Introduction

This document is a guide describing technical details and best practices for installing and deploying Egnyte Storage Sync on VMware
ESX/ESXi. Storage Sync is Egnyte’s hybrid file-sharing and collaboration technology. With Egnyte Storage Sync, files on any local
storage device can be synced with the Egnyte Cloud File Server, enabling users to store, share and access from anywhere and with any
device. Storage Sync bi-directionally syncs files and folders between the local storage device and Egnyte Cloud.

Egnyte Storage Sync is deployed as a virtual machine in VMware ESX/ESXi environment. Storage Sync exports a network share (CIFS
share) that local users can connect to through a mapped drive on their local end-points. Remote users can work on shared files and
folders in this share by accessing the Egnyte Cloud.

System Requirements
Host Storage Considerations

Egnyte Storage Sync requires 32 GB for its system disk, and then up to 16 TB for each Storage Sync device. Each Storage Sync
VM that will be provisioned will need at least 2 virtual disks: the system disk, and at least one data disk. Please ensure that
there is enough storage available to contain the virtual disks.

Since each virtual environment has different characteristics, requirements and budget constraints, servers can exist in a

System Network Settings

VMware recommends multiple Network Interface Cards (NIC) to be installed on the ESX host. It is also recommended that the
VM gets associated with a dedicated physical NIC.

The Storage Sync virtual machine will be provisioned with 1 Gb Ethernet drivers. NIC Bonding is supported – please ensure
that the NIC Bond is available to the guest machine.

Disk Allocation

Storage Sync VM requires 2 disks at a minimum: the system disk and at least one data disk. The system disk is prepackaged as
a 32 GB sized disk. Both the system and data disks are configured as virtual SCSI disks. Data disks can be added to Storage
Sync in increments of 1.8TB per drive. There is a maximum storage capacity supported of 16 TB per each instance of Storage
Sync. If additional storage space is needed, increase scale by adding another Storage Sync VM.

Before Starting Storage Sync


Prior to starting the VM make sure the following tasks have been completed

1. Users and Groups are created in the Egnyte Cloud


Egnyte Admins can create users and groups via the Egnyte UI, an import from a CSV, or integrate with Egnyte Active Directory Kit.

2. Ensure that data exists in Egnyte


Minimally, top level folders need to be created in Egnyte. Admins can use the Egnyte UI to create top level folders in Egnyte and
add content to the Cloud File Server via a drag and drop action. Alternate methods of moving data to Egnyte include FTP and
shipping a physical disk drive to Egnyte.

3. Assign permissions to the Egnyte folders


The Egnyte Cloud File Server will govern folder permissions. These permissions are synced to the Storage Sync device on every
sync. User and group access to folders within the Share will be managed by the cloud permissions.

Refer to the Egnyte Deployment Guide Article for more detailed information.

Deploy the Storage Sync VM: New Install


1. Connect to your ESXi host via VMware vSphere client or vCenter and deploy the Storage Sync for VMware from
the downloaded OVA template.

2. Once the virtual machine (VM) has been successfully deployed, you must attach at least one extra virtual disk (vmdk) to the
VM. This virtual disk will act as the storage volume for your Storage Sync. The virtual disk type must be SCSI, and the
recommended size of the disk is the amount of data that will be stored on this Storage Sync.

Click on “Edit virtual machine settings” and follow the steps.

3. Click on Add to add a hard disk. The VM will recognize the new device, and expand its storage volume to include the
additional storage. Add virtual disks at a later time to increase the size of the Egnyte data partition.

There is a total storage maximum of 16 TB per instance of Storage Sync; storage can be allocated in increments of 1.8 TB up
to a limit of 16 TB. Deploy more than one Storage Sync VMs if you need to access more than 16 TB of storage at a specific
office location.

When deploying multiple virtual disks, please consider hardware performance of each virtual hard drive. Also pay attention
to the LUN/RAID configuration of the storage system. It might be prudent to segment the Virtual Disks to maximize I/O
performance of the storage configuration.

4. After the 2nd hard disk is added, click on “Power on the Virtual Machine” to start the VM.

Start Storage Sync for VMware

1. As the VM starts up, it should recognize your newly added storage, and create a file system on it. You can observe the
progress of the VM on the console.

