D and send the
proposal after fixing the monetary reward to be given to the awardees
for the approval of competent authority. The monetary reward, so
fixed, shall not be more than the cash reward given for PM Shram Awards in
that year

2. Distribution of Award : To be done by respective BUH on NTPC raising


day i.e. 7th November, based on the format sent by Corporate HR-ER.

Responsibility

Concerned HOD will initiate the proposal for consideration by the


committee consisting of five (05) HODs nominated by BUH/ED. Head of TSD
would be the coordinator for the above committee.

Periodicity - Annual, i.e. Financial Year.

Procedure

The selection would be based on the nominations made by HODs against the
criteria as mentioned above. Each department may nominate two names,
one uptoE4 level and another at E5-E6 level, in Proforma-E.

The committee constituted by BUH/ED would evaluate all the nominations


based on the criteria set in Proforma-E and award marks out of a maximum
of 20 marks and recommend the name of executive(s) for “Power EXCEL
Award” to Approving Authority.
