The details of the accommodations for the upcoming South India Yatra 2010 are as follows.
Yatra Itinerary
Arrival at Kanyakumari : Monday, 20th December 2010
Yatra starts at Kanyakumari : Tuesday, 21st December 2010
Yatra ends at Srirangam : Saturday, 1st January 2011

Important Points
• Read this brochure carefully and completely before attempting to fill in the accommodation
choices.
• Your accommodation allocation will depend on your Yatra Registration ID mentioned in the
‘Registration Confirmation Slip (RCS)’. If you don’t know your registration number, please
collect your RCS from your respective Counselor or Center Coordinator. Take sufficient
time to understand the procedure and submit the forms on or before 10th October
2010.
• All the devotees who have registered for the South India Yatra 2010 have to apply for
the accommodation, except those who have opted for ‘Own Accommodation’ or ‘Not
Required’ in the accommodation type during the registration and subsequently furnished
their details of accommodation to the Yatra Committee. Non-compliant registrations shall
be deemed to be cancelled without any refund of yatra registration charges.
• If you have selected ‘Own Accommodation’ or ‘Not Required’ in the accommodation

type during the registration and not yet furnished the details of your accommodation to
yatra committee through rgyatra@gmail.com, you are requested to submit the details latest
by 30th September 2010. Failure to do so will result in cancellation of your registration
without any refund of yatra registration charges.
• Accommodations are arranged at three places, i.e. Kanyakumari, Rameswaram, and

Srirangam
• The venue for Lecture and Prasadam is marked on the respective maps of Kanyakumari,
Rameswaram, and Srirangam.
• The Accommodations for ‘Kanyakumari’ will be valid from 12 Noon, Monday, 20th
December 2010 to 9.00 A.M, Friday, 24th December 2010.
• The Accommodations for ‘Rameswaram’ will be valid from 12 Noon, Friday, 24th December
2010 to 9.00 A.M, Tuesday, 28th December 2010.
• The Accommodations for ‘Srirangam’ will be valid from 12 Noon, Tuesday, 28th December
2010 to 9.00 A.M, Sunday, 2nd January 2011.
• In the event of devotees reaching earlier or leaving later than the above-mentioned dates
and time, they have to arrange their own accommodations, at their own cost for the extra
stay.
• Accommodation charges, once paid are Non- Refundable.
• The cost of Accommodation Form is Rs 500/-, of which Rs 450/- will be adjusted in the total
accommodation charges. After the submission of accommodation form i.e. after midnight of
10th October 2010, if any person leaves the group, a fine of Rs.100/- for each such person
will be payable by the group. The sub-committee for Yatra Accommodation will fill up such
vacant positions. The allotment decision of the sub-committee will be final.
• All bookings will be based on Yatra Registration ID mentioned in the RCS.

Instructions for filling Yatra Accommodation Form
1. This year the yatra Accommodation form will be accepted online ONLY.
2. Please read all the options very carefully and completely before you start filling the online
form. You are not allowed to change the Category and Room Type you had requested at
the time of registration. However a provision is been made for giving choices other than the
room type you have selected during the registration. This is applicable for,
a. There are possibilities that your requested room type may get exhausted depending
on your merit list. In such cases your alternative choices will be considered for
allocation.
b. Another possibility is that there are some extra rooms available in room types other than
your selected type and if you wish you can opt for it.
In either of the above cases you will have to compulsorily fill in the choices for your selected
room type.
3. Group Formation:
a. Devotees should form their own groups to apply for the accommodation.
b. All the members in the group should be of same Category and Room Type as
originally selected at the time of Yatra registration. One devotee can be part of only one
group.
c. You have to select one Group Leader from your group, who will represent your team
for any communication with yatra accommodation subcommittee. The leader’s mobile
number is mandatory.
d. Group Size: While selecting the room choices, room capacity should be at least your
group size. If the room capacity is more than your group size, the yatra committee will
fill in the room at their discretion.
e. Member Details: The following details of each Group Member is required to complete
the accommodation formalities:
i. Yatra Registration ID (Mentioned in Registration Confirmation Slip (RCS))
ii. Travel Details – Arrival and Departure details like dates, mode of travel, station,
airport etc.
f. Number of Groups: One User ID and Password is been provided in this brochure. You
can create only one group with one User ID. If you need to create more groups, kindly
make an online request through the specific format given in the website (you need to
login to avail this facility).
4. Room Selection: Please refer the room details given in this brochure in conjunction with
the maps provided while selecting your hotel/room choices. You have to select the rooms
that fulfill the above mentioned criteria. Choose as many options as possible for ease of
allotment.