2. If your host network does not have DHCP enabled, the VM may fail to get an IP address dynamically. In this case, you will
need to assign it a static IP address.

3. Once Storage Sync has started up, click the Console tab. You will be presented with a console, from where you can log in
to Storage Sync.

4. In the Console tab, you will be presented with IP address to launch Storage Sync.

Configure Storage Sync for VMware


1. Once an IP address is obtained for the Storage Sync Virtual Appliance, log into any browser using http://Storage-Sync-
IPaddress:8806. Use Chrome, Firefox, Safari or Internet Explorer in compatibility mode and click “Start Configuration”

3. Step 1: System and Network Configuration

Configure the Hostname, IP Address, DNS entries, and machine Time zone. Optionally, configure a Proxy Server and add a
NTP Server information. Change the hostname from the default name of localhost.

After the settings have been completed click on continue.

4. Step 2: Log in to Egnyte

Connect the device to the Egnyte cloud with an admin account that has been first created in the cloud. This account will be
used to associate the Storage Sync device to the Egnyte cloud instance. Enter the Egnyte domain along with the admin
account username and credentials to login and connect to the Egnyte cloud.

Note: The Storage Sync administrator account must be either an Egnyte Authenticated account or AD
Authenticated account with a valid email address.

Before proceeding to the next step, make sure that power user accounts in Egnyte have been created. These accounts will be
mapped to an account on Storage Sync based on the account’s username.

5. Step 3: User Authentication

Choose between integrating the Storage Sync device with either Active Directory and using Egnyte Authentication.

Active Directory Authentication

NetBIOS Domain Name – Right click on the domain and click on properties. The NetBIOS name is listed in the General
tab, under the Domain Name (pre-Windows 2000) field. For additional assistance refer to this article.

Fully Qualified Domain Name – There are a few ways to find the Fully Qualified Domain Name. One easy way to find the
FQDN is to find the System page and look for the “domain” field. Right click the Start button and navigate to System

Domain Controller – Use the IP address of the closest or primary domain controller

LDAP Port – The global catalog port is defined as default. Use the appropriate port for LDAP

Domain Administrator - Use an account from AD that at least has domain admin like privileges. The computer object will
need to be added to Active Directory by this account.

Restrict to a Group - By restricting the users to a specific group or OU, the number of users allocated to the device can be
limited. Also note that the number of concurrent users connected to the Storage Sync is also dependent on the guest
resources available. Please follow the recommendations listed in the System Requirements section.

Username Format – Select either the default or User Principal Name for the user account. The naming convention needs to
be consistent with the user provision method to the cloud. For example, if the sAMAccountName was used to provision users
to the cloud, use the default Username Format.

Add backup domain controller – Storage Sync can provide user access from a secondary Domain Controller as a backup DC.

Note: In release 11.0, Storage Sync will not be able to auto-map users to the device from the secondary Domain Controller,
however users will still have access to the Storage Sync share in the event that the primary DC fails. Storage Sync can connect
to a maximum of two Domain Controllers.

Egnyte Authentication

Users on Storage Sync can be created on the device by selecting Egnyte Authentication. Storage Sync administrators can add
user accounts to the device in the Storage Sync UI. When creating users on Storage Sync, match the device username to a
user’s cloud account username. This allows Storage Sync to automatically connect the device users with their respective cloud
account.

For example, if the Egnyte cloud username is jsmith, create the Egnyte Authenticated user on Storage sync with jsmith to
establish the account mapping.

After the Egnyte Authenticated users have been added, users can sign in to the Storage Sync device to set their
own passwords in the User Account Update Tab on the Storage Sync UI.

6. Step 4: User Management

Once Storage Sync is joined to AD or is set to Egnyte Authentication, it will start building a local user list and create
the account mappings:

Once the user accounts have been pulled from Active Directory, users will be categorized as either Mapped or Unmapped.

Mapped Users – Local or AD usernames that correspond to its respective cloud account username

Unmapped Users – Local or AD usernames that do not match a corresponding cloud account username

The Auto-map process will automatically match cloud accounts to the corresponding AD or local account. The example shows
that user CORP\jsmith is mapped to jsmith in the Egnyte cloud. If need be, Storage Sync User Management can be edited
manually to map usernames to a non-matching user. The second user, CORP\msanchez is manually edited to map to maria-
egnyte in Egnyte. In this case, there are 2 users that are mapped, and 198 users that are unmapped. A total of 200 users were
pulled in from Active Directory.

