HR Policy For 2016

1. Purpose: The intent of this policy is to provide an opportunity to our associates to have a complete
clarity over the work culture for the smooth running of the organization.

2. Scope of the Policy: All associates on Payroll are eligible to avail the company benefit as per their
entitlement.

3. Definition & Entitlement: During the course of employment, he/she is liable and responsible for the
following:

a) Office Timings:
 Our official working hours are from 9:30 to 6:30 from every Monday to Saturday.
 All associates are entitled to punch their attendance while entering and leaving the organization
in Biometric attendance entry.
 If an associate is leaving for field directly from his home, he is entitled to fill an OD [On Duty]
form in advance duly signed by the supervisor.
 If an associate is late by more than 2 hours, he/she is accountable for a half day leave.
Moreover, 3 late comings more than 10 min and less than an hour will account for a half day
leave for that particular month. If the person has any accumulated leave then it shall be
deducted from there or else it shall be deducted from salary.

b) Lunch Hours:
Lunch in two slots of 30 minutes only [1:00pm to 1:30pm and 1:30 pm to2:00pm]

4) Holidays:
Company’s office will remain closed as per the company holiday list. List of Holidays For 2015:

NOTE:

Non Disclosure Agreement: All employees are required to sign the non- disclosure agreement to
safeguard the company’s interest at the time of joining the organization.

Performance Review System: All categories of employees will be given performance targets and a
quarterly evaluation will be done for each employee with his immediate superior/CEO with a view to
improve his/her performance. A revision in salary will generally be due on the completion of yearly
performance review.

Offer Letter / Appointment Letter: An offer letter will be issued to employee based on his/her
performance being in the interview and a detailed appointment letter will be issued upon his/her
joining the services of the organization.

HR Handbook: A soft copy of HR Handbook will be provided to each employee and he/she will be
required to confirm the same in writing.

Local Conveyance Policy: All sales and technical persons are required to possess a two- wheeler and
refer travel guidelines provided by company. Employees will be reimbursed for local travel at the
rate of Rs 3.25/km. For 4 wheeler as per the approval from management Side. An associate has to
take prior permission from higher authority before hiring a cab. Unauthorized expenses will not be
reimbursed.

Grievance Policy: Company encourages transparency and fairness in its day to day working.
However, if any employee has any grievance, he/she may approach to Director through mail or
verbal communication. Management will address the grievance appropriately.

PF & ESI Policy: Company does not subscribe to PF & ESI as it is not mandatory by company law.

Job Profile & Job Description: Every associate will be given a detailed Job description and
performance measures immediately on his/her joining the organization.

Leave Policy 2015

1. Policy Statement & Objective:


This Policy encourages its employees to take break from work as this provides for a healthy and efficient
staff. The leave policy sets out the various types of leaves that an employee is eligible for and outlines
the procedure for taking leave.

2. Leave Year & Applicability:


Leave year is from 1st January – 31st December
The different types of leaves covered under this policy are:

***All permanent employees are eligible to avail privilege leave/Earned Leave.

Leave Policy Guidelines:

 The policy is applicable for all employees.


 Employees who are on Probation are not covered under this policy.
 In the event of an employee leaving the service of the organization by the way of resignation or
attaining the age of retirement or otherwise, except as a result of disciplinary proceedings, he/she
shall not earn Privilege leave during the notice period that the employee needs to serve, in case of a
resignation.
 All leaves should be applied in “Standard Leave Form” available with the company, if one fails to do
so then it will be assumed as absent for that particular day.
 Minimum of 8 days leave per year by each employee is intended.
 For New Joinee under probation period, there is no leave allowed in first 45 Days. After 45 days of
working, 1 leave would be credited.
 Every one need to fill the leave application form along with type of leave availing.

Casual Leave:

Total: 7
Eligibility:
All permanent employees are eligible to avail Casual leave.
Casual leave is calculated for a period of one calendar year (January- December).

Entitlement:
 All permanent employees are eligible for 2 CL in three month that to be approved by senior
authority. An employee is eligible for a maximum of 7 days casual leave in a calendar year.
 Half Day can be taken as needed that to be counted in CL or it will be unpaid.
 If an employee avails more than 7 casual leave during the calendar year, excess leave will be
deducted as PL or if PL is not available they will be unpaid leave.
 All leaves should be applied for in advance unless circumstances are such that it is not possible to do
so. In such cases a telephone call or an email to the concerned reporting authority or his/her
absence to the concerned department, as intimation should serve the purpose.
 If the employee is availing leave (more than three leave in a month) on regular basis then no CL/PL
will be granted to him/her and deduction in salary will be done by management with prior notice.
 If any employee is absent from his work(after availing his/her CL) and informing the functional head
on the same day itself then it will assumed as Unplanned leave and salary will be deducted in lieu
of. (In extreme cases, management has full right to take action against him/her)
 1 day casual leave at the rate of 45 days served. In extreme cases one can

Accumulation:

Casual leave cannot be accumulated or encashed or carried forward to the next calendar year.

*** Those who are in their probation period can avail only one CL in 45 Days, remaining CL can be
availed after completion of their Probation Period.

Privilege Leave/ Earned Leave:

Total: 15

Eligibility:
All permanent employees are eligible to avail privilege leave
Privilege leave is calculated for a period of one calendar year (January-December)

Entitlement:
 15 days privilege leave P.A is allowed to each employee. Out of 15 days leave credited for the year,
any un-availed paid leave in excess of 7 days at the end of the year will lapse automatically. In other
words not more than 7 days leave will be carried forward to next year or Encashed.
 All the employees are required to submit a leave plan to their respective head of the department
stating when he/she intends to take paid leave. An employee who joins the company other than 1st
day of January shall be entitled to earn the leave in that respective year on a pro-rata basis.
 Employees should submit application for leave in the prescribed format, 15 days in advance to
his/her departmental head. Even leave of casual nature needs prior approval.
 All leave will be sanctioned by the departmental head and sent to the HR department for records.
 In order that we, as employer, respect the much needed employee leisure time, compulsory paid
leave is provided for. Employees must avail a paid leave of minimum 8 days in a year.

Medical Leave:

Total: 08

Eligibility:
All permanent employees are eligible for 2-day sick leave at the rate of 3 months served. An employee is
eligible for a maximum of 8 days sick leave in a calendar year.
If an employee avails more than 8 sick leave during the calendar year. Excess leave will be deducted as
PL or if PL is not available they will be unpaid leave.
Those who are in their probation period cannot avail medical leave once they are confirmed after
probation, they can avail medical leave.
Medical Leave can be availed twice a year only.

Accumulation:
Medical leave cannot be accumulated or encashed or carried forward to the next calendar year.
Medical leave can only be sanctioned by submitting proper medical documents ie they have to submit
the documentary proof in respect of their illness (Original Bills need to be submitted).