5. Allocation: following is the order of preference for accommodation allotment.
1. Varistha Vaisnava (50 and above years of age as on 1st December 2010)
2. Mataji with Child/Children (Child/Children upto 5 years of age as on 1st December
2010)
3. Family with Child/Children (Child/Children upto 5 years of age as on 1st December
2010)
4. Single Mataji
5. Single Prabhuji
The room allocation will be dependent on the average of the yatra registration numbers of
all the members of the group, who apply for accommodation, and allocation of room is done
as per the availability.
a. Allocations will be done starting from lowest group average to the highest.
b. In case two groups having the same group average, preference will be given to the
group having a lower dispersion (standard deviation).
For example, if there are two groups of 3 devotees, belonging to similar category as well as
applying for the same accommodations, say Group A and Group B. Devotees in Group A
have registration numbers 07848, 10235, and 09853. Devotees in Group B have registration
numbers 08702, 09336, and 09898. In this example, devotees in Group B will be given the
first chance to get their preferred choice of accommodation as they have a lower standard
deviation, even though the average group registration number for both the group is same
Devotees who have opted for Prasadam Waiver and Sponsorship are ALLOWED to apply
for DORMITORY accommodation ONLY.
Please note that the room will be allotted in the name of the Group Leader. In the event
when your indicated choice of accommodation is not available, the group leader will be offered
the available choices of accommodation and his decision will be considered as the group
decision. All communications regarding the accommodation will be dealt with the Group leader.
Group Leader should be available on phone from 11th October 2010 to 30th October
2010 for any clarifications during the allocation process. He should be capable of taking
decision on behalf of the members of the group.
6. Announcement of Allocations: After the last date of submission, i.e., on 11th October,
a merit list will be generated based on the above mentioned criteria. The accommodation
forms will be processed based on this merit list and the accommodations will be allotted by
the Yatra Accommodation Sub-committee. The final results will be uploaded/announced on
or before Saturday, 30th October 2010, 1800 hrs. You can view the allotments by logging
with your same login and password used for filling the accommodation forms.
7. Accommodation Payments: From Sunday, 31st October 2010, you can pay your
accommodation charges and collect the Accommodation Confirmation Slip (ACS). Last
date to confirm the accommodation by paying full accommodation charges is Sunday, 7th
November 2010. If any devotee/group does not make the payment on or before the last
date, their registrations will be cancelled without any refund and without any further
notice.

Instructions for filling Travel DetailS Form
1. It is mandatory for all the participants of the Yatra to submit the duly filled Travel Detail
Form. Yatra Accommodation form will not be accepted if not accompanied by Travel Detail
Form.
2. The filling up of this form is necessary to help us prepare sufficient quantity of prasadam for
the devotees and prevent wastage.

Online submission of accommodation forms
1. Before attempting login, please keep your details ready.
2. Logon to www.rgyatra.com (best viewed in Internet Explorer 8.0)

3. Use the following User id and Password for online accommodation registration.
a. Change your password as soon as you login for the first time.
b. Keep the User ID and Password secure and retrievable.

5. Group Member Details:
Status: This shows the current status of your form.
a. Not Completed: This means that you have not filled in all the fields which are mandatory for
the submission. Unless you complete all the mandatory fields you will not be able to submit
the form. Any given time whatever data is filled in will be saved automatically. If you are
lacking/missing any details of your group member you can sign in again to fill those details.
However after 10th October 2010 you will not be allowed to edit/alter any data.
b. Completed: When you satisfy all the validation conditions required to submit the form,
your form status will be displayed as ‘Completed’. Only those forms having status as
‘Completed’ will be considered for generating the merit list.
Resetting the Form: Clicking on the ‘Reset’ button will clear off all the data you fed in and
you have to login again as a fresh submission.
Changing Group Leader: Anytime during the process of submission if you want to change the
Group Leader, you have to ‘Reset’ the form and start again as a fresh submission.
Deleting a member from the Group: Use the ‘Remove’ button to remove any member from
your group, except the Group Leader.
a. You are not allowed to delete any member from the categories ‘Mataji with Children’
and ‘Family with Children’. You can contact rgyatra@gmail.com for any such change,
which may change your category depending on the particular situation.
b. In case of two or more ‘Mataji with Children’ are applying together, you are not allowed
to delete any single person/group from the list. You will have to Reset the form and start
once again as fresh attempt. Same procedure applicable for the ‘Family with Children’
category also.

6. Room Choices: Click on the Room Choices tab and then click on Edit button to fill in your
preferences.
7. Enter your room details in the pop up window. In Option I, which is mandatory, you will have
to fill in the minimum choices as displayed. It is recommended that you may also fill in few
choices in Option II. Please remember to save your data.

8. Travel Details: You can enter the travel plans of the group members by going to the ‘Travel
Plans’ tab and then clicking on the Edit button.

Disclaimer:
1. The details of hotels and the respective rooms mentioned in this brochure are as per the
information available while compiling this brochure. Though the Yatra Sub-Committee for
Accommodations have made payments and reserved the hotels and rooms, many months
in advance, it may happen that the room or type of room allotted as per your ACS may
get cancelled or may not be available on the booked dates. Such occurrences, although
rare, are beyond the control of the sub-committee. Devotees are requested to report such
unforeseen incidents and cooperate with Yatra Accommodation Sub-Committee, which will
provide some alternative accommodation based on availability.
2. Yatra Accommodation Sub-committee will make every possible effort to provide best possible
accommodation to all devotees, however due to limitations of rooms, some devotees may
not get accommodation of their choice. Kindly bear with us.
3. While every attempt has been made to compile this information with care and diligence, it is
possible that inadvertent errors and omissions may have crept in. Neither Yatra Coordinators
nor the Yatra Accommodation Sub-Committee is responsible for any such errors. However,
we shall be obliged if errors/omissions are brought to our notice by sending an email to
rgyatra@gmail.com
In all matters regarding yatra accommodations, the decision of “Yatra Coordinators” will be final
and binding.