7. Step 5: Folder Synchronization


Select the cloud folder(s) that will be synced to and from the Storage Sync device. Individual sub-folders can be selected.

8. Step 6: Software Update Policy


Storage Sync can automatically pull down updates and patches. The policy configuration will determine the specific start time
and day of the week. Users will lose share access during the software update. Please schedule accordingly.

9. Step 7: Sync Schedule

Clicking on “Finish” will start the initial sync. There are additional sync schedule settings and features within the Advanced
Settings page:

Sync Schedule – Change the frequency of starting a new sync

Real-Time Sync - triggers a near continuous sync schedule

Sync Every - allows for setting a sync once every X hours or Y minutes

Sync Once Daily Between –Storage Sync sets a time range in which the sync process is to start daily.
The interval should be set long enough to allow the sync to complete, i.e. sync to start and finish between
midnight and six o’clock AM.

Full Sync Settings - Prioritize Files by either File Type or Last Modified Time

File Type – Admins can set file type priorities by grouping file extensions. There are three categories of priorities
with one being the highest priority.

Exclude File Types from Sync – Specific file types can be excluded from sync for either File Type or Last Modified
Time Prioritization. For example, Admins may want to exclude .mp3, .mov, and .pst files from being synced to
Egnyte.

Network Settings – By default, Storage Sync will use as much network resources as are available. Admins can throttle the
network bandwidth by setting maximum bandwidth limits for both Uploads and Downloads. Set values in Bytes per
second units, 1048576 Bytes per second -> 1 MB per second

Advanced Settings – Toggling debug mode on will increase more information in the sync logs. Max log records keep status
information from each sync. Increase this value to keep a longer sync history.

10. After the synchronization starts, the progress of the sync will be displayed on the Storage Sync home page. Please wait for the
initial sync to complete before users can access the Storage Sync device share. Once the initial synchronization has completed,
your users can now access the network share from the VM.

11. The first sync will be a full sync, which may take some time due to aligning the cloud and local file system data. The
subsequent sync runs will be as defined in the sync schedule.

The main status page will appear on the Storage Sync Home page. Administrators can access sync logs, and change Sync,
User, and Device Settings in this page. Lists of syncs along with each sync status will be logged here.

Log in to the Storage Sync Interface

To log into the Storage Sync Interface, open a browser and navigate to http://Storage-IP-Address:8806
Use the egnyteservice account to log in. The initial password is egnyteelc. You can change the initial password from the
Storage Sync UI.

Updating Local Users Accounts Credentials

Users can login to Storage Sync and update their credentials used for Storage Sync share access.

Access the Storage Sync Share

Windows Clients

Open “My Computer”, and click on menu item Tools > Map Network Drive.

The folder name to be used is: \\StorageSync-IP-Address\ELC

If you’re logged into Windows with a different user or have selected “Connect using different credentials”, you will be
presented with an authentication window to access the share. Enter either AD credentials or an Egnyte username and
password and click OK.

MacOS Clients

Open “Finder”, and click on menu item Go > Connect To Server.

Enter the Server Address to access the Storage Sync share: smb://StorageSync-IP-Address/ELC

An authentication window will prompt for user credentials to access the share. Enter either AD credentials or an Egnyte
username and password and click connect.

Storage Sync Migration from 10.3 to 11.0


Storage Sync 11.0 needs to be deployed as a new Virtual Machine since we have re-architected the solution on a 64-bit OS and
the latest CentOS 7.1 package. This implies you cannot perform an in-place upgrade of Storage Sync software from version
10.3 to version 11.0. There are two ways to migrate data from the existing Storage Sync version 10.3 to 11.0.

VM to VM Data Copy
Use this method if you have sufficient storage to duplicate the dataset. This eliminates business down time and builds data
redundancy. You can delete the 10.3 VM after the migration has completed and the new 11.0 VM is functional.

