ATTENDANCE MONITORING SYSTEM OF LACONSOLACION UNIVERSITY

I. PROJECT DESCRIPTION:

Attendance is very important in every student. A single absent can bring big

difference in performance in the school. Most educational institutions’ administrators are

concerned about student irregular attendance. The conventional method of taking

attendance by calling names or signing on paper is very time consuming and insecure,

hence inefficient. Therefore, computer-based student attendance monitoring system is

required to assist the faculty and the lecturer for this time-consuming process.

This proposal is focused on the attendance monitoring of the students in the

school through the design and development of a system providing a means of

information on the student’s inputted grades and attendance of the student’s on the

school. With the system providing a user-friendly and effective system provides an

easier and faster view of data of every student such as when the faculty/ admin is

mistaken in the input of grades, the system provides the means of updating the record.

The system can retrieve information from the database and can view anytime.

The propose system can be easily accessed by the registrar and faculty

members and most importantly, the reports can be generated in real-time processing,

thus, providing valuable information about the students’ commitments in attending the

classes

II. PROJECT OBJECTIVES

Goals:

Our system is mainly to help a management school parties in order to organize the

students’ attendance systematically and more effectively. This system will be the help

the management does not have to spend more time just to record student attendance,

calculate the percentage of attendance and any mistakes.

Objective:

This project is carried out with the following objectives: There are five fundamental

objectives of this project: To provide a computerized system with high efficiency, error

free and high quality services to the users concerning the students’ daily attendance

record, and to give maximum advantage to the whole management in school.

 To monitor the attendance of the students and to simplify the usage of school

management.

 To report on the student attendance status and to improve students attitude.

 To build a system that can reduce the number of damage data.

 To send information to the parents which composed of students’ attendance to

class.

 Replace present manual attendance recording system by an advance system

with facilitating easy analysis, Minimizing time consumption and cost incurred.

III. Business Imperative

 Existing system to monitor student attendance

School management still doesn’t have a computerized system in their management.

This computerized system can make easier management team to manage the

student attendance problem and more systematic.

 Information about student presence is view clearly by their parent

Mostly, parents do not know about student performance in school especially about

daily attendance. Certain parents just know when they receive a warning letter from

school to mention their children are escape from class.

 More space required

The manual system used a lot of paper to record the daily data about school

attendance. This will cause more space will be used to keep the papers and books.

Using this system, the data management is more systematic.

 Save time and keep data more secured

The manual system takes more time because all the process such as the

attendance calculation and the warning letter has to be done manually. The point

here is to reduce time and ensure that the data is, kept systematically and free from

damage.

 Create and systematic and effective attendance management system

The management for the student attendance process is not systematic because

when using the manual system, there are a lot of disadvantages and problems. The

administration authority should replace the manual system to a computerized system

to manage all the process properly and systematically.

IV. BENEFITS

The system that has been proposed may a benefit to:

 Student

This system also can also increase a discipline level among the students especially

about their daily attendance. This system is more effective because the management

team can manage a daily student attendance by fully computerized system and lets the

parents know about student performance too. It also increase a discipline level among

the students

This system development was very important to every university to take attendance

easily and systematically. With this system, percentage of student attendance will

increase because opportunity they to cheat very limit. They also will come to class more

early because time that they come to class will be recorded by the system.

 Parents

The system aims to provide an interface for the parent to monitor their child’s

attendance to school. Hopefully with this system, the student discipline problems will be

zero defect in attendance context and the parents will be inform if the student escape

the school

V. FEATURE BEHAVIOUR

The system should be designed in such a way that only authorized people should

be allowed to access the system. The records should be modified by only

administrators and no one else. The user should always be in control of the application

and not the vice versa. The user interface should be consistent so that the user can

handle the application with ease and speed. The application should be visually,

conceptually clear.

The system working is quite easy to use and learn due to its simple but attractive

interface. User requires no special training for operating the system. Technical

performance include issues such as determining whether the system can provide the

right information for the Department personnel student details, and whether the system

can be organized so that it always delivers this information at the right place and on

time.

Attendance Management System is a software developed for daily student attendance

in schools, colleges and institutes. If facilitates to access the attendance information of a

particular student in a particular class. The information is sorted by the operators, which

will be provided by the teacher for a particular class. This system will also help in

evaluating attendance eligibility criteria of a student.

Student Details:

 It will generate personal details of student and academic details of the

students with the photos.

Faculty/Personnel Details:

 It helps to allot the subject and the subject code to the staffs.

 It provides the facility to have a user name and password to the staffs.

Time table details:

 It will retrieve the subject information from the subject database and

assign time table to the personnel or faculty members.

 It will help the admin, personnel or faculty members to make the entry of

attendance based on the subject and period allotted to the respective

staff.

Attendance details:

 It will be makes to the attendance database all students. Entered

attendance to store in the database subject, period wise into the

particular date.

 It will help to the get report of weekly and consolidate of the attendance.
