Welcome to the

Trade Planning and Execution to Claim Settlement : EBS Business Process Advisor

Scope
This Note covers the Trade Planning and Execution to Claim Settlement Business flow, and encompasses the following eight phases:

View Budget Utilization in Trade Management

The details in this Note are applicable to Release 12.1.3 of the EBS applications. Other versions offer similar functionality and approach, however this not does not detail the differences.

Background
The Oracle E-Business Suite (EBS) is released as a collection of separate modules. The supporting material, such as the Implementation and User Guides, focus on the set-up and use of these modules, and
tend not to detail the functionality or requirements of the other modules, nor the flow of information between modules. As most customers usually implement multiple modules there is a need to know how
the data is passed between them.

Aim
The aim of this Note is to provide material which supplements the EBS CRM Product documentation, to detail modeling of the Trade Planning and Execution to Claim Settlement business flow by
describing:

The full Business Flow from both a Process and Product perspective.
Details on specific Hot Spots where data and control passes between modules.
A complete end to end set-up to assist with basic operations and test case creation.
Links to additional supplementary information to assist with Troubleshooting and Diagnostics.

Troubleshooting
The purpose of this document is not to repeat the detailed troubleshooting tips that are available in existing notes, but it will assist with understanding how the business flow operates and how data and
control passes within it. Where relevant, additional troubleshooting and diagnostics notes are linked into each section.

Business Flows
Many processes are common to different organizations, and a number of these Business Flows have been identified which describe the typical processes undertaken by existing EBS users. Each flow
comprises:

The basic steps which are executed to achieve a goal.


Each step is summarised in a few words, and represented by a block on a diagram (see the Trade Planning and Execution to Claim Settlement Flow tab).
Each block can then be broken down further into more detailed steps.

The objective of the Business Flow is not to prescribe the activities that a user can undertake, but, by explaining the flow of data, to summarize the tasks which other successful customers have performed
when addressing a particular business need.

This Note covers the Trade Planning and Execution to Claim Settlement business flow, which is one flow of the many which have been identified by Oracle. It encompasses the following eight phases:

How to Read This Document


The Trade Planning And Execution To Claim Settlement : EBS Business Process Advisor document is designed to allow free navigation based on the needs of the reader. The order in which the tabs
are reviewed, is down to the individual. The following section describes each of the tabs in detail along with a recommended approach to navigation, based on common scenarios.

What do the Tabs Contain?

Trade Planning and Execution to Claim Settlement Flow

The Trade Planning and Execution to Claim Settlement tab contains an overview of the business flow from different views:

Process Flow - describes the business flow from the perspective of the processes and functions involved.
Product Flow - maps the business processes onto Oracle EBS CRM products utilised within the flow. The Product tab gives an overview of each of these products along with useful links to the
relevant sections of the 12.x product documentation. The diagram also highlights Hotspots where control and data is passed between modules - these are further explained in the Hotspots tab - see
below.
Demonstration Script - a basic end to end 'hands on' exercise to help to familiarise the reader with the end to end process and the products involved. Each step is broken down into mini-guides.
Example Setup - contains details of the basic setup required to enable the business flow, including videos to illustrate the process.

Hotspots

The Hotspots tab gives details on highlighted areas of the business flow, particularly where data and control passes between different products, or where the underlying logic requires further explanation or
clarification.

Each section contains:

A description of the particular Hotspot, where it occurs, and an overview of the products involved.
A description of the interaction between the applications, along with a pictoral representation of the flow.
Side bar containing links to:
1. Integration notes: These notes contain an in-depth discussion into the flow of data, from both a functional and technical perspective, between products in a specific Hotspot. The contents
also cover useful SQL, setup considerations and other troubleshooting steps.
2. Diagnostics: Where there is a specific Diagnostics script for the Hotspot, this is linked into the section.
3. Troubleshooting: A dynamic list of troubleshooting notes related to the Hotspot and the products it covers.
4. Related Product Information Centers: Specific Information Center documents containing further details of troubleshooting topics, announcements, updates, community threads, etc., for
each of the products in the Hotspot.
5. Oracle Documentation: Links to specific sections of Oracle documentation detailing relevant setup for each of the products in the Hotspot.

