Contact Record
GoldMine is centered around
contact records. A contact’s
record is like an advanced
Rolodex® card, containing
such basic information as the
name, address and telephone
numbers of a person or
company with which you have
a relationship. Almost
everything you do with
GoldMine relates back to a
contact’s record.
You can have more than one
contact record open, and you
can position and resize
multiple contact records within
the work area. However, one
contact record must remain
open in the work area.
The contact record is divided
into two major parts:
· Upper part contains the
primary or main contact
information: name,
address and telephone
number(s), and five user-
definable fields.
· Lower part organizes
secondary information,
such as pending activities
and history records in tab
folder displays.

records, the two methods differ greatly in the way they City is equal to “Los Angeles”

number of filters to categorize the records in your database.

ORGANIZE SETS OF CONTACTS 4-9

Groups
A group is a fixed set of records that meets a specified set of
conditions. Once a group is created, access to the member
records is instantaneous.
Each GoldMine user can create an unlimited number of
groups, and each group can contain an unlimited number of
members. The only limitation is the space available on your
hard disk.

How Does a Group Differ from a Filter?

Working with groups can be more efficient than applying a
filter. Each time that you activate a filter, GoldMine searches
through the database for records that meet the criteria.
However, once a group is created, membership is fixed so that
you can work with the group members without performing
the search again.
Additional advantages of working with groups include:
· Faster information-processing than with filters because
GoldMine evaluates records only once, when you build
the group.
· Each member contact record remains in the group until
removed. However, a selected filter automatically
displays any new contact records added to the database
if they match the filter’s criteria since each record is
evaluated every time the filter is activated.
· Sorting to arrange records in your contact database as
needed.

example, if you select the Company field as the first sort field,
then the report will list all records alphabetically by company
name. If you select the Zip field as the first sort field, then all
printed records are ordered by ZIP Code as specified.
You can sort Contact Reports, Analysis Reports, and Other
Reports. This option is not available for Calendar Printouts or
Labels & Envelopes.
To run a report properly, you must define a Primary Sort, even
if no sorting is required. To preclude any sorting, set Sort
Database to (none). If Primary Sort is defined as (none), the Field

GoldMine will sort records by the natural order of record entry.
When a field is selected for Tertiary Sort, records are ordered by
the third sort field only when the values of the first- and Specify a range of
second-level sort fields are identical. For example, if the first- values for
and second-level sorts are State and City, and the third-level GoldMine
sort is Zip, then records will be ordered by Zip entries only to sort
when two or more records have the same City and State entries.
Without a second- or third-level sort, the report orders records
by date and time of entry in the database when the first-level
sort is the same over several records. Listing records by the
