INTRODUCTION
1. INTRODUCTION

1.1 PROJECT OVERVIEW


This project work entitled as “COLLEGE ACTIVITY REPORT SYSTEM” is an online
web application which helpful for Internal Quality Assurance cell (IQAC). This project developed by
ASP.NET 2010 as Front End and Microsoft Access as Back End in Windows 10 operating system.

The goal of any system development is to develop and implement the system cost
effectively. It most suited to the user’s analysis is the heart of the process. Analysis is the study of the
various operations performed by the system like addition, updation, searching and deletion faculty
details and maintains relationship within through the system. During analysis, data collected on the
files, decision points and transactions handled by the present system.

The COLLEGE ACTIVITY REPORT SYSTEM can be entered by Administrator and Head
of Department using ID and password. The Administrator will login to this application to collects data
on various aspects of institution functioning. The Head of department will add their pertinent events
details to enhance quality of the institution and administrator will prepare Quality Assurance report for
their needs.

All the data can be accessible by an administrator. The staff details, event details and event
plans for every month will be add to the database by the Head of department. The details will be viewed
by the administrator. The customized report for the events can be extract from the database as datewise
report, department wise report etc... The data are well protected and makes the data processing very fast.

1.2 PURPOSE OF THE PROJECT


 The primary objective of the system is to prepare activities report of the college.
 The secondary objectives are

 To collect monthly plan proposed by the department.


 To make consolidated report for every month.
 To monitor the Quality parameters in an institution.

2.1 EXISTING SYSTEM

 No uniform format of activities details maintained by the department.


 The preparation of consolidated report given by all Head of Department involved additional
overhead.

 The IQAC member has to do manual process to know the overall reports given by all the
departments.

 Some details might be lost due to manual process.

DISADVANTAGES OF EXISTING SYSTEM


The facts found during the study of the existing system are as follows:

 The work process is slow, since it is manual.

 Paper work.

 Difficult to collect details.

 Forget to update their status.

 Take more time to produce report.

2.2 PROPOSED SYSTEM

 The Head of department can provide their details in their convenient time.

 They can update their status for next month activity plan.

 Event reports can also be viewed by any department to analysis their status compare to other
department.

 Modification can be easily handled by the administrator.

 The accurate report can be viewed because of automated system.

 Easy to use in all environment

2.3 FEASIBILITY STUDY

A Feasibility Study determines whether a project is worth doing. The process followed for making this
determination is called a Feasibility Study. This type of study determines whether a project can and
should proceed.

Technical Feasibility

 The facility to produce report in fraction of seconds.


 Response time under certain conditions.
 Ability to process a certain volume of transactions at a specified speed.
 Updation can be easily done.

Economic Feasibility

 Method for evaluating effectiveness of a new system.


 It required for long time plan to make this project as systematic manner.
 The procedure is to determine the benefits and savings that are expected from a candidate
system.
 This project requires proper hardware and software configuration.
 This facility is available in my college and it will be used by our institution.

Operational Feasibility

 It determines how acceptance the software within the organization.


 The evaluation must then determine the general attitude and skills.
 Every faculty member in my college has capability to handle this system correctly.
 They can maintain this system properly.

SYSTEM DESIGN
3.1 INPUT DESIGN
The quality of the project is mainly determined form the errorless input given to the
software rather than the processing of input. There should be proper data validation so that
even if the user enters wrong information it should prompt them to enter the correct information.
The software must have the capability of handling the correct data format given to it and correct
it to the expected format . The correct input will alone produce an output that will satisfy the
user.

The forms designed are shown in annexure.

3.2 OUTPUT DESIGN

The output is a very important part in a software design. The output produced must be
useful to the user, if not it would turn out to be a waste . Users generally merit the system analyst
works closely with the user through an interactive process, until the result is considered to be
satisfactory. Therefore, an effective output design is an important feature of design specification. Output
is information delivered to users through the information system.

The software is developed in such a way that new reports can be generated whenever
necessary. The report generated must have an indication about their usage and their purpose .
The output generated is the reports , which are very important to the management in decision –
making.

The output forms are shown in annexure.

3.3 DATABASE DESIGN

A database is an organized mechanism that has the capability of storing information through
which a user can retrieve stored information in an effective and efficient manner.

The database design is a two level process.


In the first step, user requirements are gathered together and a database is designed which will
meet these requirements as clearly as possible. This step is called Information Level Design.
In the second step, this information level design is transferred into design for the specific
DBMS that will be used to implement the system in question. This step is called Physical Level Design.

THE PRIMARY KEY CONSTRAINT


 Here the data entered in the table column is unique across the entire column.
 That none of the cells belonging to the table column are left empty.

THE FOREIGN KEY CONSTRAINT


Foreign constraint establishes a relationship between records across a master and a detail table.
The relationship ensures:
 Records cannot be inserted in a detail table if corresponding records in the master table does
not exist.
 Records of the master table cannot be deleted if corresponding records in the detail table exist.

3.4 CODE DESIGN


Top down approach and bottom up design are both strategies of information processing and
knowledge ordering used in management and organization.
This project is based on top-down approach also called stepwise design. It is essentially the
breaking down of a system to gain insight into its compositional sub-system in a reverse engineering
fashion.
This project is developed with master pages. It allows you to create a consistent layout for the
pages in your application. It provides an object model that allows you to customize the master pages
from content pages. The master pages are created and various sub modules are generated from the main
page.
The sample code designs are shown in annexure.

 System testing is a stage of implementation, which aimed at ensuring that the system works
accurately and efficiently as expected before live operation commences.
 It verifies that the whole set of programs hang together.
 System testing requires a test plan that consists if several keys.
 This project is tested by the computer science department.

5. SYSTEM IMPLEMENTATION AND MAINTENANCE

 System Implementation and Maintenance should be part of initial project plan and well
documented.
 Even the designers and developers who built the system may have to spend time refreshing their
memories if a change needs to be made months or years.
 Once a system has been built it should be thoroughly tested before being put into production.
 This system is implemented with .Net framework.
 This can be flexible for further updation.

 Future requirement and improvements can easily be done since the coding is mainly structured
are in nature.
 This project is further updated for all the activities which conducted by college levels like sports,
cultural events, etc..
 If any updating require for Internal Quality Assurance Cell, this project will support.
 To compare next month plan and execution of that plan and to prepare compliance report.
 It is flexible for future enhancement of the system.

7. CONCLUSION
 College Activity Report System is potentially useful website for all colleges.
 In proposed system, the paperwork will be reduced and it is efficient for everyone.
 The Administrator need not spend more time to consolidate the report.
 They can view their department details whenever they have leisure time.
 The plans and execution of the activities submitted by the departments are compared and
compliance reports may be generated.
 Further this project can be extended to collect all other activities like sports, cultural held by the
college.
 With little modifications the project may be implemented to other Institutions in all levels like
schools, Universities also.