Related Flows
The Related Flows tab gives details of other business flows and Advisor notes related, either directly or indirectly, to the Trade Planning and Execution to Claim Settlement business process advisor
note. This allows the reader to further investigate and research the integration and flow of data and processes around the Oracle CRM system.

Details of specific Hotspots and integrations, along with tips on how to track data as it passes through the modules, and set-up to investigate.
End to End demo/setup scripts to assist with test cases.

This Note covers the Trade Planning and Execution to Claim Settlement business flow, which can be represented using the following process flow. The full flow is built up of a number of sub-flows, but
with significant overlap and interaction.

At a high level, the Trade Planning and Execution to Claim Settlement flow covers the full trade management lifecycle, from creation and allocation of budgets and quota, through trade planning
exercises and offer creation, through to the investigation and settlement of claims.

The flow through Trade Planning and Execution to Claim Settlement is contained, mainly, within the Channel Revenue Management (ChRM) product itself, however there are a number integrations and
interfaces to other products, which will be detailed in this document. For example:

Items such as accruals, accrual adjustments, and discounts are tracked in Oracle General Ledger.
Promotional payments related to Oracle Trade Management can be made and adjusted through checks in Oracle Payables. Budgets and offers are updated with the payment information.
When customers make payments, the payment information is updated in Oracle Trade Management. When customers take deductions or pay in excess, Deductions and Overpayment claims are
automatically created in Oracle Receivables and passed on to Oracle Trade Management.
Orders are created in Order Management. Reference information about the order such as product number, units, quantity, value and discount, as well as the offer details are updated in Oracle Trade
Management. Budgets and offers are also updated with this information.
Promotion related accruals, off-invoice promotion expenses, budget adjustments and claims or deductions with promotional accruals or earnings, which are settled by credit memo or check, are
tracked in General Ledger.

The process flow outlined in the diagram above, and in the table below assumes a footprint including Channel Revenue Management, Order Management, Accounts Payable, Receivables and General
Ledger as a minimum.

Budget Management Oracle Trade Management provides efficient

processing. This eliminates wasteful spending
and ensures trade funding is allocated and
utilized as intended. You can plan and track
fund usage, and ensure that resources
are deployed effectively. It offers access to
historical sales and pricing information, which
you can use to plan for budgets based on facts.
The budgets functionality also supports Oracle
Partner Management business flow. Special
Pricing, Soft Funds, and Referral compensation
requests that are created in Oracle Partner
Management can source funds from budgets in
Oracle Trade Management

Trade Promotion Management Promotional planning involves planning for


discounts in such a way that it encourages
customers to buy products, and at the same time
produces the desired return on investments. By
offering discounts, organizations can improve
sales, achieve sales
targets, and gain competitive advantages

Claim and Deduction Management Customers raise claims or take deductions for
many reasons, for example, claiming
compensation for damaged goods or for
promotional accruals for which they are
eligible. Distributors raise supplier ship and
debit claims to compensate for the loss incurred
on sales to end customers at a rate lower than
their acquisition cost or expected margin.
Distributors and retailers raise price protection
claims to compensate for the loss in on-hand
inventory value or loss incurred on inbound
price lists and outstanding purchase orders
when vendors decide to reduce the price of
their products

Settlement Settling the claim and paying the claimant,


before recording the results in the relevant

System Parameters enables the Administrator to setup the following information for claims:

When a deduction or an overpayment comes through Oracle Receivables, the


claim
reason is often not supplied by the customer's remittance and therefore the claim
reason is unknown when the claim is created. In such cases, the Claim Reason
Claim Reason selected in the System Parameters will default on the deductions or overpayments.