Attach the Existing Data Disk


Use this method if you do not have sufficient storage in the ESX data-store to duplicate the Storage Sync dataset

VM to VM Data Copy

The VM to VM Data Disk Copy involves deploying a new VM and provisioning new data disks. This process copies the data
from the original 10.3 Storage Sync device to the 11.0 Storage Sync VM.

1. If the existing Storage Sync is not on version 10.3, update the device to version 10.3. This is a hard requirement for
migration
2. Deploy a new 11.0 Storage Sync VM as described in Deploy the Storage Sync VM
3. Login to the 11.0 Storage Sync VM in a different Putty session with the egnyteservice credentials
4. Download the rsync_data_migration.sh script
5. Use winscp or a similar application to copy the script to the Storage Sync /home/egnyteservice folder with the following
credentials: egnyteservice / egnyteelc
6. Run the migrations script as follows:
a. Change permissions on the script
> chmod +x rsync_data_migration.sh
b. Start the script
> ./rsync_data_migration.sh [IP-address-of-10.3-Storage-Sync]
c. When prompted enter root credentials for the 10.3 Storage Sync
Logging can be found in /home/egnyteservice/migration.log
7. Complete the install process as described in Configure Storage Sync for VMware
8. If Egnyte Authentication method was selected in the 10.3 VM, users will need to update their device passwords.

Attaching the Existing Disk to the New 11.0 VM

The 10.3 VM has data disk(s) assigned to it that contains synced data as well as Storage Sync configuration data. This
procedure involves moving (or cloning) the data disk(s) from the 10.3 Storage Sync VM and attaching the virtual disk(s) to
the 11.x Storage Sync VM.

Refer to the VMware article regarding Moving and Copying Virtual Disks for additional resources.

1. If the existing Storage Sync is not on version 10.3, update the device to version 10.3. This is a hard requirement for
migration
2. Complete a final sync on the 10.3 VM
3. Deploy a new 11.0 Storage Sync VM as described in Deploy the Storage Sync VM – DO NOT add a 2nd Virtual Disk
!! Stop after Step 12. Leave the 11.0 VM powered off
4. Power down the 10.3 Storage Sync VM
5. Remove the data disk(s) from 10.3 Storage Sync VM

In the vSphere client, click on the 10.3 VM and select “Edit Settings”. Verify that the correct 10.3 VM is selected and
that the correct Hard disk is selected – in this case “Hard disk 2” is the data disk to be removed. Ignore “Hard disk 1” as
this device is the system disk. Click on Remove, once the appropriate device(s) have been selected.

The data disk will be removed – confirm that the “Remove from the virtual machine” is selected and virtual disks are NOT
deleted.

6. Move the virtual disk(s) from 10.3 to the 11.0 folder in the ESX Datastore Browse UI

Click on the ESX Server located in the top left corner of the vSphere Client, and select the “Configuration” tab. Then
access the Storage hardware, right click the appropriate datastore and select “Browse Datastore”

Locate the 10.3 VM folder in the datastore. In this example, the 10.3 VM folder is called Hari1033 – the file(s) that need to
be moved to the new location are the virtual disk files that we’ve removed in Step 5. In the example, the virtual disk file is
called Hari1033_1.vmdk. Right click on the file(s) and select “Move to…”

Select the target location, first by selecting the datastore and the folder that contains the 11.0 VM, in the example Hari-
11-650M is the target folder. Click on “Move” to place the vmdk file(s) to the new destination.

7. Attach the data disk(s) from 10.3 to the 11.0 Storage Sync VM

On the 11.0 VM, click on “Edit Settings” and then “Add”

Select Hard disk, and “Use and existing virtual disk – Reuse a previously configured virtual disk”

Click “Browse…” and select the appropriate datastore; locate the 11.0 VM folder that the virtual disks now reside. Select
the _1.vmdk and take the default SCSI settings. Click “Finish” to complete the disk add. Add additional data disks as
required.

8. Start the 11.0 VM


a. If DHCP is enabled, open a web browser and navigate to the IP address and port listed on the console
i.e. http://Storage-Sync-IP-Adress:8806

Storage Sync Installation

During the install process, Administrator should review the following considerations.

