CHAPTER: 1 INTRODUCTION OF THE STUDY

1.1: Origin of the Report:


Md. Kazi Rayhan Uddin, who is an Assistant Professor of Department of Management at
University of Dhaka, assigned us, the members of “GROUP 14” to prepare a report on“A
comparative study on the Management Practices at Different Halls of University of Dhaka.

1.2: Objectives of the Study:


There are two types of objectives. These are-

 General objective.
 Specific objectives.

1.2.1: General Objective:


Our general objective is to focus on the practices of management at different hall of University
of Dhaka.

1.2.2: Specific Objectives:


 To analyze the theory of principles of management.
 To understand the practices of those management principles at hall.
 To compare the theory and its practices.

1.3: Scope and Limitations of the Study:


There is a scope and some limitations in our study of this report.

1.3.1: Scope of the Study:


Assigned by our teacher.

1.3.2: Limitations of the Study:


Some problems were faced in preparing this report, those are:

 Lack of experiences.
 Insufficient time to collect more information.
 Unwillingness of the hall administration.

Data for this report has been collected from only primary sources.

Primary data are collected through interview of many employees working at hall and also the
residential students of University of Dhaka. Some data are collected through observation and
personal experience.

 By using our group discussion.
 By brainstorming.
 By using our own judgment

CHAPTER 2: ANALYSIS AND FINDINGS.

2.1: Analysis of the Report:

Hall overview
Dhaka University is the oldest and the largest public university of Bangladesh. It was once called
the “Oxford of the East. The university has well accommodation facilities as it has a number of
halls and hostels for both male and female students. In the beginning, the journey of Dhaka
University started with three halls- Salimullah Muslim Hall, Jagannath Hall and Dhaka Hall. In
1969, the new name of Dhaka Hall was given as a tribute to Dr. Md. Shahidullah. Altogether
Dhaka University now has 23 halls and hostels. The halls are named after some of the great
personalities of Bangladesh, whose positive influence helped us to make a decent nation. There
are 23 halls at Dhaka University at present for both the male and female. Management principles
are practicing in all kind of organizations. So, in halls of Dhaka University, some of the
management principles are practiced which are discussed below.

Management Practices

Division of work
This is the first principle postulated by Henry Fayol. It states that staff perform better at
work when they are assigned jobs according to their specialization. Hence, Specialization
is important as staff perform specific tasks not only at a single time but as a routine duty
also. It is applicable to organizations that have many employees as well as those that
have few. The principle states that work should be divided amongst people that are
capable of doing the job and not be overloaded to a concentrated few.

Like this way in ours halls, we notice that provost allocate the task according to skill. The
house tutors are the lower level of provost they generally arrange the different program
and look after the students. The administrative activity are doing by the official’s body.
And many others employee like gardener, liftman, sick boy, security guard etc. they do
the specific work.

Authority and Responsibility
In order to get things done in an organization, management has the authority to give
orders to the employees. Of course with this authority comes responsibility. According
to Henry Fayol the accompanying power or authority gives the management the right to
give orders to the subordinates. The responsibility can be traced back from performance
and it is therefore necessary to make agreements about this. In other words, authority
and responsibility go together and they are two sides of the same coin.

Provost is the head of the authority of the hall. He or she assigns the authority to the
house tutors, officials and other employee to do the job efficiently. Although the provost
has delegated the authority he or she has to take the responsibility for every incident.

Principle of Discipline
This principle promotes clearly-defined rules and regulations intended to achieve good
employee discipline and obedience. It is often a part of the core values of an organization
in form of good conduct, respectful interactions, proper dress code, etc. This principle is
essential and seen as the engine oil to make an organization run smoothly. It goes without
saying that management is responsible for the way discipline is maintained in an
organization as well as Fayol observed the natural human tendencies to lawlessness and
perceived the level of organizational disorder which could erupt if employees are not
strictly guided by rules, norms, and regulations of management.

In halls, discipline are strictly followed by all subordinates of provost to maintain a peaceful
environment. If there occur any disorder provost takes disciplinary action for the better of
hall operation and there have specific rules and regulations to run the administration.

Unity of Command
Fayol believes that subordinates/employees should have only one boss. If an employee
gets orders from two superiors at the same time, then the principle of unity of command
is breached. It simply puts that, employees should receive orders from and report directly
to one boss only. Fayol found this principle to be very important. “He felt that if it were
violated, then authority is dented, discipline is in peril, directive disturbed and stability
threatened”.

In the same way, the provost is the single person who is the superior of the hall
administration all the house tutors and others official gets command by the provost and
they do their task according to the provost command only which leads to administration
efficiency.

Unity of Direction
Everyone in an organizations should have one direction, move toward the same
objectives through coordinated and focused efforts. Each group of activities having the
same objective must have one head and one plan. This principle ensures unity of action
and coordination. It proposes that there should be only one plan, one objective, and one
head for each of the plans. Organizations run on established objectives.

We notice that the unity of direction in ours hall authority as the betterment of the
residential student who are attached to the hall. But in most of the cases they don’t treat
a good behave with the general student as they treat a good behave with the political
student.

Equity
The management principle of equity says that all the employees or workers or members of the
organization must be treated fairly, equally and impartially. Maintaining equity in the
organizations come from the organization’s culture; adopting and maintaining equity maximizes
employee loyalty and trustworthiness.

In Halls, all the staffs are treated equally but all the students are not treated equally. The reason
behind it is student politics. The student who possess any political position in the hall, get more
advantages than others. In addition, the first year students don’t get any sit into the hall as there is
a lack of equity.

The Degree of Centralization


Centralization implies the concentration of decision making authority at the top management
(executive board). Sharing of authorities for the decision-making process with lower levels (middle
and lower management), is referred to as decentralization by Henri Fayol. Henri Fayol indicated
that an organization should strive for a good balance in this.

In Halls, the provost follows centralization as well as decentralization by sharing the matter with
the subordinates (house tutor) in order to take decisions fit for the betterment of the Hall.

2.2: Findings of the Report:

 Provost allocates the task according to skill.

 The administrative activity are doing by the official’s body.

 Provost delegate the authority and takes the responsibility.

 Discipline are strictly followed by all subordinates of provost to maintain a peaceful


environment.

 Provost follows centralization as well as decentralization by sharing the matter with


the subordinates.

 The hall administration and the house tutors and others official get command by
the provost to do their duty effectively and efficiently.

CHAPTER: 3 CONCLUTION

3.1: Conclusion

Management is a part of our life. Management, therefore, is required before any organization can
expect to be effective. Although management is universal, we should not assume that all
managers are the same. An individual who is in charge of a certain group of tasks, is called a
manager. In this sense, the provosts of every hall of Dhaka University are considered as a
manager and they have to perform some managerial activities to sustain the peace and betterment
at the hall. They follow the principles of management at the time of taking their decisions.