For example, the Administrator in an organization can set it up such that all
deductions and overpayments that do not have a reason are created with the claim
reason--"Unknown Claim Reason".

When deductions or overpayments come through the Oracle Receivables,


sometimes, the claim type is not captured. Such claims will therefore be created
Claim Type with the claim type defaulted from the System Parameters page.

For example, the Administrator in an organization may set such claim types as
Unknown Claim Type or To be Determined.

The number of days due determines the due date of each claim. If this is not set up
for customers, the due date can be defaulted from System Parameters. When a
claim is created, the days that are due according to the customer's Trade Profile
Days Due will
first be assessed to determine the due date of the claim. But if that is not assigned,
the number of days due that is set up in the System Parameters will be used to
derive the due date of the claim.
An owner of a claim is the person responsible for driving a claim to resolution.
Claims may be assigned based on various criteria such as claim type, reason,
customer or geographical attributes. In cases when certain claims are created and
for various reasons the claims assignment territories fail to assign an owner, it is

still imperative that a default owner be assigned. This default owner may be an
Administrator or a Claims Analyst who will be responsible for resolving the
claims
or for finding the proper owners

Payables

The following is required for payables integration:

Hotspots

What Are Hotspots?

Hotspots are areas within the Trade Planning and Execution to Claim Settlement business flow that have been identified as requiring special attention or explanation. These areas have been indentified
for a number of reasons:

Complex interaction between multiple products: Where a particular piece of functionality spans multiple products, it is not always immediately clear which products are directly, or indirectly,
involved, how they interact (i.e. what is the flow of control and data) and what setup must be considered when implementing the functionality. Particularly Integration Notes provide technical and
functional descriptions of the flow to assist in understanding and troubleshooting.
High issue re-discovery: Where multiple parties, both internal and external, via forums, communities and service requests are asking similar questions of particular areas of product setup. Whilst
the note is not intended to list bug fixes, patches etc. it does look to address common setup issues and also assist with troubleshooting particularly via the links to relevant sections of the Oracle
documentation.

What Do the Hotspot Pages Contain?

Each of the pages relate to a specific hotspot and look to give details on how to understand, setup and troubleshoot that particular area. Each page contains the following:

Overview: What is the hotspot, what products are involved and, from a high-level, how do they interact.
Integration Notes: Integration notes describe in both technical and functional terms the flow of data and control through the products involved in the funcitonality. It also points toward specific
areas of setup that should be reviewed and pointers on troubleshooting.
Related Integration Notes: Where there are indirectly related areas of integration that should also be noted.
Diagnostics Docs: Lists any diagnostics notes (from either Diagnostic Test Catalog for 12.1.3 (Doc ID 1083807.1) or standalone diagnostics scripts) directly related to troubleshooting the hotspot
Troubleshooting: a dynamic list of published troubleshooting notes related to the hotspot
Related Product Information Centers: a link to specific Product Information Centers related to the products intergral to the hotspot. These notes provide further details on the product and related

What Are Offers?


Offers in Channel Revenue Management are a key element of the Trade Planning process. They simplify the process of discount planning, execution and planning allowing the user to create different
kinds of offers dependent on the desired results. There are ten types of offer supported in Channel Revenue management, all of which create modifiers in Advanced Pricing which, subsequently, are
applied to Direct and/or Indirect Sales orders in Order Management. The type of offer then determines whether the incentive is applied to the net or gross order amount, at line level or header level,
immediately or as an accrual.