Storage Size and Object Storage Sync can manage approximately 10 million objects (files and folders) per device.
Planning
Storage Sync can mirror Egnyte Cloud Files Servers with less than 5-6 million
objects
Storage Sync can manage a subset of data for Egnyte Cloud File Servers with
greater than 10 million objects – multiple Storage Sync devices can be deployed to
manage different datasets
Storage Sync has a recommended storage limit of 16TB per device – deploy
multiple devices if storage requirements exceed 16 TB

User and Group During each sync, Storage Sync pushes permissions from the Egnyte Cloud to the

Adding Users New users must be added to the Egnyte Cloud in addition to Storage Sync as

Storage Sync Operation

Operational considerations for both Storage Sync Administrators and Technical Support

Logging into Storage Sync Storage Sync User Interface - Navigate to the URL http:// <Storage Sync
IP>:8806 and enter the password credentials for the egnyteservice account

SSH - Open up a SSH terminal application (Putty) and log in with the
egnyteservice account

Restart and shutdown To shutdown or restart the Storage Sync device, navigate to the URL
http://<Storage Sync IP>:8806 and enter the password credentials for

At the top left corner of the page find the dropdown under the Storage Sync

on Storage Sync based on sizing and relevance

Private Folders Select based on requirements for Local Private Folder access
Keep Private folders that are not required locally unchecked

Permissions Grant Viewer (RO) permissions at parent level folders


Grant Full or Editor (RWD or RW) on folders beneath parent folders

Syncing Data Sync should be configured for Real-Time Sync to minimize the amount of changes
of data between syncs operations
Data migrations are the exception – When adding a new large dataset, disable
syncs until the migration process has completed in its entirety

Storage Sync Advanced Operations

File Type and Special Storage Sync will skip specific file types and filenames during sync that may be

Large vs Small File Priority Storage Sync will prioritize smaller files during sync by default
To optimize network throughput performance, Storage Sync bundles smaller files
into a bundle of files during sync operations

High Availability High Availability environments can be easily configured by deploying another

folder set to be synced

Folder RW vs RWD With Egnyte Editor (RW) Permissions, deletes will occur on the local device,

edits that will eventually need to be removed upon file saves

Permission Reset Permissions will be sent to the Storage Sync Device immediately prior to each sync
operation – but there are some additional considerations:

Large permission changes can trigger a permission reset during sync


System wide permission changes may require a lengthy period in which new
changes may not be available immediately
Plan system wide permissions during an outage window to allow permission syncs
to take place
In between sync operations, Admins may also reset permissions, by clicking on
the link in the User Mappings page in the UI

Adding Storage Add additional virtual disks in increments of 1.8 TBs

Anti-Virus on Desktop or Virus scans on network shares mapped to Storage Sync can significantly impact
Laptops Network Shares sync performance due to heavy I/O
When antivirus software is running on user machines, filter out virus scans for
Storage Sync network drives in the antivirus software configuration

Storage Sync Volume Using third party backup applications to backup the Storage Sync device can
Backup often fall into company or organization policies. Guest File System backups
consume system resources and as a result sync performance could suffer

As an alternative, consider image or block backups for optimized sync


performance

Storage Sync VM Snaphot Virtual machine snapshots reduce recovery times in the event of a disaster
Since image snapshot are point in time, recovering from a snapshot could trigger
data deletion in the cloud

Third Party Application Interoperability

Backing up Storage Sync for VMware

Backing up the Storage Sync device is best done at the host level. Backup applications that perform file level backups at the guest
level can consume more resources that have been allocated to Storage Sync that could come at a cost to synchronization
performance. If file level backups are a requirement, please contact Egnyte Support for assistance. The backup application service
account has to be added to the egnyte-smb-admin group within the Storage Sync configuration to limit unnecessary syncing.

VM Snapshots / File Level Restore from Snapshot

While snapshots can be helpful and provide a way to reduce the recovery times, please do not restore snapshots back in place to
Storage Sync. Storage Sync has configuration and transactional data that when restored back could overwrite existing changes
and data. If possible, restore snapshots to a different guest and copy relevant files back to the Storage Sync device.

Encryption

Storage Sync does not encrypt data on the VM. However, as data is synced to the cloud, it gets encrypted in transit and at rest in
the Egnyte cloud. If encryption on the platform is required, Egnyte supports a Global Encryption Key Management solution so that
all endpoints of the data stored in Egnyte can access data.