Types of Offer:

Accrual Offer: In an Accrual offer, delayed discounts are offered on purchases made over a specific period of time. These delayed discounts get accrued over a period of time and retailer scan later
obtain this money by submitting claims.
Lump Sum Offer: Manufacturers may have agreements with retailers to pay them if they carry out certain trade promotion activities on behalf of the manufacturer. Promotional payments arising
out of Lump sum offers are either accrued immediately, or over a period of time.
Off-invoice Offer: This is also known as On-invoice offer. In an Off-invoice offer, discount is offered on the invoice amount when customers purchase the specified quantity of a product. In this
case, the discount is not accrued but is directly applied on the invoice.
Order Value Offer: In an Order Value offer, discount is offered on the entire order value, regardless of the number or type of products that a customer purchases. The customer may purchase
different products; discount is offered on the total value (order amount) of these products.
Promotional Goods Offer: A Promotional Goods offer includes an additional product or service with the purchase of a specified product. For example: Buy purchase a Computer and get a free
Printer.
Scan Data Offer: Scan Data offers are commonly used in the Consumer Goods industry. They appear as manufacturer-sponsored coupons, consumer rebate programs, or discounts. Customers can
redeem these coupons and avail discounts on certain products. The data is processed by third party clearing houses and passed to the manufacturer who reimburses the retailer.
Volume Offer: Volume offers are created to encourage customers to purchase higher quantities of products. In a Volume offer, the qualified retailers accrue funds based on their cumulative
purchases spanning over a period of time.
Trade Deals: Trade Deals cover a wide variety of promotions and discounts. Off invoice as well as Accrual offers can exist within the same offer and this is the advantage of creating a Trade Deal.
When you create a Trade Deal you can either:
Apply only Accrual discount rules: customers accrue funds based on sales that they achieve.
Apply only Off-invoice discount rules: customers receive discounts on products that they purchase.
Apply Accrual discount rules as well as Off-invoice discount rules: customers accrue funds based on the sales that they achieve and receive discounts on
products that they purchase.
Terms Upgrade Offer: Oracle Trade Management supports the following types of terms upgrade:
Freight terms: Enables you to specify freight terms such as paying freight charges on behalf of the customer and claiming it back from the customer at a
later point of time; or waiving off freight charges for the customer.
Payment terms: Enables you to enter payment specifications such as extended payment period for the customer. For example, your organization may have
a policy requiring customers to pay within 30 days of buying a product. By specifying payment terms, you can extend this payment period to 60 days.
Shipping terms: Enables you to offer services such as free shipping or shipping at a discounted price

What Products are involved in Offers and how do they interact?

Offers are created in Channel Revenue Management: Trade Planning and provide a mechanism for incentivising sales. When an offer is created, a corresponding Advanced Pricing modifier is created and it
is this that is applied to direct or indirect Sales orders created in modules such as Order Management, iStore, Telesales etc. Dependent on the type of offer, these modifiers then provide the information to
handles manual claims or accruals.

What Are Claims?


Claims management allows customers to raise claims or take deductions for many reasons, including claiming compensation for damaged goods, payment for services and claiming promotional accruals
that they are eligible to receive. Claims are controlled by the claim class which include:

Claim - also known as a manual claim and is created directly in Trade Management to handle reimbursement requests due to damaged goods, payment for services, etc.
Debit Claim - created in Trade management to charge back customers who have been overpaid and are settled through debit memos.
Deduction - created in Oracle Receivables and are used to handle situations where customers short pay(under pay) invoices for various reasons including claiming compensation for shipping errors,
pricing errors and to claim promotional earnings. Deductions can be one of the following types:
Transaction-related: deductions can be traced back to a specific transaction such as an invoice, a debit memo or a charge back
Non transaction-related: deductions cannot be traced back to a specific transaction – created using Claim investigation
Overpayment - created in Oracle Receivables when customers have overpayed what they owe

Trade Management tightly integrates with Receivables via auto-invoice, Payables through the Open Interface Program and Order Management using Return Materials Authorization (RMA) to validate and
import records as completed transactions. When customers make payments, the payment information is updated in Trade Management. When customers take deductions or pay in excess, deductions and
overpayment claims are automatically created in Receivables and passed onto Trade Management.

What Products are involved in Claims and how do they interact?

Customers may submit a claim or deduct/overpay for many reasons such as OS and D- over, shorts and damages. Claims can be made based on offers associated with orders. If a customer makes any over
payments or short payments a resulting deduction or overpayment transaction is created by AR into Oracle Trade Management.

When a claim is created, all the information necessary to process the claim is recorded. This information includes the claim type, reason for the claim, customer information, contact information, broker and
sales representative details, the amount, and currency type. The claim is then investigated and follows an approval flow before being settled.

The claim settlement methods that are available in Oracle Trade Management are check, on-account credit memo, previous on-account credit memo, debit memo, Return Materials Authorization (RMA),
automatic write-off, invoice credit memo, and contra charge. The settlement type is related to the type of claim.

Subledger Accounting (SLA) is accounting hub in Oracle Applications, which is used to derive all attributes required to account a transaction in Oracle General Ledger. It enables corporations to comply
with corporate, local and managerial accounting and audit requirements via increased control, visibility and efficiency.

What Products are involved in Subledger Accounting and how do they Interact?

Channel Revenue Management has two accounting entities, Accrual and Claim Settlement

For Accrual Entity, system will raise accounting events in the following cases:

Accrual creation.
Accrual adjustment.
Off –Invoice offer Accrual creation.
Paid adjustment Creation through Adjustment Public API.

For Claim Settlement Entity, system will raise accounting events after Promotional Claim is initiated for settlement for following settlement methods:

AP Invoice Settlement – Check/ Wire/ EFT/ AP Default.


AR Credit Memo.
AR Debit Memo.
AP-AR Netting.
Accounting Only (for Ship & Debit Internal Requests).
AP Debit Memo.
AR Custom Settlement.
AP Custom Settlement.

These accounting events in turn create the following accounting entries:

When accruals occur:


Debit Sales or Expense Account.
Credit Liability Account.
If the off-invoice posting option is enabled, it creates the following entries when the sales order line with the offer applied has been invoiced:
Debit Sales/Expense/Charge (set up in Trade Management).
Credit Revenue (from AR).
For negative adjustments made to accruals, the following reversal entries are created:
Debit Liability Account.
Credit Sales or Expense Account.
When a claim or deduction is associated with promotional accruals or earnings, and the claim is being settled by credit memo, Oracle Trade Management passes the Receivables Clearing Account to
Oracle Receivables and creates the following entries:
Debit Liability Account.
Credit Receivables Clearing Account.
When a claim or deduction is associated with promotional accruals or earnings, and the claim is being settled by check, Oracle Trade Management passes the Vendor Clearing Account to Oracle
Payables and creates the following entries:
Debit Liability Account.
Credit Vendor Clearing Account.
These are the required default GL accounts. You can customize the way in which an entire GL accounting combination is derived or individual account segments or flexfields are derived when defining
account derivation rules in Oracle Subledger Accounting.

What is the Funds Accrual Engine (FAE)?

The Funds Accrual Engine (FAE) is a concurrent request that, in short, pulls the accrual and discount information from ship confirmed Sales Orders created via any channel then calculates the utilization
and earnings associated with the related budget. The engine implements the following features:

Ability to calculate budget utilization and earnings based on booked orders and ship confirmed orders.

In case of Fully Accrued type of budgets with accruing to Customer, the Budget, Committed and Earned columns are to be updated with the accrued amount. But in case of budgets that accrue to
Sales; only the Budget column is updated. Committed and Earned are not populated. This allows users to transfer money from a fully accrued budget to any other fixed budgets.

Ability to reconcile budget utilization and earnings when an order is cancelled. When an order is cancelled, running the concurrent process reconciles the already adjusted budget amount.

What Products are involved in Funds Accrual Engine and how do they Interact?

When an offer is created in Channel Revenue Management, a modifier is created in Advanced Pricing (see Integration Troubleshooting: Trade Management Offers (Doc Id: 1601533.2)). When an order is
created the modifiers apply discounts and offers where relevant and when the order is shipped/invoiced in Order Management, details of these are retrieved by the Funds Accrual Engine via APIs to update
the committed, utilised and earned amounts associated with the relevant budget in Channel Revenue Management.
